SAMPLE LETTER #2: REQUIRED TO WITHDRAW (AFTER SUMMER STUDIES)
Issued when a student is assigned a sessional grade point average after Summer Studies which is
below 1.00 while registered in 4.5 units or more OR is assigned a sessional grade point average below
2.00 WHEN ON PROBATION regardless of course load.



Dear Student,
                           REQUIREMENT TO WITHDRAW IN SUMMER STUDIES
                                            FACULTY

This is to advise you that you have been required to withdraw from the University of Victoria as a result of your
academic performance in the (year) Summer Session. The regulation which governs this action is listed under
‘Minimum Sessional Grade Point Average’ on page XX of the (year) University calendar. The period of
withdrawal is one year (e.g. August to August) for the first withdrawal and five years for a subsequent
withdrawal.

Your academic standing and requirement to withdraw are based on your latest sessional grade point
average; the University is not aware of your individual situation. You may appeal your withdrawal ONLY
if you meet one of the conditions (e.g. documented illness or domestic affliction) outlined in “Appealing
Admission Decisions” (see calendar/Undergraduate Admission section). Your letter of appeal should briefly
outline the difficulties that affected your studies; supporting documentation (e.g. medical) should accompany
your appeal. This information should be addressed to the Senate Committee on Admission, Re-registration and
Transfer (SCART) c/o Undergraduate Records. Please provide a day-time telephone number where you can be
reached in case clarification of your appeal is required.

If you are registered in subsequent Winter session, you are permitted to remain registered in the courses that
you have already begun (i.e. Fall term and year-long courses); all Spring term course registrations have been
dropped from your academic record. Your status for the (year) Winter Session will be ‘on probation’ and, if your
grade point average falls below 2.00 (C average), you will be ‘Required to Withdraw’ from the University a
second time.

If you do not wish to continue in the Fall term or year-long course(s) which have already begun you must
contact Undergraduate Records at reghelp@uvic.ca in order to initiate a drop of the course(s).

Students who have been required to withdraw and who are not eligible to appeal to SCART should note that they
must apply for permission to re-register in a future session according to the following directions:

To qualify for re-registration at UVic students must have satisfied the following conditions:

a) completed the required withdrawal period (of one or five years)

                AND

b) completed since their last registration at the University of Victoria a MINIMUM of six units of
transferable course work (excluding duplicate course work) with a C+ average in all courses
attempted.

Please refer to the University of Victoria calendar (under ‘Standing’) and access your academic record (grades)
on My page (www.uvic.ca/mypage) if you require further clarification of your status.
