CHAPTER 1: INTRODUCTION
ABOUT THIS MANUAL
This manual offers you an introduction to the most frequently used features of
the FacilityFocus System. Use it to learn the basic functions of FacilityFocus.
Once you feel comfortable with the concepts in this manual, Volume 2 will
introduce you to the more advanced features and concepts.
Both volumes are organized according to the way you work. Therefore, you may
see screen descriptions from several different Modules in one chapter.
The Appendixes in this manual offer detailed information regarding specialized
use of mouse, toolbar and keyboard functions in both Windows and
FacilityFocus. The appendixes also cover custom features, such as retrieving,
editing and deleting FacilityFocus records, creating and associating text
documents, creating reports, and understanding entry screen data fields and

FacilityFocus consists of the following Modules. Vol. I and II of this User’s
Guide will describe these processes in depth.
♦ Human Resources – Allows you to create and maintain a database of
employee records, record employee profile information and track and
approve leave transaction data.
♦ Property and Floor Space - Allows you to create and maintain a
database of property records and detailed floor space and occupancy
♦ .Purchasing – Allows you to create Purchase Orders and record other
types of purchases, request and disburse materials, maintain bid
information, create custom invoices for Utilities, Leases, Purchase
Orders and Service Contracts, release those invoices for payment, and
make rapid invoice status changes.
♦ Work Management – Allows you to define projects, create Work
Requests and their associated Work Request Phases, make accounting
associations, track changes in project, work request or phase status, and
create letter and document templates to quickly create recurring
documents such as contract award letters.
♦ Inventory and Equipment – Allows you to track purchase, location
and preventive maintenance for equipment, Systems and inventory
parts. Specialized screens allow you to request in-stock materials from
the warehouse, catalog materials from vendors, reorder materials and
record their receipt.
♦ Contract and Contractors – Allows you to define preferred
contractors / vendors and associate contracts with those contractors /
♦ Lease Management – Allows you to create a lease contract record, list
payment details, and associate economic data and record responsible
♦ Finance - Manages accounts and budgets and allows you to bill for
labor, materials and equipment. It maintains actual and budget balances
for each account in a sub ledger format.

♦ Utility – Allows you to maintain meter and meter reading information
and track utility usage for greater efficiency and economy.

Double-click icon to begin using the FacilityFocus product. This action displays
the signon dialog box..

Enter your Login (User ID) and Password and Click OK.
If you should need to change your password, click . The
Change Password Dialog Box will appear. It will require you to enter your new
password twice to verify that you keyed it the way you intended.

FACILITYFOCUS MAIN MENU
The FacilityFocus menu allows you to refine and customize the menus for your
users. As with Windows 95/98 and NT, this menu allows you to drag menu
items into other folders.
Using the View menu, you can arrange folders by Name or Type and further
customize the display.

Clicking the Module folder listed in the left screen panel will display the
contents of that Module in the right panel. Double-click a menu icon item to
display the main screen for that sub-Module.

On FacilityFocus screens, the title bar, minimize, re-size, and exit functions,
menu and toolbar behave in the same manner as any recent Windows program.
Menus for sub-Modules differ only in the list of screens and functions accessible
through the Entry menu. Clicking the Entry menu displays a drop-down menu
with a list of screens or screen groupings. An arrow to the right of a menu item
indicates that additional screen selections exist beyond those appearing on the
first menu. To access the additional items, hold the mouse pointer over the
screen group name. Select the screen you wish by clicking its name on the
