Click under Module and select Work Management.

To create a new Work Order click the New Icon.

Enter a Description (255 characters)

In the Organization section of the Work Order, enter the customer’s UWNETID in the Requestor
field. Click the little Zoom field next to the Organization field to backfill.

Enter the FacNum (building number) in the Property field. Click the little Zoom icon next to the
Region field to backfill the Region and Facility fields.

Under Classification, click the little Zoom icon next to the Type.

A browse screen of work Types. Select Maintenance by clicking the link.

Next select the Category of work by clicking the link. Select Corrective.

Once Type and Category are selected, the WO status is populated.

Now you need to route the work order to a Responsible Party. Under the View Select drop down
choose “Reference Data”.

In the Reference Data screen choose the Shop and assign a person. Enter the first few characters
of the shop, like “16 C”, then Click the Zoom icon.

Select the Responsible Person in the Shop Person Screen.

Click the Green Done flag to go back to the Work Order.

Define the budget to charge:
Under the View Select drop down choose “Account Setup.”

Select Enforce Distribution Yes.

Click Add Account (green plus icon) on the Charge section.

Select Percentage Split.
Click Next (blue arrow icon).

Enter the following information:
o Account: If chargeable work paid for by a campus client, enter the client budget
to charge. If non-chargeable (absorbed) work paid for by Physical Plant, enter
ABSORBED.
o Subcode: NONE
o Percentage: 100
University Project Cost Accounting (PCA) codes if requested by a client (for
chargeable work only).
o Account Extension 1: PCA three-character Task
o Account Extension 2: PCA three-character Option
o Account Extension 3: PCA six-character Project

Click Done (green flag icon) to return to the work order account setup window.

Click Done (green flag icon) to return to the work order main screen.

Add a Phase or phases to the work order. In the Work Order Screen click the green Plus sign
under the Phase section.

Again, the red fields are required. The shop for the phase needs to be entered, the priority and
the work code.

Select a valid room location if available.

Under the Shop section enter the first few characters of the shop to be assigned to the first
phase. Click the little Zoom icon to fill in the shop name.

Select a Priority by clicking the little Zoom icon.

In the Priority screen select which Priority best meets the Work Orders needs.

In the Work Code field, click the little Zoom icon and select the Work Code.

You can either select a specific Work Code or a generic one such as “Maintenenace”. Work
Code selection depends on what type of work you want to track.
