This is a confirmation of vendor participation for “Boo at the Zoo” on Friday, Saturday, & Sunday, October
24, 25, & 26, 2008 from 9 AM – 5 PM.

All vendors participating in Boo at the Zoo will be listed on the days’ entertainment schedule as well as in
promotional media for the event including but not limited to placement of logo in the zoo’s quarterly
publication, Palm Beach Zoo Magazine, which has a circulation of over 9,000 households in the local area.
All vendors will be given a 10’x10’ space, set up outside, and located in high traffic areas and are required
to provide candy or other handouts such as toys, promotional items, coupons, etc each day while on-site for
“trick or treating.” Failure to do so may result in termination of this contract, the vendor/organization being
asked to leave, and fees being unreturned.
In order to access your booth area prior to the zoo’s opening at 9 AM, please be available for set-up at 8
AM on Fri., Sat., & Sun., Oct. 24th, 25th, & 26th. Vendor check-in is located at the front entrance of the zoo
and further instruction on west gate entrance (if needed) and parking instructions will be given at that time.
Note: Vendors may choose to arrive for set up on Thursday, Oct. 23rd from 5 – 7 PM, weather permitting.

The Palm Beach Zoo will provide one (1) table cover and one (1) 12”x12” color sign per vendor. Chairs,
tables, electricity, and additional table covers are available for rent on a daily basis. Due to the number of
vendors for this event, all vendors must provide their own pop-up tents as well as their own hand trucks (if
needed) to transport booth materials. Note: No booths may be broken down before 4:30 PM on Friday,
Saturday, or Sunday.
In consideration for the ability to promote your organization’s goods or services on Palm Beach Zoo
property, the aforementioned vendor and any accompanying individuals agree to the following conditions:
• Adjust the volume/performance of staff/volunteers/equipment as requested by zoo staff in
consideration of the living animal and/or botanical collection, exhibits and/or structures.
• Check with the zoo’s Marketing Department regarding any/all items sold on property and and/or
publicity or public relations material presented orally, written, or given away for approval prior to the
event.
• The Palm Beach Zoo forbids alcohol or illegal drugs on zoo grounds at anytime.
• Outside goods or services may be sold onsite at the zoo on special event days as long as they do
not detract from or are in direct competition with the zoo’s Amazon Marketplace, Jungle Traders Gift
Shop, Gator Traders Gift Store, or Zoo-Venir Kiosk.
• To waive and release the Zoological Society of the Palm Beaches, its officers, directors and
employees from any and all claims, liabilities, losses, damages, cost, and expenses resulting from
injury to me, any children or staff/volunteers accompanying me or damage to my or their property
arising out of presence at the Palm Beach Zoo, travel to or from the zoo, or our participation in an
off-site activity. I further agree to be responsible for any injuries or damage caused by my willful
failure or the willful failure of any children or staff/volunteers accompanying me to follow instructions,
reckless disregard for same or failure to act in a responsibly prudent manner, or because of any
inaccurate statements made in this release.
• For the safety of the animals at the Palm Beach Zoo, NO balloons, straws, plastic soda lids,
frisbees, bubbles, bull horns, whistles, bouncing balls (of any size), any air-born toy or display, or
piñatas are permitted in the zoo. If unsure, please check with the Marketing Department regarding
materials being brought into the zoo prior to arriving.

Sponsorship Opportunities
