1.      Introduction
LUSI allows you to record the receipt of work from students. In order to do this, you must firstly
set up the relevant piece(s) of work against each relevant module in the LUSI Courses
Handbook. Thereafter work submission is recorded using the LUSI Student Record.


NB. You can only record marks for pieces of work if you have created a record for them in the
Courses Handbook and you have recorded receipt (or, at least, failure to submit) those pieces of
work. You have discretion over the exact level of detail you can use to describe work due. You
are advised to at least record each item (e.g. an essay, a lab report, an exam paper) separately
but, if important, you could also record the individual elements that make up those items (so,
for example, you could record separately the four answers that make up one exam paper).


Though the ultimate outcome for each module is a single, overall mark, LUSI also has the
capacity to summarise marks thematically – e.g. to calculate and display a mark for all the
coursework for a module.

2.        Creating a record of work to be submitted: LUSI Courses Handbook

     2.1. To set up a piece of work for a module in the Courses Handbook

     2.1.1. Select the relevant module

     2.1.2. Open the form “Coursework for submission Cmod”.
              This will allow you to add any items of work (including exam papers) associated with
              that module in the current year.
     2.1.3.   Click the ‘New’ button and the following form will appear




     2.1.4. Choose the work type.
              Note:
              The simplest approach is to use only the generic values “coursework” and “exam”.
              However, you may want to subdivide items of work into more specific groups – e.g.
              you may want to make the distinction between coursework in the form of essays
              and coursework in the form of class tests – and thus you may want to use this field
              to provide a more specific description of the type of work being described.

     2.1.5. Input a name for the item of work (you are advised to give the item a name that
            makes it easily identifiable, such as “AC.F211 Michaelmas Class Test”, “HIST248
            Essay1” etc).

     2.1.6. Input a due date. You can do this either by editing the date directly, or by hitting the
            drop arrow which will then present a calendar from which you can select the
            appropriate date.

     2.1.7. Input a due time (this fields works in 24:00 hour clock format)

     2.1.8. Enter the % worth. NB. This refers to the proportionate value of the item in relation
            to the total number of items of this assessment type. So, for example, a module may
            be assessed 60% by exam and 40% by coursework. If the coursework comprises four
            essays then you would here enter a value of 25% for each essay, with the four essays
            between them adding up to 100% of the marks for coursework.

     2.1.9. Click the elective check box if the item is not compulsory.

     2.1.10. Choose the staff member responsible for the piece of work (NB. you may use this
            field to describe the individual who is administering the module, or marking the
            piece of coursework, or any other relationship that seems most relevant. The system
            will not use this information actively, so you have the choice of how you wish to use
            it).

     2.1.11. Choose the department first.

     2.1.12. A list of staff belonging to the department chosen will be displayed.

     2.1.13. To save the details click ‘Save’. If you do not want to save simply click ‘Close’.

3.      Editing work to be submitted (Courses Handbook)

     3.1. Edit Work for Submission

     3.1.1. Select the relevant module

     3.1.2. Open the form “Coursework for submission Cmod”.

     3.1.3. Double click on the work item you wish to edit. The following form will be displayed

3.1.4. You may then edit work type, name (remembering to give the work a name that
       makes it easily identifiable), due date and time, extension date and time, the %
       value, elective check box, inclusion in assessment calculations check box, and
       relevant staff member.

3.1.5. Click ‘Save’ to complete this operation.

4.      Deleting work to be submitted (Courses Handbook)

     4.1. Delete an item of work

     4.1.1. Select the relevant module

     4.1.2. Open the form “Coursework for submission Cmod”.

     4.1.3. Click on the work item you wish to delete (the line selected will change colour)

     4.1.4. Click on the Delete button

     4.1.5. Confirm by clicking on ‘Yes’ when prompted.

5.       Copying forward work records to future years (Courses Handbook)
     When saving new or edited work details you will be asked whether you would like to copy
     forward those details to future years. If you click ‘yes’ then these details will go forward into
     any future instances of the module that already exist, and will also be copied further
     forward as new future instances are added in the Courses Handbook. Where the work
     details of a module are stable (i.e. it seems likely that the module will be assessed in the
     same way next year as it is in the current year) then it is recommended that you do choose
     to copy these details, as this will save time in future.

6.       Bulk receipting of work submission (Student Record)

     6.1. To record receipt of a particular item of work

     6.1.1. From the Records menu on the top bar choose “Bulk Work Submission”. The
            following screen will appear:




     6.1.2. Choose the relevant year (LUSI will provide the current year by default).

6.1.3. Choose a department.

6.1.4. Choose a course module (this list will only show modules administered by the chosen
       department).

6.1.5. Choose a cohort. (If only 1 cohort is available then that cohort will be displayed by
       default).

6.1.6. Choose an assessment type

6.1.7. Choose the piece of work.

6.1.8. The screen will now display fully as below.
       This grid displays all students who have enrolled on this module (and hence will be
       expected to hand in this piece of work or undertake the exam).




6.1.9. To record that a student has handed in the work (or attended the exam) tick the
       check box and a red tick will be displayed, along with the date of submission (which
       will be defaulted to the due date for the work).

