Instructions on how to clean out folders in your email account that could be affecting your quota.
Why do you need to clean your folders regularly?
• Since each Faculty/Staff member has a mailbox size (quota) of 100MB, it is important for you not to
exceed this limit in order to be able to send and receive emails.
• This tutorial provides tips that will enable you to verify and clean out some of the folders in your
account that can be affecting the acmount of space left in your mailbox.
Checking Your Files in MS Outlook
• Open Microsoft Outlook.
• Open the Tools menu.
• Select Mailbox Cleanup.
- NOTE: If you do not see it on the list, you will need to expand the Tools menu by clicking on the
double arrows at the bottom of the menu.

Checking Your Mailbox Size
• Click on View Mailbox Size.

• The size of your mailbox is listed next to Total Size (including subfolders) in KB.
- NOTE: 1MB is equal to approximately 1000KB, therefore your Mailbox will be full at around 100 000
KB.

Cleaning Your Files in MS Outlook
• By returning to your Mailbox Cleanup Option, you may now choose the operation that you would like
to perform in order to clean out the folders that are affecting your quota.
