Introduction

PACS General Access Computing Center works to meet the general academic

computing needs of current enrolled UNT students. It is a place to provide high

technical and quality services. The mission of PACS General Access Computing

Center is to offer the students a comfortable and professional environment for their

computing needs.



PACS General Access Computing Center has one primary computer lab and three

classrooms with more than 150 computers. The lab is located at 255 in Chilton Hall.

It is divided into two parts. The front lab has nineteen computers and three printers,

which are used for group study. In the back lab, there are thirty four computers and

two printers available for individual work. Three classrooms, CH270, CH274,

CH388, are used for scheduled SMHM classes.



The software installed in the computers provides various academic and high-tech

tools for the students, especially those involved in College of Public Affairs and

Community Service.



This employee manual focuses on providing lab monitors with

1. information of lab procedures and policies

2. guidance to improve their working behavior

3. updated and completed troubleshooting

4. a textbook for the new employees during the training period.

Mission of PACS General Access Computing Center



The mission of PACS General Access Computing Center supports University of

North Texas missions and academic plan.





Location

PACS General Access Computing Center is located on 470 Ave. C, Denton, TX,

76201.

PACS General Access Computing Center Policies



1. PACS General Access Computing Center is only available for students current

enrolled at UNT.

2. Patrons have to provide valid UNT student picture ID card in order to check

in. Valid picture ID card, such as driver’s license, with UNT student ID

number is also allowed for admission.

3. UNT faculty/staff will be provided access to the General Access Computer

Labs on a space-available basis. Priority given to students. A valid photo UNT

ID is required for admission into any General Access Computer Lab.

4. UNT departments or agencies, wishing to provide access to one of the UNT

General Access Computer Labs for special events and/or groups they are

sponsoring which involve non-UNT students, must establish a contact with

the Manager of that department’s supporting General Access Computer Lab

any pay a fee for the group’s participants to receive access to that Lab.

5. All others desiring use of General Access Labs should direct requests to the

appropriate Lab Manager.







Printing





1. Patrons are allowed to print up to 20 pages every time.

2. Due to the P-control system, any unqualified documents should be approved

by lab monitors. The requirement of printing documents will be provided in

Chapter 3.

3. Copies, flyers and any other non-academic printing documents are not

allowed in this lab.

4. Patrons need to print some documents in color have to ask for approval from

the lab monitors.

5. The color printer doesn’t support double sided printing.

6. PACS General Access Computing Center doesn’t offer pick-up boxes. Patrons

have to pick up their documents by themselves from the printers.

Check-in





1. PACS General Access Computing Center operates on a first-come-first-served

basis. Check-in through phone call is not acceptable in this lab.

2. Patrons can ask for group study, and the monitors should assign them in the

front lab.

3. Monitors should arrange random seats to the patrons in the individual work

(back) lab. Patrons are asked to be quiet in the back.





Stations





1. Every patron is allowed to use only one computer, one chair and one desk.

2. After patrons’ checking out, lab monitors should restart the computer to

discard all the private information the patrons leave in it.





Food





1. Food and tobacco chewing are not allowed in the lab or the classroom.

2. Patrons can bring bottled drinks into the lab. However, PACS General Access

Computing Center is not responsible for the risk of spreading water on the key

board. The compensation is mentioned in Chapter 6.

Policies on the Release of Student Information





The purpose of these policies is to ensure the privacy and safety of University of

North Texas students and to provide a computing environment that supports student

academic endeavors. As entities of the University of North Texas, the General Access

Computer Labs (GACL) is required to follow the University’s FERPA Policy and

Computer Use Policy.





Requests Regarding Current Lab Occupancy





To ensure the safety and privacy of all GACL patrons, and to maintain a suitable

academic environment, GACL staff will not release information via telephone or

electronic communication regarding patrons currently checked in to the computer

labs.

Even in the case of an emergency, GACL staff cannot confirm the presence of a

patron in the lab. GACL staff may, as a courtesy, offer to take a message, including

name and telephone number of the caller, and deliver the message should the patron

check in at a later time.

In-person requests for the location of a current lab patron will be honored for law

enforcement officers presenting proper identification. GACL staff may, at their own

discretion, allow students to look in the lab for friends or classmates.







Requests from Students





Students wishing to document their presence in a GACL (for education credit or other

purposes) should present a verification form at time of check-out. The computer lab

staff will note the time the student checks out of the lab and the length of time the

student was checked into the lab, and sign and date the verification form. The GACL

staff makes no claim or warranties that the check-in record is proof the student was in

the computer lab during that time or for the entire duration.









