Introduction
About this User Guide.
This user guide is designed as a reference for installing and using the Bowls Manager
Software. You do not have to read this guide from start to finish, unless you want to,
however it is recommended that you read through it at least once to familiarise yourself with
the software and its user interface.


What is Bowls Manager?
Bowls Manager is a software application, programmed to run on any Personal Computer that
uses Microsoft Windows as its operating system. The primary function of this software is to
allow a user, typically a league Secretary, to manage one or more bowling leagues, with
minimal input and effort.

For the technically minded, this software forms the client side of a ‘Client/Server application’.
Essentially what this means is that your computer ‘ the client’ communicates with a remote
server ‘www.online-bowls.com’, via an internet connection, to send and receive data. At no
point is any data stored on your computer, it is all stored on the remote server.

The key feature to this software is the fact that all information is stored on a remote web
server and updated in real-time, meaning that users can view up to date information on the
website at www.online-bowls.com. E.g. When a new match result is input into the Bowls
Manager software, league tables and leading averages are calculated and updated on the
website immediately and users visiting the website will see the latest information available.

The Main features of the software are summarised under the ‘Table Of Contents’ at the
beginning of this document. Details on how to use these features are described later in this
document under the section ‘Using The Software’.


Pre-Requisites.
Prior to installing and using the Bowls Manager Software, it assumed that the following
minimum conditions have been met:
     Your Computer is running Microsoft Windows. (e.g. XP or Vista)
     You have an active internet connection, ideally broadband, that is up and running.
     Microsoft Excel must be installed on the PC running Bowls Manager if you wish to use
         the export to XL features of this software.


Known Limitiations
At the time of writing this user guide is incomplete, however it will be updated fully over the
coming weeks, so please keep checking the website for the latest version of this user guide.

Software Installation
Navigate to the following URL. http://www.online-bowls.com/app/Disk1/setup.php




                                                     Click the following text to begin
                                                     the download.




Click the text labelled ‘Download Bowls Manager Software’. You will then be prompted to
Run the Setup, or to save the setup file so that you can run the install later.

Press ‘Next’ to begin Installation of the software.

Leave the default installation folder as ‘C:\BowlsManager’.




Press ‘Next’




Press ‘Install’

The installation process will now commence.




Upon Completion, the following screen will be displayed.




Press ‘Finish’
Installation of the software is now complete.

Launching the Application
A shortcut can be found on the desktop, see below.




Click on the icon to launch the application.




Logging in.
When the application is launched a login window will be displayed. Enter your USERNAME &
PASSWORD into the required fields and press ‘OK’
                                                              Location. (Disabled for normal users)
                                                              By default, users only have access to the
                                                              database at www.online-bowls.com.
                                                              Administrator has additional access to
                                                              development & test databases.




                                                                    Type your username &
                                                                    password here.


Note: Your Username & Password will have been notified to you in an email from the
Administrator. If you have forgotten your login details please email lee@online-bowls.com to
obtain your login details.


Login Errors.
Invalid username / password.

If you have entered an incorrect username/password, then the following screen will be
displayed.




Press ‘OK’ and re-type your correct login details.

Unable to connect to remote server.

If the connection to the remote server www.online-bowls.com is unavailable then you will
receive the following error.




In this unlikely event, first check that your internet connection is working.
Secondly navigate to the website www.online-bowls.com and check that the website is up
and running correctly.
If this problem persists, please contact the administrator, lee@online-bowls.com who will
investigate this further.

Upon successful login.

Once you have logged into the application, the software will first check to see if a new
version of the software is available for download. If so you will be prompted to download the
new version.
Please refer to the section of this document titled ‘Checking for Software Updates’

Additionally, if this is the first time you’ve used the software, you will be asked if you wish to
change your password.

Assuming you have the latest version of the software installed you will be presented with the
main screen.

Use this drop down box to select the database you wish to manage.

Selecting a League.
From the database dropdown list on the main screen, select the league you wish to manage.

Note: Only leagues that you are entitled to manage will be available from the drop down list.
ADMIN user has full access to ALL leagues.

Once you have selected a league, the details of the selected league will be displayed in the
‘Tree’ view. Where multiple seasons exist, the most recent season will be displayed at the top
of the list. See example below.

Selecting a Season to manage.

Where multiple seasons exist, you can view any individual season by highlighting the season
you wish to manage (Move the mouse over the season and press the ‘Left’ mouse button)
and then press the ‘Right’ mouse button. This will bring up a sub menu as follows:




                                                                         Select ‘Refresh This Season’




Select the Option ‘Refresh This Season’. This will then show only the current selected season.

Using the Tree View.

Once you have selected a ‘League’ & ‘Season’, you can manage the details by navigating the
‘Tree’ view window of the application.
Select the ‘+’ arrow next to the selected league. This will expand the details one level. See
below.




                                                                           A ‘+’ means the
                                                                            branch can be
                                                                              expanded.




