For 2007, many households will be able to register by mail. Please read the enclosed information carefully to determine if you can register by mail or will need to register in person. Also, please make sure that the registration forms are fully completed, as incomplete forms will not be processed. There are no fees to homeowners to register and obtain passes, other than for the replacement of lost passes, but you must reregister each year. As always, we welcome input from the communities and need volunteers to serve on or assist the pool committee. Please remember that Koger Management Group is the management company for the pool, regardless of which community you live in. Sincerely, Walney Mills Pool Committee WALNEY MILLS POOL FACILITY REGULATIONS 2007 The pool facility, located at 5458 Crystalford Lane and owned by the Walney Mills Homeowners Association, is operated for the benefit of the property owners of the Englewood Mews, Walney Glen, and Walney Mills developments. The pool facility is controlled by a five member Pool Committee comprised of representatives appointed by the respective Boards of Directors of the three Homeowners Associations. Control and costs are shared among the three developments per a Deed of Easement created in 1989. The following regulations are for the protection and benefit of all to ensure safe and sanitary operations of the pool and its facilities. Your cooperation in abiding by those conditions will afford pleasant relaxation and recreation for all concerned. Parents are requested to caution their children to observe all regulations and obey instructions of Pool Management personnel. These regulations may be revised or supplemented at any time by the Pool Committee. Failure to comply with these regulations is sufficient cause for ejection or suspension from the pool facility by the Pool Management or the Pool Committee and a potential forfeiture of pool facility privileges by the respective Homeowners Associations. For purposes of this document, the term “adult” is defined as a member who is at least sixteen (16) years of age and the term “member” is defined as an individual entitled to and registered to receive pool privileges. 1) No person, except the Pool Management, Pool Committee, Homeowners Associations Boards of Directors and Committees, and their authorized agents and contractors, shall enter the pool facility unless it is officially open and lifeguards are on duty. Only members and their guests shall use the pool facility. Violators will be prosecuted and their pool privileges will be suspended, subject to reinstatement only in accordance with Paragraph 9 below. All members using the pool facility do so at their own risk and sole responsibility. The Pool Management, Pool Committee, and Homeowners Associations do not assume responsibility for any accident or injury in connection with such use. The members and guests, or any other person or persons covenant(s) and agree(s) with the Pool Management, Pool Committee, and Homeowners Associations for and in consideration of the use of the pool facility to make no claim against the Pool Management, Pool Committee, and Homeowners Associations for an account of any loss or damages of life, limb or property sustained. POOL PRIVILEGES SHALL BE SUSPENDED TO ANY UNIT OWNER AND/OR THEIR TENANTS SHOULD THEIR ASSESSMENTS BECOME PAST DUE and shall be reinstated only upon payment of such fees to the appropriate Homeowners Association. All members using the pool facility consent to any necessary emergency medical care and are required to provide contact telephone numbers and third party emergency contact information at the time of registration. Owner(s) or Tenant(s) will be the emergency contact for any Nanny that they have registered and are responsible for maintaining the appropriate emergency contact information for such Nanny. All members using the pool are required to present their passes to the lifeguard upon 2) 3) 4) 5) Page 1 of 3 WALNEY MILLS POOL FACILITY REGULATIONS 2007 entering the pool facility. Passes will be returned when members leave the pool facility. 6) Only property Owner(s) or Tenant(s) (if owners have transferred their privileges) will be permitted to bring guests. The Owner(s) or Tenant(s) must remain on the premises as long as guests are using the facility. Guests will only be admitted with valid guest passes and provided there is sufficient room in the pool, as determined by the Pool Management. Members are responsible for all actions of their guests. Owners are responsible for the actions of their tenants and their tenant’s guests. The cost of any property damage incurred by a guest of a tenant will be charged to the responsible hosting member and/or homeowner as the case may be. Parents are responsible for the safety and conduct of their minor children. The Pool Management, Pool Committee, and Homeowners Associations are not responsible for loss of or damage to any personal property of members or guests. The Pool Management is responsible for the strict enforcement of all regulations established by the Pool Committee and all Fairfax County Ordinances applicable to the pool facility. All members must obey the instructions of the lifeguards, who have the authority to eject and temporarily suspend the pool privileges of any member or guest, if such person has violated these regulations or