Requests Regarding Historical Lab Records



Records of lab usage are maintained for internal use by the GACL. Information from

these records will be released to non-GACL personnel in accordance with and as

specified by the University’s FERPA Policy and Computer Use Policy. When

releasing this information, only data which meets the minimum requirements of the

request will be released.





Requests from On-Campus Entities





University of North Texas faculty, staff, and organizational units should submit their

requests for check-in log data to the University of North Texas Center for Student

Rights and Responsibilities (CSRR). Upon receipt of a written request from CSRR,

the GACL manager will provide CSRR with the information requested. CSRR will

determine what student information, if any; will be released to the requesting on-

campus entity.





Requests from Off-Campus Entities



The University of North Texas General Access Computer Labs will cooperate with

requests from off-campus entities through the University’s Office of the General

Counsel. Requests, including subpoenas and search warrants, should be submitted to

the Office of the General Counsel for review. Upon receipt of a written request from

the Office of the General Counsel, the GACL manager will release the information

specified in the request to the individual or organization named in the request as the

Computer Lab



The PACS General Access Computing Center includes five full time staff members: a

director, network manager, operations manager, technical support manager, and

network specialist. In addition, 15-20 UNT part time student assistants are working in

the tech-support office and the computer labs.

Hours of Operation









Training and Meeting



At the beginning of every semester, lab manager will give new employees a paid

mandatory training. This training is set up for teaching new lab monitors to get

familiar with PACS lab environment. Usually, the mandatory training is scheduled

five days, from Monday to Friday. Lab manager will use at least three days to help

new employees on technical training, such as the procedures of opening and closing

lab and classrooms. On Friday, every employee is recommended to have an

orientation. Several speeches by different department officer will be given on this

meeting. Police officer will also come and inform security knowledge, and announce

UNT security policies.

During the semester, staff meetings are scheduled on every Fridays. Because the

employees will get paid for this one-hour meeting, attendance will be recorded. At the

end of every semester, there will be a mandatory meeting which is offered for

evaluation. Every lab monitor will give evaluation to each coworker. Lab manager

will give the final evaluation after reviewing all. Lab monitors should make an

appointment with the manager to discuss the final grade. Lab monitors who do not set

up an appointment with the manager will be dismissed immediately.

Opening





Every lab monitor is responsible for opening the lab and the classrooms individually.

Lab monitors need to disarm the alarm in 30 seconds when they open the doors.

Failure to disarm the alarm within 30 seconds will cause the police to come. PACS

General Access Computing Center has three visits from UNT campus police for free.

The lab will be charged when the extra visits occur.

Disarm the alarm by following steps:

1. Open the security panel.

2. Enter four digit pin.

3. Press “1” until disarmed.

PACS General Access Computing Center is a 24-hour lab. Its opening time is:

11. Check computers and printers.

12. Fill lab reports if any problems found.





Open CH274, 388





Lab monitors should follow the procedures to open the classrooms CH274 and

CH388:

1. Enter the four digit pin and open the door.

2. Disarm the alarm in 30 seconds.

3. Turn on the light.

4. Turn on all the computers, printers and the instructor computer.

5. Refill the papers and staplers.

6. Check the computers and classroom.

7. Fill the lab reports if any problems found.

8. Leave the classrooms and lock them by keying the pin.





Open CH274





Lab monitors should follow the procedures to open CH274:

1. Enter the four digit pin and unlock the door.

2. Disarm the alarm in 30 seconds.

3. Turn on the light.

4. Turn on all the computers and pour them out.

5. Turn on the printer and the instructor computer.

6. Refill staplers and papers.

7. Check all the computers and printers.

8. Fill the lab reports if any problems found.

9. Leave the classroom and lock it by keying the pin.

Lab monitors should open all the classrooms, and finish preparing before 8:00am. All

the classrooms should be unlocked fifteen minutes right before the beginning classes.

Lab manager will print out class schedule weekly, and stick it on the white board.









Closing



Lab monitors should close the lab and the classrooms by schedule. Classrooms should

be locked after the class. Due to the operation hours, PACS General Access

Computing Center needs to be closed at:

Friday-Saturday 6:00 pm 5:00 pm





Each lab and classroom has to be armed by following steps:

1. Open the security panel.

2. Key four digit pin.

3. Press “2” until it shows “ready to arm”.

Lab monitors should prepare for closing an hour prior to the schedule closing time.

The closing procedures are followed step by step:



 An hour prior to the schedule closing time:

1. Announce to all the patrons that the lab will be closed in one hour.

2. Shut down the computers which are not in use.

 30 minutes prior to the schedule closing time:

1. Announce to all the patrons that the lab will be closed in 30 minutes,

and the printers will be turned off in five minutes.