Note: Whenever you see a ‘+’ symbol next to an item in the ‘Tree’ view, this means that
there is additional information available under that level. Clicking on the ‘+’ symbol (‘Left’
mouse button) will expand the selected level to reveal more sub-levels.

Likewise, where you see a ‘-‘ symbol this will close all sub levels under the selected level.
These levels are more commonly referred to as ‘Nodes’ or ‘Branches’ hence the term ‘Tree’
View.

Practice Expanding and closing the branches to get a feel for how the ‘Tree’ view works.

From now on in this document, each level of the tree will be referred to as a ‘Branch’

Maintaining League / Season Details

Overview
This section covers the process for managing information that is specific to the selected
league & season that you wish to manage.
Namely:
1.      League Setup Details – League Name / Sponsors details / Secretary Details.
2.      Website Options – This section determines what buttons are displayed on the
        website.
3.      League Rules – This section determines how league tables and averages are
        calculated / Displayed.

Note: The initial league setup would have been performed by the System Administrator, so it
is unlikely that a user would need to amend any of the details in this section.

Edit League / Season Details
To edit the League / Season Details, first ensure that you have highlighted the Season you
wish to maintain, then
‘Right’ click the mouse to bring up the popup menu.

Select ‘Edit League / Season Details. See image Below.




The following screen will then be displayed.

                                                                        Page 1 – League Setup
                                                                        Page 2 – Website Options
                                                                        Page 3 – Rules
                                                                        Click on a page to select.

                                                                      Email Details.
                                                                      Information entered into these
                                                                      fields will determine where Match
                                                                      Results and Emails are sent to.

Maintain Fixtures / Results
The section should describe the processes involved in creating fixtures and entering of match
results. Given that the system administrator has already setup the league fixtures in the
database, the section will primarily focus of the process for entering match results.

Prior to entering a match result, you must first bring up a list of fixtures.

Highlight the relevant league / season in the ‘Tree’ and ‘Right’ click the mouse to bring up the
popup menu.

Select ‘Maintain Fixtures / Results’. See image Below.

                                                                       selected league / season.




The ‘ Maintain Fixtures’ screen will then be displayed. See Below.

                                                                                Use the filter boxes to
                                                                                narrow down the list of
                                                                                fixtures displayed on
                                                                                screen.




This screen displays a list of all fixtures for the selected league/season. In the above example
we can see all the fixtures for the Welcome Bowling League – Over 50’s – 2009 season.
To limit the number of fixtures displayed on screen you can use the filter options on the right
hand side of the screen.
E.g. If you wish to show only the fixtures for week 1, then select week 1 from the Date/week
filter. Additionally you may only wish to see the fixtures for Week 1 & Division 2. In this case
you would select ‘1’ from the Date/Week filter and ‘2’ from the Division filter.

The details on screen will refresh automatically once you make a selection.

Note: The ‘Refresh’ button is optional. You should not need to press this button as the details
on screen should refresh automatically.

In the example below you will see how the fixtures are displayed when we apply the week
filter. In this example we only want to show the fixtures for week 1. See Below.

Entering Match Results
To enter or amend a match result you must first select the match from the list of fixtures. To
do this first ensure you have a list of fixtures displayed on screen, then ‘Double Click’ on the
required fixture in the list.
In the following example we will enter a match result for the fixture ‘Bloomfield A v Bispham’.
This so happens to be the first one displayed at the top of the list. ‘Double Click’ on the
fixture in the above screen to bring up the ‘Match Result’ screen. See below.


                                                        Handicap. Unless your league uses an
                                                        handicap system you should not enter any
                                                        values in these boxes, leave values at ‘0’

                                                        Use the Drop down boxes on the left side
                                                        of the screen to select ‘Home’ players.


                                                        Use the input boxes on the left side of the
                                                        screen to enter the Home players score.



                                                        Use the Drop down boxes on the right side
                                                        of the screen to select ‘Away’ players.


                                                        Use the input boxes on the right side of
                                                        the screen to enter the away players score.



Although the above screen looks some what complicated it is actually very straightforward to
use. Home team details are displayed on the left hand side of the screen and away team
details are displayed on the right hand side. Essentially all you have to do is work down the
page entering the details as you go.

Note: The Points and Aggregate are automatically updated as you enter each individual result
into the screen, however you do have the option to overtype these with different values.

Tip: The fastest way I have found to use this screen is to use the following sequence.
    1) Add the home player names to the result card first.
    2) Add the away player names to the result card next.
    3) Enter the individual scores for the home players.
    4) Enter the individual score for the away players last.

So, with the above logic in mind let’s have a go at entering a match result.

Click on the ‘Arrow’ next to Home Player 1. See orange circle below.




Once you have clicked on an arrow a screen will be displayed allowing you select the player
from the list of available registered players. See below.


                                           Select a player from the list of registered players.
                                           Note: Names are displayed in Surname first.

