         Meeting Minutes from September 9, 2010 Conference Call 7 – 8:07pm

I.       Announcement: WELCOME to our newest member Catrina Upshaw who represented us
well by attending the historical Acknowledgment ceremony for Montford Point Marines Day on
August 26th at Camp Johnson North Carolina. Thank you from all of us, Chapter 32!!!!

II.        Focus Items

      1. Annual Chapter Membership Dues – October 2nd , 2010; National dues September 2011
      2. Drafting Auxiliary By-Laws – Draft pending for distribution to Executive Board
      3. Community Service – The Thurman Brisben Shelter in Fredericksburg, Sunday September
         12th at 11-3pm, joining the efforts with local motorcycle club Prophecy.
      4. Sponsorship – Shoppers Grocery Store sent a $25 gift card as a result of a request back in
         May; we will be requesting additional sponsorship/support for September 25th Community
         Cookout and invite other local businesses to join in supporting our efforts.
      5. Need Volunteer/Nomination for Vacant Positions - Vice President (current VP resigned),
         Secretary and Financial Secretary; Nominations will be taken no later than September 27,
         2010. Voting will take place during October 2nd meeting, PLEASE make every effort to
      6. Community Cookout “Fun in the Sun” – September 25th, 1-4pm is the date and time for
         community event. Discussion of details regarding needed food items and support from other
         associates were determined. The exact location is Lunga Park at the Little Oak Pavilion
         which seats 75. There will be yellow balloons to mark our location and members will be
         wearing yellow shirts to identify Auxiliary. The piñata, sack race, three-legged race, football
         toss, basketball toss, raffle, and possibly an information table about MPMA is still on the
         agenda of activities. Our goal is to increase visibility within the community and to enjoy a
         day fellowshipping with our families and friends.

      7. National Convention Auxiliary Luncheon & Fashion Show Reimbursements – Awaiting
         completion of financial report from National before funds can be disbursed to Auxiliary;
         receipts submitted.

      8. 2nd Fund Raisers/Awareness Event – October 23rd at K2 Restaurant and Lounge featuring
         Smooth Jazz by Marcus Johnson for our “Prostate & Colon Cancer Awareness - SHADES
         of BLUE” with social hour and hors d’oeuvre scheduled 6-7pm prior to the guest speakers
         at 7:30 – 9:00 pm and special performance by Marcus Johnson. The night concluding with
         mix-n-mingle and dancing. Tickets will be $20 in advance and $25 at the door. Tentatively
         tickets will be available October 1st and each Auxiliary member is going to be asked to sell
         at least 15 tickets. As of September 13, 2010 we have (10) paid members; we can do this

      9. and FYI, prostate cancer awareness month is

         September and colon cancer awareness is March. Planning includes support from
         credentialed medical professionals within our community to be a guest speaker on prostate
         and colon cancer. The plan is for one speaker per topic allowing 30 minutes each with 10-
         15 minutes for questions and answers (Q&A) after each presentation. In addition, we are
         seeking someone to share their life changing story as it relates to the topic prior to each
         guest speaker.

         Guest Speakers and their guest will be given free entry. Auxiliary will present a token of
         appreciation to participants. Lastly, the possibility of joining forces with Phi Beta Sigma
         Fraternity is still being discussed.

      10.       Supporting the Cause – Auxiliary President and daughter will be participating in the
         cure for prostate cancer 5k Race/Walk (we will be doing the run) held at Johnny
         Unitas Stadium, Towson University on Osler Drive in Towson, MD on Sunday, September
         26, 2010 @0730; entry fee $30-35 (see attached form or go online

         The Colon Cancer Foundation's Sixth Annual 5K Family Run/Walk will be held again
         this year in Towson, Maryland just outside Baltimore, MD on Sunday October 31, 2010. You
         can directly support this work by registering to participate in the 5K Run/Walk on October
         31, 2010 @ 0730 – 1000; entry fee $25-30. Bring
         the entire family and help the mission to eliminate colon cancer as a life threatening disease
         through the development and dissemination of educational programs focused on prevention,
         early screening and detection, and aggressive therapeutic intervention. If you can’t walk or
         run please lend a hand and sign up to volunteer. Please contact to volunteer.

III.      Closing

National Auxiliary Newsletter requesting monthly input i.e. favorite poem, recipe, events, special
announcements, birthday’s, etc. point of contact is Ms. Tommie Merritt. The National President
continues to reiterate that “our organization is looking better every day, and in our efforts to
preserve the legacy of what those Montford Pointers did for us all…” it is our continuous dedication
and commitment that keeps this organization alive. Official Day for our Montford Pointers – August
26th Passed in the Senate of the United States July 22, 2010 (111 th Congress 2D Session S.RES
587). Milestones in History THE FEW THE PROUD Montford Point Marines 1942-1949. “Working
Together Works”

There is no “I” in the word team and this is a team effort. Collectively we can make a difference!
Please continue to contribute so we do not burn-out team members.

IV.       Continued Roundtable

Increasing visibility of the Ladies Auxiliary continues by: Networking, requesting sponsorship,
church visits, school visits, fundraisers, sharing communications with other associations, word-of-
mouth, emails, and volunteering within the community. Please take time to explore Sponsor a
