by The Twelve Apostles Hotel and Spa, first and last pages having been initialled and
faxed to +27 21 437 9055.
• Detailed below and attached, please find our nett Wholesale Rates (STO Rates) and
terms and conditions for F.I.Ts (1 – 9 Rooms).
• These STO Rates are strictly confidential and may not be divulged to anyone outside
your company.
• Please note that the STO Rates are nett and non-commissionable.
• All rates are quoted per room per night and are inclusive of Breakfast. Not applicable to
in-room dining.
• All rates include South African Value Added Tax (currently at 14%) and exclude a 1%
Tourism Levy per room per night.
• The Twelve Apostles Hotel and Spa reserves the right to amend the quoted rates
accordingly should the Government amend the VAT percentage or introduce further
taxes or levies during the duration of this contract.
• Kindly note that service charges are not included in the accommodation rates

CHECK IN AND CHECK OUT TIMES
• Check in time is any time after 14h00.
• Check out time is any time before 11h00.
• Subject to availability, we will endeavour to accommodate late departures without additional charge. If however, there is
limited availability, an additional room charge will be levied for occupancy up to 18h00, after which an additional night’s
charge will be levied.
• A guaranteed early check-in prior to 14h00 can be arranged by pre-registering the room from the night before at an
additional charge of one nights’ accommodation.
• Non-guaranteed late departures and early arrivals will not be confirmed prior to the day of arrival
or departure.
BOOKINGS AT AZURE RESTAURANT AND THE SANCTUARY SPA
As the operator/agent acting on behalf of the guest, it is your responsibility to notify your international agents or the guest directly of
the importance of reserving a table for dinner in Azure Restaurant or a spa treatment at The Sanctuary Spa. Both venues have
limited space and while we endeavour to hold tables and allocations for in-house guests, sometimes it cannot always be
guaranteed.
We will inform you timeously of all special events i.e. Christmas Day lunch, New Year’s Eve Dinner etc.
INDIVIDUAL ROOM RESERVATIONS (F.I.T’s) ( 1 – 9 Rooms)
• An FIT reservation refers to any reservation containing 9 or fewer rooms per night, not requiring a conference or
banqueting program.
• For groups of 10 rooms or more, group rooms rates; terms and conditions are available on request
RESERVATION PROCEDURE
• All reservations and amendments must be confirmed to the Hotel in writing.
• The Twelve Apostles Hotel and Spa requires a signed copy of its confirmation letter returned within 24 hours of receipt as
acceptance of the details of the reservation.
• The Tour Operator shall provide the hotel with accurate guest information including all special requests, full and correct
spelling of names and the correct salutations for the guests 48 hours prior to the guests’ arrival.
• All reservations are subject to the cancellation policy as stated herein.
• The Tour Operator is liable for all accommodation payments in terms of this contract.
• Payment must be made by bank transfer or Credit Card pre-authorisation and received in full, 14 days prior to arrival. A
copy of the bank transfer, together with the guest details and dates of stay should be faxed to the Hotel Reservations
Department.
EXCLUDING PEAK SEASON - RESERVATION AND CANCELLATION POLICY
• All reservation cancellations must be received by The Twelve Apostles Hotel and Spa in writing.
• A cancellation fee equal to our quoted rate for one night’s accommodation will be applied if the booking is a “no show”,
the number of room nights are reduced from the original booking or the booking is cancelled within 7 days of the
expected arrival date.
• Each cancellation will be treated fairly on its merits.
PEAK SEASON - RESERVATION AND CANCELLATION POLICY (20 December - 05 January)
• A minimum stay of 3 nights will apply for all reservations.
• Payment is due 90 days from the arrival date of the reservation. Should the reservation be made within 90 days, full
payment will be due within 14 days of booking in order to guarantee the reservation.
• Account holders are required to either pay this deposit or forward confirmation accepting liability to the hotel accounts
department for the full payment.
• A cancellation fee equal to our quoted rate for one night’s accommodation will be applied if the number of room nights
are reduced from the original booking or the booking is cancelled within 7 days and outside of 72 hours of the expected
arrival date.
• A full cancellation fee will be applied if the booking is a “no show”, the number of room nights are reduced from the
original booking or the booking is cancelled less than 72 hours prior to expected arrival date.
• Each cancellation will be treated fairly on its merits.
CHILDREN’S POLICY
• Children are most welcome at The Twelve Apostles Hotel and Spa.
• Children under 12 years (maximum 2) per room sharing with two full paying adults are accommodated free of charge,
including breakfast.
• Children over 12 and under 16 years (maximum 2) per room sharing with two full- paying adults are charged R350.00 per
child, per night, bed and breakfast.
• We recommend that children over the age of 16 be accommodated in a separate room.
• Classic and Mountain Facing Rooms cannot accommodate children
• Luxury rooms can only accommodate a cot.
• All other rooms and suites can accommodate an additional bed and are in some instances fitted with a sleeper couch to
accommodate two children.
• There are a limited number of beds and cots available.
• Childminders may be reserved through the hotel. Wherever possible, please book this service 24 hours in advance.

GENERAL
• The Twelve Apostles Hotel and Spa reserves the right to limit the number of rooms available at these rates.
• We reserve the right to release accommodation bookings held should prepayment not reach the hotel prior to the deposit
deadlines as stipulated.
• We also reserve the right to request payment directly from clients on arrival, should payment not reach us before the specified
date.
TERMINATION
Either party shall have the right to terminate this contract by giving one month’s prior written notice to the other party. Written
notice shall be hand delivered, sent by fax or emailed to the other party.
In the event that the contractee breaches a material term of this agreement and fails to remedy the said breach within 7 (seven)
days of receiving written notice to do so by the property, the property shall have the right to cancel this agreement immediately
without any further notice, and to cancel any future reservations held from the contractee as well as to retract any rate
transactions entered into between the parties
TRANSFERS
The hotel offers a complimentary scheduled transfer service to Camps Bay and to and from the Victoria & Alfred Waterfront
between 8.00am and 8.00pm.
Airport transfers, whether by car or helicopter, may be made with the reservations department. The Twelve Apostles Heli Stop is
situated behind the hotel and is a direct transfer to Cape Town International Airport.
CONDITIONS FOR PUBLICATION
Before publication and distribution, ‘the contractee’ shall forward a proof of the property featured to Twelve Apostles Hotel & Spa
for approval. The Twelve Apostles Hotel and Spa shall make any alterations concerning the property as may be reasonably
required. The contractee shall accept full responsibility for the accuracy of the brochure or website if published without approval
by The Twelve Apostles Hotel & Spa.