                                           You can type a name on the keyboard (surname
                                           first), rather than using the mouse to find a
                                           player.




Select the players name from the list and press ‘OK’ the screen will close and the players
name will be added to the match result. See Below.

                                              In this example you can see that
                                              Frank Dixon has been selected has
                                              Home Player (1).




Repeat the above process until you have selected all the home players. The screen should
look something like this. See Below.

Once all the home players names have been added to the card, you must repeat the above
process on the right hand side of the screen and select all the away players for the match.

Once all the away players have been entered your match result should look something like
the following below.

Next you need to enter the individual scores obtained by each player. So first lets start with
the home team.
Start by entering the score for home player 1. See example below. Type the players score
into the box circled in orange.




                                                        Type in the scores for the home

                                                        Repeat for each player.




Repeat the process until you have entered all the scores for the home players.

Once you have done this your screen should look something like the one below.

                                                Note: As you start to enter
                                                individual player scores, you will
                                                notice that the Match Points and
                                                Aggregate are automatically
                                                updated.




Repeat the above process for the away players until all scores on the card have been
entered. Once complete you screen should look something like this.

Once you are happy that the information entered on screen looks correct, you may press the
‘Save’ button.

Match Result Validation.
When you press the ‘Save’ button the computer will first apply some validation rules prior to
saving the result to the database. Therefore if any of the following checks fail then it will not
be possible to save the result until corrective action has been taken.
      All Fields must be populated.
      Duplicate players are not allowed.
      A players name cannot be BLANK.
      A players score cannot be BLANK.
      Both home & away players scores cannot be 21. e.g a score of 21-21 is not allowed.
      One of the home/away players scores must be 21. e.g. a score of 20-15 is not
         allowed.
If validation fails, an error message will be displayed and the offending record will be
highlighted on screen.

Once a match result has been successfully saved, the database will automatically update the
league tables and leading averages. Therefore anyone accessing the website will see the
most current up to date information.

Note: There may be a slight delay after you save a match result whilst the computer performs
the updates to the website, this is normal.

Once the result has been saved, the window will close and the Maintain Fixtures screen will
be displayed. See below.

Adding comments to the match result.

In some cases you may wish to add some comments to the match result. For example if a
team as incurred a fine, or they’ve played an unregistered player. Alternatively a fixture may
have been postponed and you wish to record the new date of the revised fixture.

To add comments to a match result, ‘Double click’ on a fixture to bring up the match result.
See example below.


                                                       Type your comments into the

                                                       Tick this box, if you wish the
                                                       comments to be displayed with the
                                                       match result on the internet.




Type in the comments into the ‘Comments Field’.
You can keep the comments personal for your own use only, however if you wish to make
the comments publicly available for all to see on the internet then tick the box labelled ‘Show
On Internet’.

Postponed Fixture.

In the event where a fixture has been postponed you can notify users on the internet that the
fixture has not been played/postponed. To do this, ensure that the comments in the match
results start with the letters ‘PP’, and that the ‘Show On Internet’ box is also ticked. See
example below.




                                              Enter details of the postponement in
                                              the comments box. In order for the
                                              match result to show as Postponed on
                                              the internet, please ensure the
                                              comments start with the letters PP.

                                              Don’t forget to tick the box ‘Show On
                                              Internet’




Note: If you try to save a match result where you have not entered any players names or
scores as in the above example, you will receive an error message as follows.




Press ‘Yes’ to save the ‘Comments’ to the match result.

Unregistered Players & Walk Overs (Man Short)
Situations may arise where a result card contains the details of an unregistered / ineligible
player, or a Walk Over (Man Short). Therefore when you are attempting to complete a match
result using this software you will be unable to find the players name listed in the list of
registered players.

See example below, in this scenario I want to select a player named ‘Lee Kitchen’ as his name
appears on the result card received in the post, however his name does not appear in the list
of registered players.

Note: If the player is legitimate and you failed to add them to the list of registered players,
then you will need to add them to the list of registered players. Unfortunately to do this you
will have to discard any changes you have made to the match result, add the player to the
list of registrations, then re-enter the match result.

                                            For Unregistered players, select the first
                                            player in the list named ‘** INVALID ** **
                                            PLAYER **.




Once you are satisfied that the player is indeed unregistered then you will need to follow
these steps.
Select the first player in the list named ‘** INVALID ** ** PLAYER**.
Next type in the name of the player in the box at the top of the screen (Name on Card).

See Example Below.


                                        Overtype the ‘Name on Card’ with the name
                                        of the Player e.g. *Lee Kitchen
                                        (Unregistered).



                                        Alternatively in the event of a walk over
                                        (Man short) you can replace the name on
                                        card with some text like the following. ‘Walk
                                        Over – Man Short’.




Press ‘OK’ to select the ‘** Invalid Player **’.

