This document may be used by a charity, organization, group,

etc., which wishes to express appreciation to someone who has

volunteered on behalf of that group.

[Instruction: A thank you letter should follow some general guidelines, some of which are outlined,

below. Obviously, your own letter will be modified, to reflect the nature of your organization's

work.]



1. When addressing the letter, do Not send it to "Volunteer." Address it to the actual person who gave

his or her time.



2. Let the volunteers know that you are aware of the amount and nature of their efforts ("Thank you for

your hard work arranging the fundraiser and for all the time you put in on last month's auction." is much

better than "We really appreciate all the hard work you did on our behalf.")



3. Don't be too aggressive in this letter in immediately asking for further volunteer work.



4. Do invite this volunteer to stay involved in your organization's activities and/or mission.



5. Express appreciation for the work that was done, and try to state it in a variety of ways throughout the

letter.



Sample letter follows:







Dear Susan,



I wanted to write on behalf of the Smith High School baseball team, to thank you for the time you

spent over the past school semester. You were one of many parents that drove players to away games, but

you managed to do this more than any other parent, and I cannot tell you how much this helped our team

players focus on the actual games.



Your ideas for last month's fundraiser were so helpful, and without your input and advice, we

would not have raised enough money to send our team to the regional championship. And your help in

hosting several after-game BBQs really contributed to keeping our team morale as high as it has ever

been!



Although our season is over, I hope you will stay involved with our team, and with Smith High

School during the off-season. I cannot tell you how much it means to have parents who are invested in

their children's school experience, and this of course includes extra-curricular activities.



If you can think of ways to improve our baseball team during this off-season, please let me know

what they are. And I hope we can continue to count on your irreplaceable help in the future.



I know how valuable one's free time is, and I cannot tell you how much I and the entire team

appreciate all of the work you've done on our behalf during the past season. We could not do this without

the parents' involvement, and we all are well aware that you gave us as much time and effort as anyone.

Again, I am so thankful and appreciative of your generosity, and I look forward to seeing and hearing

from you soon. Call or write any time!