6.2. Submit All

6.2.1. If you click on the “Submit all” button then all students in the list will be marked as
       having handed in the work. This is an especially effective tool where all, or nearly all,

            students hand in the work or attend an exam: having clicked submit all, you can then
            manually unset those students who have not handed in the work. To do this simply
            click on the tick against the relevant student(s) – the tick will disappear as will the
            submission date.

     6.3. Remove All

     6.3.1. If you have made a number of errors during inputting you can use the “Remove all”
            button to clear all submission details, so that the record is clean for inputting again.

     6.4. Save

     6.4.1. Once you have input all relevant details closing the “Bulk Work Submission” form will
            save all information automatically.

7.       Adding/editing a late submission record in bulk
Where a student hands in an item late this can be recorded either in the bulk form, or in the
record of the individual student.

It is also possible to record a situation where it is known that a student will be late with a piece
of work, even if, at this stage, the work is not yet late, e.g. when a student has reported in ill,
and their department(s) want to have a note of this to which they can refer.

     7.1. To record a late submission

     7.1.1. Open the Bulk Work Submission menu item and choose the relevant piece of work
            (as described in 6.1.1. above).

     7.1.2. Find the relevant student and click on the ‘Edit’ button displayed on the right hand
            side of the grid; the Edit Work Submission screen will be displayed as shown below:

7.1.3. Enter the submission date; if the work has yet to be handed in leave this blank.

7.1.4. If the submission date is the same as the due date, enter the due date here and the
       submission time can be recorded below.

7.1.5. Enter the submission time; if the work has yet to be handed in leave this blank.

7.1.6. Enter the late reason. This field is compulsory and must be entered. If the work has
       yet to be handed in choose ‘Awaiting Submission’ from the drop down list.

7.1.7. Enter any notes or leave the Notes field blank.

7.1.8. To save the details click ‘Save’, otherwise ‘Close’.

7.2. To delete a record which has be entered in error

7.2.1. If a late submission record has been entered in error simply unclick the red tick in
       the Bulk Work Submission form and this will delete all submission details for that
       student.
Note:
Late submission details can be re-edited at any time using Bulk Work Submission; select the
relevant piece of work, click on ‘Edit’ in the relevant line, then follow steps 2-6 above. Such
editing will be particularly required where details have previously been input to indicate the
expectation that a student will be late (e.g. because of known medical problems) and that
student has subsequently handed in the relevant piece of work.

8.       Viewing, editing and deleting individual student work submission and
extension details (Student Record)

     8.1. Viewing an individual student’s work submission details

     8.1.1. Find the student using the standard Search function

     8.1.2. Select them and go to their Work Submission form.

     8.1.3. Select the relevant module and assessment type (e.g. coursework, exam, etc). The
            following form will be displayed:




     8.2. Adding/editing extensions

     8.2.1. Find the relevant student’s record and select the form ‘Work submission’

     8.2.2. Select the relevant module and assessment type; this will produce a list of possible
            work items.

     8.2.3. Click on the item (which will change colour)

     8.2.4. Click the ‘Edit’ button in the Extension Details section of menu on the right of this
            form; the Edit Work Submission screen will be displayed.

8.2.5. Enter the extension date.

8.2.6. Enter the submission time.

8.2.7. Enter the extension reason. This field is compulsory and must be entered.

8.2.8. Enter any notes or leave the Notes field blank.

8.2.9. To save the details click ‘Save’. If you do not want to edit a late submission record
       click ‘Close’.
Note:
If an extension record already exists and needs to be changed simply select the appropriate
piece of work and follow steps 1 to 7 again.


8.3. Deleting an extension

8.3.1. Find the relevant student’s record and select the form ‘Work submission’

8.3.2. Click on the relevant piece of work (which will change colour).

8.3.3. Click on the Delete button in the Extension Details section of menu on the right hand
       side of this form

8.3.4. Confirm the deletion by clicking ‘Yes’ when prompted.

8.4. Adding/editing late submission details for an individual student
Though you can record late submissions in bulk you can also do this directly in each
individual student’s record by following the steps detailed below.

8.4.1. Find the student using Find in the Student Record

8.4.2. Open their “Work submission” form.

8.4.3. Select the relevant module and assessment type (e.g. coursework, exam etc) then
       select the relevant piece of work (which will change colour).

8.4.4. Click on ‘Edit’ in the Late Submission menu on the right hand side of the form. The
       following edit form will be displayed:




8.4.5. Enter the submission date; if the work has yet to be handed in leave this blank.
If the submission date is the same as the due date, enter the due date here.
8.4.6. Enter the submission time; if the work has yet to be handed in leave this blank.

8.4.7. Enter the late reason. This field is compulsory and must be entered. If the work has
       yet to be handed in choose ‘Awaiting Submission’ from the drop down list.

8.4.8. Enter any notes or leave the Notes field blank.

8.5. Deleting a late submission record

8.5.1. Find the student using Find in the Student Record

8.5.2. Open their “Work submission” form.

8.5.3. Select the relevant module and assessment type (e.g. coursework, exam etc)

8.5.4. Select the relevant piece of work (which will change colour).

8.5.5. Click on ‘Delete’ in the Late Submission menu on the right hand side of the form

8.5.6. Confirm the deletion by clicking ‘Yes’ when prompted.