Note: When you have selected the ‘** INVALID PLAYER **’ and replaced the name
on the card, the result on the score card for this player will default to ‘0’ and their
opponents score will be set to ‘21’. (These values cannot be changed).
Also note, when calculating league averages, the opponent who was awarded the 21-0
score will count a score of 21-11 towards their league average.

Below is an example of how the result card looks when an ‘** INVALID PLAYER
**’ is selected.
Note: The name is highlighted in yellow and ‘0’ has been awarded for the score.

Maintaining News
The section describes the processes involved in creating a news item / bulletin so that it is
visible to users on the website.

All news items will appear on the front page at www.online-bowls.com
Additionally, news items can be set to appear for each individual league.
Therefore we can consider news items to be ‘League Specific’ or ‘Non League Specific’. By
default all news items are considered to be ‘League Specific’

To access the news section, first ensure that you have highlighted the branch labelled ‘News’,
then ‘Right’ click the mouse to bring up the popup menu.

Select ‘Maintain News. See image Below.




A Window will appear, allowing you to maintain news items, See below.


                                                                To Edit an existing news item,
                                                                Double click on the highlighted
                                                                record.


                                                                To Add a news item click on
                                                                the ‘Add News’ Button.

Add A News Item
To add a news item, click the button labelled ‘Add News’. The following will be displayed.

                                                            This Field indicates that this
                                                            news item is specific to that
                                                            league.
                                                            If you clear this text then the
                                                            news item will be considered
                                                            ‘Generic’. E.g. It is non league
                                                            specific.



    A) Enter the Main Title of the news item in the ‘Title’ Field. By default the name of your
       selected league will be populated.
    B) Enter a brief description for the news item in the ‘Subtitle’ Field.
       E.g. (‘Collection of Handbooks’)
    C) Enter a more detailed description of the news item in the ‘News Item’ field.
       E.g. (‘Handbooks are available for collection on Wed 24th March 2010 at Blackpool
       Subs BC from 7:00pm onwards.’)

Notes: If you wish to add a generic news item / bulletin that is NOT specific to your league,
then you will need to remove the text in the ‘Title’ field and secondly REMOVE the short text
in the ‘LEAGUE’ field on the top row. This news item will only be displayed on the main page
of online-bowls.com and will not be included in the news items of each specific league.

Additional Notes: The main ‘News Item’ field that contains the main body of your news
message is formatted so that it will accept the text as ‘HTML’ formatted text rather than ‘Plain
Text’ . This allows the user to enter special codes to format the text.

I suggest users have a look at existing news items that I have already added, to see how the
text is formatted. E.g. If you wish to add a new line you would normally press ‘Enter’ on the
keyboard. In Html you would type the following <br>

Edit / View an existing News Item
To edit or view an existing news item you must double click on the highlighted news item.
Doing so will bring up the following screen with details of the news item pre-populated.
See below:

                                                            To expire a news item so that

If you wish to make any changes, then overtype the existing information with the new
information. Press OK when you are happy with the changes. Press ‘Cancel’ to close the
screen without making any changes.

Note: Please do NOT make any changes to news items that have not been created by you.

Maintaining League Officials
The section describes the processes involved in maintaining the league officials for your
league. Note: If you assign one or more league officials to your league, then the officials
details will be visible on the website.

To maintain league officials, first ensure that you have highlighted the branch labelled
‘League Officials’, then ‘Right’ click the mouse to bring up the popup menu.

Select ‘Maintain League Officials. See image Below.




A Window will appear, allowing you to maintain league Officials, See below.

Add A League Official
To add a league official, click the button labelled ‘Add’. The following screen will be displayed.


                                                                   Click this button to select
                                                                   an existing contact from
                                                                   the database.




    A) Enter the Main Title of the Official n the ‘Title’ Field. E.g. (‘President’)
    B) Select the name of the official from the existing list of contacts in the database.
    C) Enter any comments. E.g. (Name of the club that official represents).

Press ‘OK’ to save the changes, press cancel to close the screen without applying any
changes.


Modify an existing League Official
To modify an existing league official, ‘Right’ click the highlighted record to bring up the popup
menu and select ‘Edit Official’.

Delete an existing League Official
To delete an existing league official, ‘Right’ click the highlighted record to bring up the popup
menu and select ‘Delete Official’.

Sorting the League Officials List.
Depending on how the list of officials has been maintained, it may be necessary to resort the
list so that the officials appear in the correct order.

To move the position of an existing league official, ‘Right’ click the highlighted record to bring
up the popup menu and select ‘Sorting \ Move to position X’. (where X is the position you
wish to move them to). See below.




In the above example we wish to move the President to position 1. After selecting the menu
option to move to position 1, a warning message will be displayed. See below:




Press ‘Yes’ to move the position of the official. Press ‘No’ to cancel.
When you have moved the position of an official the list of officials will refresh. You can see
from the following example that the ‘President’ has now moved to position 1.

Maintaining Clubs

Add New Club
To add a new club, first ensure that you have highlighted the branch labelled ‘Clubs’, then
‘Right’ click the mouse to bring up the popup menu.

