INVENTORY AND ACCOUNTING
1.0 PURPOSE:
The purpose of this Administrative Procedure is to establish a system for central
inventory and accounting of library books so that the current summaries of these
properties are available and accessible.
2.0 RATIONALE:
Print and non-print resources for the library media center are chosen based on the
material’s ability to enrich and support the curriculum goals of the District. The
primary goal is to maintain a balanced, current collection which provides
information for the wide range of needs within the District. Library media center
resources shall include library books, online and print references, multimedia
materials, periodicals, software, and other instructional material.
3.0 DEFINITIONS:
3.1 Library media resources shall include library books, online and print
references, multimedia materials, periodicals, software, and other instructional
materials.
3.2 Reevaluation or “weeding” is an evaluative and continual process to withdraw
and discard resources that have outlived their usefulness.

4.0 PROCEDURE:
4.1 All selected materials should:
Support and be consistent with the general education goals of the
Pennsylvania Department of Education, the curriculum goals of the
District, and the aims and objectives of individual buildings in the District.
Vary for age, subject, learning abilities and styles, as well as social and
emotional development of the building’s learning community.
Reflect the varied interests of the students and the rest of the learning
community.
Represent diverse cultures and viewpoints as appropriate.
Foster a life-long appreciation of reading, viewing, and listening for
pleasure.
Relate to, support, and enrich the courses of planned instruction adopted
by the Board.
4.2 When selecting print resources, the print resources should meet these general
guidelines:
The resources should have educational worth and integrity.
The resources should make a contribution to the curriculum and the
students’ needs and interests.
There should be validity, and appropriateness of the resources.
The resources should be the most current available.
The resources should contribute to the breadth of viewpoints on
controversial issues and cultural viewpoints.
The resources should be of high quality and should be in various
formats.
The selection of resources should include the reputation of the author
illustrator, and publisher.
Recommendations of the administration, staff, students, parents, or other
members of the learning community should be taken into consideration.
Favorable reviews found in standard selection resources should be taken
into consideration.
Timelines should be established for keeping such materials.

4.3 Multimedia, online, software, and other visual resources should meet the same
general guidelines as print resources. However, the following guidelines should
also be applied:
These resources should be examined for audio and visual clarity and
quality.
The media should be examined for creativity.
The media should be reviewed for functionality with the District
network and equipment.
4.4 When reevaluating or “weeding” the resources, the following guidelines should be
utilized:
Materials which are in poor physical condition.
Materials which seldom circulate.
Unneeded duplicate materials or materials superseded by a better or more
up-to-date source.
Subject matter of no value to the curriculum or needs of the students.
Equipment no longer available to view or play.
Outdated, misleading, or obsolete materials such as:
o Geography materials older than 10 years.
o Computer materials older than 5 years.
o Social science materials older than 5-10 years.
o Science and technology materials older than 5-10 years.
o Reference materials older than 5 years.
o Dictionaries older than 10 years.
o Dated fiction.
