Dear Tax Collectors and Friends,
You are hereby invited to the New Hampshire Tax Collector Annual Conference and Meeting. The
Conference will be held at the Balsams Grand Resort Hotel in Dixville Notch, NH starting Wednesday,
October 14th and ending on Friday, October 16th. The Annual Meeting will be held on Thursday,
October 15th, 2009 at 1:15 pm during which time By-law changes and officers will be voted on.

This year’s agenda looks to be very educational with sessions on tax collector recommended policies
and procedures as well as legal issues regarding rights as an appointed and elected official. We will also
be holding user group sessions again this year with our software vendors. We will have guest speakers
that will be covering topics such as banking industry changes and VISA credit card regulations. Also as
a reminder bring any questions, comments or concerns you may have to share during the any of the
sessions.
Our Annual Conference is a great time to network with other tax collectors, make new friends while
meeting up with old friends and take advantage of the wealth of professional knowledge present at our
conferences. The Conference also gives us the opportunity to meet vendors who offer products and
services that are tailored to our profession. Please join us again this year to expand our knowledge and
enjoy each others company!
Accompanying this letter you will find the Conference Registration form, Hotel registration form,
Commuter Meal registration form (used only for those commuting & not staying at the hotel), a
Tentative Agenda and Scholarship information. The Convention and Hotel registration forms are due by
September 14th. While Scholarship forms and Commuter Meal forms are due September 1st. Each
form must to be returned to different addresses so please be aware of that when returning them.
The Balsams Grand Resort offers rooms that can accommodate single and double occupancy. Rooming
with others can make this networking experience even more enjoyable.

RATES: Full American Plan (Breakfast, Lunch & Dinner) with all accommodations, complete use of all facilities, and Hotel
services including golf green fees. Rates do not include rental of equipment, including golf carts, or incidentals.
SERVICE CHARGE: A 15% service charge is added to all room rates. This provides a minimum gratuity for our dining room
and housekeeping personnel. In addition, various other staff do receive portions of the service charge through incentive programs.
Additional tipping for particularly friendly and outstanding service is at the guest's discretion. Service charges do not cover the bell
staff, doormen, or cocktail staff. It is customary to reward their superior service as it is rendered.
TAX: 9% added to both room rates and the service charge to cover NH Room and Meals tax. Reservations paid for using an
official Government form of payment will be exempt from the 9% State tax.*
DEPOSIT POLICY: A deposit of one night’s stay per room made payable to The BALSAMS and this completed reservation
form are required on all reservations. The deposit will be credited only to the last night of your reservation. Please note, the deposit
will be forfeited and will not be credited to your account should you arrive a day or more late or depart a day or more early from your
scheduled reservation. For deposit refund, a written cancellation notice is required 7 days prior to scheduled arrival.
PAYMENT POLICY: Cash, personal check, Discover, MasterCard, American Express, Visa.
CHECK-IN/CHECK-OUT/DRESS CODE POLICY: On the day of arrival, room availability cannot be guaranteed until
after 4:00 PM. On the day of departure, check-out time is Noon. Guests staying at least two nights are invited to use all facilities all
day on the days of arrival and departure. Throughout the day, guest attire is informal. For dinner in the dining room the maitre d’
hotel will require jackets for men and evening attire for ladies. Ties are optional.

attend the Seventieth Annual Conference at the Balsams Grand Resort Hotel in Dixville
Notch. This offer is open to all collectors who have taken office since the last Fall
Convention and provides a great opportunity to attend your first convention even if your
