TO PAPE OR NOT TO PAPE….ADMINISTRATIVE
APPOINTMENTS FOR FACULTY
A PAPE stands for Principal Administrative Position Exemption. This is required for all academic
professional and some administrative appointments. The UIC HR Compensation unit reviews all PAPEs
and determines whether campus level approval is sufficient or if further approval is needed from the
University Office of Human Resources and the State Universities Civil Service System.
Administrative appointments for tenure/tenure track faculty (including ‘Q’ appointments) are assigned
a generic PAPE number ‘50005’. Although a PAPE is not required, the unit should have a written job
description on file for the position. This may be requested by Faculty Affairs HR at the time of the
processing. This PAPE number should be populated in the National Occupation Code field in the
Regulatory Information Subform in NBAPOSN on the administrative appointment. Currently, non
tenured faculty who receive an administrative appointment cannot use the generic ‘50005’ PAPE
University of Illinois at number. An approved PAPE is required for the administrative appointment.

ADJUSTED MONTHLY RATES
When hiring a 9 month faculty member paid over 12 months on an initial partial term appointment, you
Faculty BioSketches must take into account that the employee will not be paid the full annual amount in this first partial
Biosketches due 04/06/07 year of employment. The monthly rate must be adjusted to account for the late start date and the fact
for May 2007 BOT Meeting that the appointment dates and pay will be through August 15. Please use the formula below In order
to determine the reduced monthly and annual salary for the first year.
PITR Deadline Date 1) First determine the 1/9th monthly rate. Offered Annual ÷ 9
• PITRs due 03/01/07 for 2) Determine the partial month of service. Take the actual work days worked in the first month and
divide by the number of work days in the first monthly pay period (See Payroll Pay Calendar).
March calc day
Include any paid holidays when counting actual work days.
• PITRs due 03/29/07 for
3) Calculate the partial pay for the first month by multiplying the 1/9th monthly rate by the partial
April calc day
month service fraction determined in step 2 above.
• PITRs due 05/01/07 for 4) Calculate the adjusted annual by multiplying the 1/9th monthly rate times the number of full
May calc day months of service through May 15 and adding the amount of partial pay determined in step 3.
5) Determine the temporary adjusted monthly rate by taking the adjusted annual divided by the
Faculty Offer Data number of full months of pay and the partial month service (fractional month).
Initial report due Example: A 9/12 faculty is being hired on August 25th at $72,000.
02/07/07. 1) the I/9th monthly rate is $72,000 ÷ 9 = $8000
2) the partial month of service multiplier for August 2006 is 16 / 22 = .7273
Monthly Leave Report 3) the partial monthly pay: $8000 * .7273 = 5818.1818
for Deans and VC Due 4) the adjusted annual: $8000 * 7 + 5818.18 = 61818.1818
02/23/07 5) the adjusted monthly rate: $61818.1818 ÷ 10.7273 = $5762.6972*
Both the offered annual and the adjusted annual should be included on the PITR. The above adjusted
monthly and adjusted annual rate should be submitted in the Monthly and Annual Rate field on the
PITR. Comments should include the actual annual salary with the calculations used to determine the
adjusted annual and monthly rates. In addition to entering the initial year appointment set-up in
Banner, Faculty Affairs HR also will add an 08/16 record for the following year with the offered annual
rate. This will establish a record to reflect the ’offered’ annual salary to load into Salary Planner.
The formula above would apply for ten-month employees paid over 12 months (10/12) however, the
unit must take into account the period of non-service when doing the calculations.
*Please remember to go to the fourth decimal point when calculating dollar amounts