Select ‘Add New Club’. See image Below.




A Window will appear, allowing you to enter the name of the club you wish to add.
See below.

                                                       Type in the name of the Club here.


                                                     Type in the number of Teams
                                                     associated with the club here.



Type in the name of the new club and enter the number of teams associated with this club.
Press ‘OK’ to save the changes, press ‘Cancel’ to close the screen without adding a new club.

If the club name or no of teams is blank then an error message will appear prompting you do
enter the correct details. You must specify at least one team to be added for each new club.

Once the details have been verified, you will be prompted to add default teams.




Select ‘No’ to add the new club, without associating any teams. Press ‘Yes’ (Recommended).

If more than one team is specified, the first team will be added with the same name as the
club. The 2nd team will be labelled with ‘A’ at the end, the 3rd team will be labelled with ‘C’ at
the end. See Example below.

Note: It doesn’t matter if you add an incorrect number of teams, this can be corrected later.

If you try to add a club and a club with the same name already exists, then you will receive a

Rename Club
To Rename a new club, first ensure that you have highlighted the branch with the name of
the club you wish to rename

Assign Secretary
To assign a Secretary to a club, first ensure that you have highlighted the branch with the
name of the club you wish to assign a Secretary.
‘Right’ click the mouse to bring up the popup menu.

Select ‘Assign Secretary’. See image Below.




The ‘Contacts’ will then be displayed whereby you will be able to select the contact you wish
to add as Secretary. See below:

                                                                          contact(s) with the specified

highlighted row to select the contact.

Note: If you cannot find the name of the contact you wish to assign then you will need to add
a new contact. Please refer to the section of this document titled ‘Maintaining Contact
Details’.

of the club Secretary will now be displayed under the club name. See below.

Delete Club
To delete a club, first ensure that you have highlighted the branch with the name of the club
you wish to delete.
‘Right’ click the mouse to bring up the popup menu.




Select ‘Delete This Club’. A warning message will then appear as follows:




Select ‘No’ if you do not wish to delete the club.
If you select ‘Yes’ the club will be deleted. In addition, any teams associated with this club
will also be deleted and all fixtures for the associated teams will be set to Byes.
Once the operation have completed, the tree view will refresh and the ‘Deleted’ Club will no
longer appear in the list.

Note: Extra care should be taken when deleting a club as this procedure cannot be undone.
Ideally this procedure should be performed by the system Administrator.

Maintaining Teams

Adding a Team
To ‘Add a Team’ first ensure that you have highlighted the branch with the name of the club
you wish to add a team to.
‘Right’ click the mouse to bring up the popup menu.




Select ‘Add Team’. The following screen will be displayed.




Select ‘No’ to cancel the operation.
Select ‘Yes’ to add a new team to the selected club.

If ‘Yes’ is selected a new team will be added to the club. The tree view will then refresh and
you will be able to see the newly added team under the club name. See below:

Note: The newly added team will take the same name as the club name. Therefore is you
wish this team to be named as the ‘A’ or ‘B’ team then you will need to rename the team.

Assign Team to a Division
To assign a team to a division first ensure that you have highlighted the branch with the
name of the team you wish to assign a division to.

‘Right’ click the mouse to bring up the popup menu.
Navigate to the option ‘Assign to Division’ and select the division from the list. The list of
available divisions is currently 1 to 7. See screenshot below.
                                                                           Note: If a team is not currently
                                                                           assigned to a division, the text
                                                                           (Div NOT YET ASSIGNED) will be
                                                                           displayed next to the team
                                                                           name.



                                                                           Select the division form the list.
                                                                           In this example Division 2 will be

Assign Green to a Team
To assign a Bowling Green Location / Venue to a team, first ensure that you have
highlighted the branch with the name of the team you wish to assign to a green.
‘Right’ click the mouse to bring up the popup menu.

Select ‘Assign to Green’. See image Below.




The ‘Bowling Greens’ screen will then be displayed whereby you will be able to select the
bowling green to assign to the team. See below:

                                                                     you to the green(s) with the
                                                                     specified name. This may be quicker
                                                                     than scrolling through the entire list.

When you have identified the Bowling Green you wish to assign to the team, double click on
the highlighted row to select the team.

Note: If you cannot find the name of the bowling green you wish to assign then a new
bowling green will need to be added. Adding of new bowling greens is an Administrator
function. Please contact the Administrator to add a new bowling green.

Assign Team Captain
To assign a captain to a team, first ensure that you have highlighted the branch with the
name of the team you wish to assign a captain.

The ‘Contacts’ will then be displayed whereby you will be able to select the contact you wish
to add as Captain. See below:

Remove Team Captain
To remove a captain from a team, first ensure that you have highlighted the branch with the
name of the team you wish to remove the captain from.
‘Right’ click the mouse to bring up the popup menu.

