"You've Got Webmail!"
Objectives: Participants will be able to:
access Red Clay webmail (https://mail.redclay.k12.de.us)
log into Red Clay webmail with your RC network username and
password
send a message
create and use CONTACTS
create folders to organize mail
send an e-mail with an attachment
use the Outlook calendar
MICROSOFT OUTLOOK –WEBMAIL 2003
WEB ACCESS:
There are two ways to access your Red Clay e-mail:
Microsoft Outlook Icon on your desktop: This is what you use when at the
computer you regularly access.
WEBMAIL ACCESS: This is what we will use
today. With this you can access your e-mail from
school, home, or anywhere in the world where you can log onto the Internet.
Many of the webmail features behave the same but look different than direct
Outlook access.
LOGGING INTO THE RED CLAY WEBMAIL SITE
1. Open the Internet
2. In the Address Window type: “mail.redclay.k12.de.us”
NO www
NO CAPITAL LETTERS!
3. You will see a place to type your log-on name and password Do it now. This is
the same as your Red Clay network username and password.

I. LOG IN VIEW
1. This is the opening view when
you log on.
2. It allows you to keep track of
your appointments and tasks in
one window along with keeping
you informed of the e-mail you
have.
3. You automatically go straight
to your inbox.
4. On the left side you will see
shortcuts.
This makes it easy to go to
your calendar, look at your
contacts, and log-off.
5. If you have e-mail, you will notice the e-mail that has not been read are bolded.
6. The ones read will be listed either from oldest to newest or newest to oldest.
Change this simply by clicking on the word „received‟ or even group by „from‟
7. Notice on the right side I have chosen to preview my mail. This feature can be
changed and moved around for your personal preference.
8. On the top right you can see how many e-mails you have. Usually only 25 are shown
on a page.
9. To see more mail click the right arrow and go to the next page.
II. SENDING MAIL
1. To send a message to someone, click on the NEW shortcut on the menu bar
2. The following window will appear: Wait a few
seconds for it to appear completely
3. Inserting an address in the TO: box
You can either type in the recipient's
name/e-mail address if you know it, OR
If the person is in one of the address
books, you can click on "To" and find the
name in the list.

4. Click the „TO:‟ now
5. The following window will appear
6. Click in the Last Name box and type the name to
whom you want to send the e-mail.
Type last name of Red Clay colleague
7. Click Find and wait
8. When the name appears, Highlight it and click „To‟ at
the bottom of this little window
9. Close this window by clicking the Close icon
10. You will now see the name above the TO: box where
you would type an address
11. Click in the Subject window and type a short topic about which you may be writing
12. Click into the large message window and begin typing your message
13. When you are finished writing your message, click on the SEND button on the top of
the window
***A REALLY NEAT FEATURE OF WHICH ONLY A FEW HAVE A CLUE!***
For any person working for the state of Delaware you do not have to insert the
entire address. Outlook will do it for you.
In the TO: box type amy.gordon (do not add the @redclay…
Click the little guy with the checkmark (it‟s an icon called „Check Names‟)
The rest of the e-mail address is added. This makes life really easy…
III. USING CONTACTS
The Contacts folder is a place to keep your e-mail addresses of people
not on the Red Clay e-mail list. (Parents, friends, personal e-mails)
Along with being able to store e-mail address, you can store mailing
address, phone numbers, and many other bits of information.

1. Click on „Contacts‟ and you will probably see a blank list
2. Click „New‟ on the shortcut bar
3. Fill in with information
4. When finished, click the “Save and Close” button
5. Fill in with information
IV. ORGANIZE YOUR MAILBOX IN OUTLOOK 2003
CREATING FOLDERS
1. Creating a new folder is a good way of keeping your files organized.
2. Right click on the word „Inbox, release, and left-click and drag to
“New Folder”
3. Name the folder what you would like. It should be a person's name, a
group name, or a common subject.
4. Note that „Inbox‟ is highlighted – meaning that is where the new
folder will be placed
5. Click OK and the new folder is made
6. When you want to move the e-mail to the selected folder, simply click and drag and
drop it into the folder
7. You may make as many folders as you desire to make finding important e-mail easier
and keeping track
8. Another nice feature here is that when you open your Outlook Mailbox on your
desktop computer, the folders will still be there.
V. SENDING AN E-MAIL WITH AN ATTACHMENT
This is probably one of the most asked questions in using e-mail – „How do I send a
document (attachment).
THE VERY FIRST THING YOU MUST KNOW IS WHERE IS THE DOCUMENT
SAVED THAT YOU WANT TO ATTACH!
Steps to attaching a document:
1. Open your new mail
2. Insert the address to
whom you want to send the document
3. Click the paperclip icon on the shortcut bar

4. A window will open asking you to locate the document you
wish to attach.
5. Click BROWSE
6. This is where you have to navigate to the location of the
document
7. Click the dropdown arrow that says “Look in” and click on “My Documents”
Double-Click on the attachment on the desired file
Click ATTACH and close
Finish your e-mail and send
VI. OTHER OPTIONS THAT YOU MAY FIND IMPORTANT
USING THE PREVIEW PANE:
This allows you to view part of
the e-mail sent in case you don‟t
want to open it immediately to
read the whole thing.
You can view it on the right, bottom, or left
EMPTYING THE DELETED ITEMS FOLDER OR THE TRASH
RIGHT Click on the trash can icon to empty
Select „Empty Deleted Items‟
KNOWING THAT YOUR SENT ITEMS ARE SAVED IN YOUR SENT
ITEMS FOLDER (DELETE OFTEN!)
Most of the time Microsoft Outlook defaults to saving all your sent messages into
the SENT ITEMS folder.
This is good to have as proof of actually sending e-mail
You may also make a folder in the Sent Items Folder to save important e-mails
you wrote
HOWEVER, it is also wise to empty this folder once in a while
TO EMPTY THE SENT ITEMS folder:
1. Double click on the sent-items folder to open it
2. Take a look at each e-mail.
3. If it is one you no longer need, delete it.
4. Move important ones to a folder if necessary

VII. THE MICROSOFT OUTLOOK 2003 CALENDAR
You can access your personal calendar either from the Shortcuts view or the Folders
view simply by clicking on „Calendar‟
The calendar can be viewed in several different ways just by clicking on the icon on
the shortcut bar:
Daily Weekly Monthly
To enter an appointment or anything on the calendar:
(Make sure correct date is chosen!)
1. Double click on the time you want to add the item
2. Complete the little form as much as you desire
3. Save and Close
4. You now have your own personal calendar wherever you may travel.