ordinances. The Pool Management will submit a written statement to the Pool Committee and Homeowners Associations explaining the reasons for the suspension. The suspension will be reviewed at the next scheduled Board of Directors meeting where a decision will be made regarding restoration of pool privileges. Any person vandalizing or removing pool property will be prosecuted and their pool privileges will be suspended, subject to reinstatement only in accordance with Paragraph 9 above. Children, twelve (12) years of age and under must be accompanied by an adult member and the adult member must remain with the children during the entire time they are at the pool facility. Children thirteen (13) years of age and older are permitted to use the pool unaccompanied by an adult member, with parental permission and when they can comply with minimum water safety standards as determined by Pool Management. Children may use the wading pool only when accompanied by an adult member. No child over eight (8) years of age is permitted in the wading pool. No lifeguard is specifically on duty for the wading pool. Adult members are responsible for the safety of their children in the wading pool. Children under two (2) years of age and those who have not been toilet-trained must wear swim diapers and plastic protective pants in all pool areas and while in the pool. A 10 minutes adult-only swim period may be held every hour on the hour at the discretion of the Pool Management. The pool may be closed at any time due to breakdown or other operational difficulties, inclement weather, emergency, and/or at the discretion of the Pool Management, Pool Page 2 of 3 7) 8) 9) 10) 11) 12) 13) 14) 15) WALNEY MILLS POOL FACILITY REGULATIONS 2007 Committee, or Walney Mills Homeowners Association. 16) 17) 18) Anyone wearing bandages, or who has skin abrasions, infections, or open sores is prohibited from using the pool facilities. All bathers must shower before entering the pool or after using the toilet. No pets will be allowed within the boundaries of the Walney Mills pool facility property. Seeing eye animals are allowed, when properly attended, and if maintained and/or trained in accordance with state, county, and local ordinances. No wheeled vehicles are allowed in the pool area except wheelchairs or ambulatory transport devices and strollers. Proper swimming attire is required. No cutoffs or shorts. Lost articles not claimed by the owner within twenty (20) days, will be disposed of. Residents are permitted to bring their outdoor chairs into the pool area. All furniture brought into the pool facility must be removed each day. Failure to remove said furniture may result in the disposal of said furniture. No alcohol is allowed in the pool facilities. Persons under the influence of alcohol are not permitted in the pool facility. All food must be transported in wrapped, closed, non-breakable (no glass). No food is permitted in the wading pool area. All trash, cigarette butts, matches, etc., must be put in the designated containers. No excessive noise (including music), running, pushing, wrestling, or other activity that disturbs the enjoyment of other users shall be permitted. The use of balls, water wings, facemasks, and other swimming equipment will be permitted at the discretion of the Pool Management. Only lifeguards are permitted on the lifeguard’s observation chairs. Diving is not allowed. Abusive language or unsanitary practices will not be tolerated. 19) 20) 21) 22) 23) 24) 25) 26) 27) 28) 29) 30) Page 3 of 3 Walney Mills 2007 Pool Registration Instructions Registration Note: Pool passes will not be issued to any member of a household whose Homeowner Association assessments are delinquent. The registration process for 2007 will depend on whether a household was registered and had photos taken for pool passes in a prior year: Households that registered and received passes in prior years If your household registered and received passes in prior years, then registration forms can be mailed to Koger Management Group or can be brought to the pool house on one of the registration dates shown below. If you attend one of the registrations at the pool house, you will receive 2007 stickers to update your 2006 passes at that time. If you mail your registration form, then your 2007 stickers can be picked up from the lifeguards the first time you use the pool. If any household member does not have their 2006 pass, be sure to indicate on the registration form that a replacement pass is needed. A new photo does not need to be taken to obtain a replacement pass. Replacement passes can be picked up from the lifeguards the first time you use the pool. If you have a new household member, a new nanny, or have a household member that changed to a new pass category (see Category of Membership below) or your pass photo was taken in 2002 or 2003, then a new photo must be taken for that individual. You must register in person either at the pool house or at Koger Management Group (see below). Households that did NOT register and received passes in prior years If your household did not register and receive passes in prior years, then registration must be done in person, so that photos can be taken for pool passes. Only Owners (or Tenants if Owners have transferred their pool privileges to Tenants) may register their household for pool membership. Children