A warning message will then be displayed. See below:




Select ‘No’ to cancel without removing the team captain.
Select’ Yes’ to delete the captain from the team.

If you select ‘Yes’ the captain will be removed from the team and the tree view will refresh.

Assign Vice Captain
The process for assigning a vice captain to a team is identical to that of assigned a team
captain, except that you use select ‘Vice-Captain’ from the menu instead of ‘Captain’.

Remove Vice Captain
The process for removing a vice captain from a team is identical to that of removing a team
captain, except that you use select ‘Vice-Captain’ from the menu instead of ‘Captain’.

Delete Team
To delete a Team, first ensure that you have highlighted the branch with the name of the
Team you wish to delete.
‘Right’ click the mouse to bring up the popup menu.




Select ‘Delete This Team’ from the menu. A warning message will then be displayed.




Select ‘No’ if you do not wish to delete the team.
If you select ‘Yes’ the team will be deleted. In addition, any fixtures for the team will be set
to Byes.

Maintaining list of registered players
A list of registered players must be allocated to each club that has been setup.

A list of registered players is necessary, as you will not be able to enter match results for a
particular team if registered players have not been allocated.

Depending on your requirements registrations can be allocated in one of two ways.

1).     A list of registrations is maintained for each CLUB. When entering match results for a
team associated with this club, you will be able to choose any player that is registered with
the club. This is typical if a club only has one team.

2).      In some cases, depending on the league rules, it may be necessary to allocate
registered players to a specific team. Typically this would be were a club has more than one
team in the league. In this scenario, you first allocate all the registered players to the club
and then allocate the players to each specific team. When it comes to entering the match
result for a particular team you will only be allowed to choose from the list of players
registered with that team. This is explained in further detail under the section ‘Entering Match
Result’.


Registrations – Assigning to Club.
First of all you must allocate a list of registered players for each club. To do this, first ensure
that you have selected the name of the club you wish to assign registrations. Right’ click the
mouse to bring up the popup menu. See below.




Select the option ‘Registrations – Assign Player to Club’.

This will display the Registrations screen, see below.

                                                                           Type in the name of the player
                                                                           you wish to add, surname first,
                                                                           from the lookup list. This will
                                                                           make it faster to locate
                                                                           players.




The Registrations screen lists all players currently registered in the Bowls Manager Database.
This list has been compiled over time by gathering registration data from various clubs.
Find the player you wish to register with the selected club by scrolling through the list. If you
cannot find the player in the existing list you will need to add a new player. Refer to the
following section of this document titled ‘Add New Player’.
Once you have identified the player, ‘double click’ on the selected player to add them to the
clubs list of registered players..
The tree view will refresh. If you expand the Registrations branch on the ‘tree’ view you will
see the players registered with the club. See example below.

                                                                     In this example you can see that
                                                                     Lee Kitchen has been added to
                                                                     the list of registered players.




Repeat the above process to add more registered players to the club.

Add New player
During the process of assigning player registrations to a club, you may find that the player in
question doesn’t exist in the current database. In this case you must add a new player to the
database and then assign this player to the relevant club.
Lets assume we want to assign a player named ‘Joe Bloggs’ to the selected club.

First we try and locate the player from the current list. See below.



                                                              We wish to assign Joe Bloggs to the
                                                              club, however looking at the current
                                                              list we can see he doesn’t exists.




                                                              Press ‘Add New Player’ to add a
                                                              new player to the list.




Looking at the above screen we can see that ‘Joe Bloggs’ does not appear in the list.
Press the ‘Add New Player’ button to add the new player. The following screen will be
displayed.
                                                       Enter the BCGBA no of the player
                                                       you wish to add, then press the
                                                       TAB key.
                                                       The system will search the NL&F
                                                       database and display the details
                                                       held for that BCGBA number.

                                                          If you do not have a BCGBA no for
                                                          the player, then you can open up
                                                          the search page on the internet,
                                                          where you can then search for the
                                                          player to try and establish their
                                                          BCGBA number.

                                                          Press this button to populate the
                                                          Forename & Surname with the
                                                          details held in the NL&F database.

Type the BCGBA number into the BCGBA field and press tab. The system will then retrieve
the details from the North Lancs & Fylde database for the given BCGBA number.

Note: If the player details displayed in the North Lancs & Fylde database are not as expected
e.g. a different name appears, or the details are blank, then it is most likely that you have
entered the wrong BCGBA number. You will then need to click on the ‘Open Browser
(Search)’ button to search the NL&F database for the correct number. If the BCGBA number

you have cannot be found, or is incorrect then please leave the BCGBA number blank and
manually type in the Players details. (Forename, Surname, Gender)
If the BCGBA number provided is incorrect or you do not have a bcgba number, then you will
need to perform a search on against the NL&F database to try and ascertain the correct
BCGBA number. Refer to the section of this document titled
‘Search The North Lancs & Fylde Registrar Database’.

When you are happy with the details you have entered then press the OK button to save the
details. Press Cancel to close the screen without saving any changes .

Under certain circumstances you may receive a warning message when trying to save the
details of the new player. Eg.

     If all the fields have not been populated.
     If a player with the same name already exists.
     If a player with the same BCGBA number already exists.
Either way you will still have the option of saving the details or cancelling without saving.

Note:
If you receive a warning that a player exists with the same BCGBA number, at the name
happens to be the same, then DO NOT save the details as the player already exists in the
database. Press cancel to close the screen, then find the player from the existing player list .

Search The North Lancs & Fylde Registrar Database.
If you wish to Search the North Lancs & Fylde database to try and find a BCGBA number for a
player then you can click on the button ‘Open Browser (Search). The following screen will be
displayed.




Enter the details of the player you wish to search for and press the search button. A list of
players matching your search criteria will then be listed. See Below.




If you have successfully managed to search the database and identified the correct BCGBA
no, you may re-enter this BCGBA number into the Bowls Manager Registration screen and
continue.

Once the player has been successfully added, the list of players will refresh and you can then
select the player from the list of available players. See below.

‘Double Click’ on the selected player to add them to the list of registered players for the club.
The screen will close and the ‘Tree’ view will refresh showing the newly added player. See
example below.




The above example shows that ‘Joe Bloggs’ has been successfully added to the list of
registered players for “Lee’s New Club”.

Edit ‘Existing Player’ registration details
At some point you may find that a players registration details recorded in the database are
incorrect. E.g. Name spelt incorrectly or BCGBA no is incorrect. To edit a players details you
must first bring up the ‘Registrations screen’. If you are in the process of assigning a
registered player to a club then the ‘Registrations’ screen will already be open. If not you can
select ‘Maintain Players’ from the ‘Tools’ menu on the Main menu, see below.


                                              Select ‘Maintain Players’ from the Tools
                                              menu, to bring up the registrations screen.




Once the Registrations screen is displayed and you have selected the player in question, you
can edit the contact details as follows. ‘Right click’ on the players name and select ‘Edit Player
Details’. See Example Below.




The Edit Player details screen will now be displayed, along with the existing details of the
selected player.




Enter the revised player details and press ‘OK’ to save the changes.
Press ‘Cancel’ to close the screen without saving any changes.

Note: Warning messages will be displayed if the amended player details conflict with an
already existing players details.

Remove Registered player from Club

If a player has accidently been registered to the wrong club, you can remove the player in
question from the list of registered players. To do this, first ensure that you have highlighted
the branch with the name of the Player you wish to remove. Right’ click the mouse to bring
up the popup menu. See below.




Select ‘Remove From Club Registrations’ to remove the player from the list.
If the player has already played at least one match for the club then they cannot be removed
from the list. In this instance the following warning message will be displayed.




Once a player has been deleted, the ‘Tree’ view will refresh and the player will no longer
appear in the list of registered players for the club.

Allocating Club Registrations to specific teams.
Assuming that a list of registered players has been allocated to a club, it is now possible to
allocate players to a specific team.

Note: This process is not necessary if the club only has one team.

From the ‘Tools’ option on the ‘main menu’, select ‘Maintain Club Registrations’. See example
below.




The following screen will then be displayed.
                                                                   C) Select Team from this
                                                                   dropdown list.

The first step is to select the club name from the drop down list, Top Left. (A)
Upon selection, a list of registered players associated with the club will be populated below in
window B.
Next select the team you wish to assign players to. Top Right (C).
If any players have been assigned to this team they will appear in the window below. (D).

To transfer players from the club to the team you must select the players in the left window
(B) and press the button labelled ‘>>>’. This will move the selected players to the team.

To reverse the process and move the players from the team back to the club you must select
the players in the right window (D) and press the button labelled ‘<<<’.

To select one or more players hold down the CTRL key on the keyboard and press the left
mouse button. A marker, circle, will appear next to the players name to show that they have
been marked for selection. Also the players name will be highlighted in blue. See example
below.

Once you have selected the players, press the ‘>>>’ button to transfer the players to the
team. A confirmation message will then appear. See below.




Press ‘Yes’ to allocated the selected players to the team.

When you have allocated the selected players to the relevant team, the data on screen will
refresh. See example below.




Repeat the above process for any remaining players / teams until all players have been
assigned to the correct team.

Viewing List of Registered Players on the Website.
As and when players have been registered with the correct club / team, it is possible to view
the list of registered players associated with a club on the website.

To view the list of registered players on the website, perform the following steps.

1) Goto the website www.online-bowls.com
2) Select your league, in this example I will use the Fylde Amateur Bowling Association
3) Click on the button labelled ‘ Club Zone’. See Example below.

It is actually easier to view the list of registered players for a club by viewing them on the
website, rather than viewing them in the ‘tree’ view of Bowls Manager.