or other household members may not register a household or obtain passes unless accompanied by an Owner. Owners must provide photo Identification and proof of residency (drivers license or other appropriate identification) in order to register. Passes are not needed for children under the age of 5, but such children must be listed on the registration form. All household members, age 5 and older, that want pool passes must attend registration. Residents that are eighteen (18) years of age or older must also provide photo identification and proof of residency. Photo identification must also be provided to register a Nanny. Date May 6, 2007 May 15, 2007 May 19, 2007 Day Sunday Tuesday Saturday Time 1:00 p.m. to 4:00 p.m. 6:00 p.m. to 8:00 p.m. 2:00 p.m. to 5:00 p.m. If you can not attend one of these dates, then you must contact Paulette Heiderman at (571) 432-5770 to schedule an appointment to register at Koger Management Group, 4105 Rust Road, Fairfax, VA 22030. Membership and Pool Passes Pool passes contain photos, which are taken at the time of initial registration. Owners (or Tenants if Owners have transferred their pool privileges to the Tenants), household members who permanently reside with the owner at their residence in the Englewood Mews, Walney Glen, and Walney Mills developments, and Nannies (individuals who provide care to children who reside in the Englewood Mews, Walney Glen, and Walney Mills developments) are permitted to become members. The following types of membership passes will be issued: Category of Membership Adult - Owner or Tenant Adult - 16 and older (other than Owner or Tenant) Nanny - 18 and older (see separate heading below) Child - Unescorted * (ages 13 through 15) Child - Escorted (ages 5 through 12) Color White Green Blue Yellow Red * With parental permission and provided the child can comply with minimum water safety standards as determined by the lifeguards and Pool Management. Passes are not needed for children under the age of 5, but such children should be listed on the registration form. All residents that are eighteen (18) years of age or older must provide photo identification and proof of residency. Photo identification is also required to register a Nanny. Page 2 of 4 Walney Mills 2007 Pool Registration Instructions Registration Form Please PRINT all information on the registration form. Registration forms must be completely filled out. Please note the following when completing the form: • • • • • • • Circle the Type of Registration; Home and work phone (or cell phone) numbers must be provided; Owners (or Tenants) must also be listed in the Pool User Information section if they want passes; Relationship is the pool users relationship to the owner The Age of children and adult residents (other than owners) must be completed; Be sure to indicate whether each pool user has (in their possession) a 2006 pass; The Emergency Contact may not be a member of the Owners or Tenants household. This person will be contacted only when Owners or Tenants can not be reached at their home, work, or cell phone numbers; All forms must be signed by Owners (or their authorized representatives in the case of non-resident owners who utilize a property manager). If signed by a property manager, then substitute the property manager name and address for the non-resident owner address and provide the property manager phone number in the Property and Owner Information section; and Tenants who have been transferred the Owners pool privileges must also sign If you provide an e-mail address on the registration form you will be notified when your 2007 passes or stickers are ready to be picked up from the lifeguards. • • • Guest Passes Each household will receive a pass for five (5) guest visits for the season. Guests are allowed, if, in the opinion of the lifeguards on duty, there is sufficient room in the pool at the time of the request. Additional guest passes for five visits, at a cost of $5.00 each, may be obtained from Koger Management Group or the lifeguards. The lifeguards will require a check for the exact amount made out to “Walney Mills Pool”. Cash will not be accepted. Page 3 of 4 Walney Mills 2007 Pool Registration Instructions Nanny Pass To allow children of working-parents greater utilization of the pool, a Nanny pass will be available this year. The Nanny pass will allow a non-resident, who is eighteen (18) years of age or older, to escort resident children at the pool. There is a cost of $25 for the Nanny pass and the pass can only be used when escorting member children. Owners or Tenants will be the emergency contact for their Nanny and are responsible for maintaining the appropriate information regarding the Nanny to deal with any emergencies. Replacement Passes There will be a $5 fee for the replacement of lost passes. Requests for replacement passes should be made to the Koger Management Group or the Pool Committee through the lifeguards or by email at pool@walneymills.org Parking Parking in front of the pool facility is reserved for pool users during pool operating hours. Pool users will need to obtain a daily pass from the lifeguard and place it on the dashboard of their vehicle. Vehicles not displaying a valid parking pass may be towed without notice. Pool Season and Hours The 2007 pool season will start on Saturday, May 26 and end on Monday, September 3.