As and when you add a new registered player to a club / team you will be able to see the
change to the list of registered players on the website by refreshing the webpage.

Export Match Results / League Tables & Leading Averages to XL
Spreadsheet.
The Bowls Manager software is capable of exporting data in Microsoft Excel spreadsheet
format. The Data that can be exported is as follows:

       Match Results
       League Tables
       Leading Averages/Aggregates.

Generally the data would be exported to a spreadsheet each week, once all the match results
for that week have been entered into the database. The spreadsheet can then be emailed to
anyone in your mailing list. As an example, I email the spreadsheets to the local press so that
the results can be published in the evening newspaper.

To export data to a spreadsheet select one of the following options from the ‘File – Export –
Spreadsheets’ menu. See below.
                                                             Select ‘Aggregates’ to export
                                                             a list of Leading Aggregates/
                                                             averages to a spreadsheet.


                                                             Select ‘League Tables’ to
                                                             export league tables to a
                                                             spreadsheet.

Maintaining Contact Details
A contact is a named person, typically a league official, league secretary, team captain or vice
captain. Contact details are recorded in the database and the information stored against each
contact comprise of the following:
     Title
     Forename
     Surname
     Address
     Postcode
     Telephone
     Tel Work
     Tel Mobile
     Email Address
The database stores the most current information known about the contact and comprises of
one or more of the above fields. As a minimum, the contact forename and surname must be
entered.

Contact details are visible when browsing the website. E.g. League Officials & Club contact
details, which are all derived from the list of contacts stored in the database.

There may be instances where a specific contact is referenced multiple times within the
database. E.g. Joe Bloggs may be the Secretary for a club in one or more leagues, he may
also be the captain of a team, and a treasurer of another league. If we then update the
contact to change their phone number for example, then we only have to update this one
record for the contact. All other references that point to this contact will be automatically
updated.


Add New Contact
To add a new contact, first ensure that you have the ‘Contacts’ screen open.
If you are in the process of assigning a league official, secretary, captain or vice captain then
this screen will already be visible.
If the ‘Contacts’ screen is not visible you can select it by clicking on ‘Maintain Contacts’ under
the tools section of the main menu. See below.

The ‘ Contacts’ screen will then be displayed. See Below.


                                                            Click the ‘Add New Contact’
                                                            button to add a new contact to
                                                            the database.




When the ‘Add New Contact’ button is pressed, the following screen will be displayed.


                                                    Enter the contacts details into the
                                                    fields shown. As a minimum the
                                                    Forename and Surname must be
                                                    entered.




Once you are happy with the details you have entered, press the OK button to save the
changes. Press ‘Cancel’ to close the screen without saving any changes.

In the following example we will add a new contact named ‘Joe Bloggs’. See below.



                                                      Press ‘OK’ to add the
                                                      new contact details to
                                                      the database.




Once the new contact details have been saved, the contacts screen will refresh and display
the details of the newly added contact. See example below.

Edit Existing Contact Details.
To edit the details of an existing contact, first ensure that you have the ‘Contacts’ screen

                                                               First ensure that you have
                                                               selected the contact you
                                                               wish to edit, from the
                                                               available list.
                                                               Next ‘Right click’ the mouse
                                                               to bring up the popup menu,
                                                               then select ‘Edit Contact
                                                               Details’.




Once you have selected the ‘Edit Contact Details’ the following screen will be displayed
containing the existing details for the contact.


                                                     Enter any details that have changed
                                                     and press the ‘OK’ button to save the
                                                     changes.




Once you are happy with the details you have entered, press the OK button to save the
changes. Press ‘Cancel’ to close the screen without saving any changes.

The ‘Contacts screen will refresh, showing the contact and any updated information that you
may have changed.

Checking For Software Updates
You can check for software updates by selecting ‘Help’ from the main menu and the selecting
‘Check For Software Update’.

Additionally, Bowls Manager automatically checks for updates each time it is started.

If a newer version of the software is available you will receive a message similar to the one
below.




Selecting ‘Yes’, recommended. will close the application and direct you to the website where
you can download the latest version.
Refer to the section at the beginning of this document titled ‘Software Installation’

Selecting ‘No’ will close the window and you can continue using the software on the current
installed version.

If no updates are available you will receive the following message.

Changing Your Password
You can change your password at any time by selecting ‘Tools’ from the main menu and
selecting ‘Change Password’. Optionally you can click on the padlock on the shortcut menu.

Additionally, you may be prompted to change you password the first time you log into the
software.

The following screen will be displayed.




Enter your current/existing password into the ‘Current Password’ field.
Type your New password into the ‘New Password’ field.
Re Type your New password into the ‘Confirm New Password’ field.

Press ‘OK’ the save the Password.

Should you enter any incorrect information, you will be prompted to correct this and to retry.

Should the change be successful, the window will close.

Pressing ‘Cancel’ will close the screen without applying any changes to your password.

Note: The change of password will take effect the next time you login to the Bowls manager