2. Shut off the computers which are not in use.

3. Remind every patron to save their work into their flash drive, or email

to themselves.

4. Clean the printers, and refill the papers and staplers.

 Five minutes prior to the schedule closing time:

1. Announce to the patrons that the lab is closed, and invite them to leave

the lab.

2. Check all the stations to see if there is any lost and found.

3. Lock the door.

4. Make sure all the patrons have been checked out.

5. Turn off all the computers.

6. Check all the office and emergency exit doors are locked.

7. Turn off all the lights.

8. Turn off the automatic door.

9. Arm the alarm.

10. Key the four digit pin and lock the door.

All the classrooms should be closed and locked by schedule.

Cleaning



Lab monitors are scheduled to clean the lab and the classrooms. Lab manager will

make the cleaning schedule every semester. They are responsible for the assigned

area every day.

Lab monitors are recommended to clean the classrooms by following steps.

1. Dust the computers, scanners and printers by Swiffer dusters.

2. Wipe the screens by using whether Fellows or Windex and paper towers.

3. Clean the key boards by Innovera.

4. Wipe the keyboards and the mouse by Clorox.

5. Wipe the drawers by Clorox.

6. Wipe the desks by Clorox. (The blue tables in the front lab should be cleaned

by Windex and paper towers.)

7. Pour the chair out, dust and wipe them by using Swiffer Dusters and Clorox.

8. Pick up the big trash on the ground.

9. Vacuum the carpet thoroughly.

10. Check the classroom, and pick up staples on the carpet.

Check-in



One monitor should sit in the front desk every shift. PACS General Access

Computing Center runs on first-come-first-serve basis. The check-in systems are

installed in the computers of the front desk and station 151.

1. Patrons should show their valid UNT student ID cards to check in.

2. Patrons who provide valid picture ID, such as driver’s license, with eight digit

UNT student ID number can also access into the lab.

3. Lab monitors should verify patrons’ pictures and names when they go through

check-in system.

4. Lab monitors need to return the picture ID cards with station number cards to

the patrons when the check-in system approves the information.

5. When patrons leave the lab, they will be asked to return the station number

cards to the front desk. During the peak time, lab manager will sit in station

151, collect the returned cards and check them out.

6. Lab monitors check patrons out via the check-in system.





Check-in CH388





Due to the specific academic software installed in the computers in CH388, patrons

are allowed to use the computers if no class is scheduled. Lab monitors will need to

open CH388 check-in page and follow the procedures step by step to check people in.

1. Double click “check in” located on the desktop.

2. Click “check in page” on the browser.

3. Type “CH388” as the user name.

4. Type in assigned password.

5. Check patrons in.

Patrons don’t have to sit in the given station. However, they need to return the station

cards when they leave.

People are not allowed to access if they cannot provide enough information required.

No exception will be admitted by anyone.





Station and Software





Different classrooms may have different software related to academic endeavors. In

the lab CH255, some rows have specific software. Patrons need to announce the

software they want to use before they check-in. They also can move from the current

used station to the one they want to use.

Move Stations





For various reasons, patrons may ask to move to another station. Lab monitors should

ask for the reason why the patron wants to move, and then follow the moving steps

listed:

1. Click the station on the check-in system.

2. Click “move patron” on the pop-out window.

3. Click the station required.

4. Change the station card, and give it back to the patron.





Group Work





Patrons need to announce the team work and ask for the stations in the front lab.

Team work is not allowed in the individual room. If there is not enough space for the

whole group, lab monitors should make a waiting list. Group members can choose to

wait on the hall way, or use the computers separately first and wait for the empty

spots.

During peak hours, several groups maybe work on progress at the same time. Lab

monitors need to talk to each group and ask them to control their voices.





Waiting List





Lab monitors may need to make a waiting list when no station is available. They can

make the waiting list by themselves or by the check-in system. If they choose to make

their own list, patrons name and requirements, such as group study or color printer,

should be noted.

If some patrons need to use the computer in hurry, lab monitors need to provide the

information of other computer labs. In front of the lab, UNT General Access

Computer Labs’ maps are available.

Appearance



Lab monitors should wear a decently clean pair of pants and T-shirt. Their

appearances will affect the evaluation of the lab from the patrons. Lab monitors are

also responsible for maintaining a neat and high quality lab environment.









Time Clock



Time clock is a system of checking in and out for the lab monitors. Lab monitors

should clock in when they are ready to work. When they are off, they should use the

same time system to clock out. Here are the steps for clocking in and out:

1. Double click the Time Clock icon on the desktop from the front deck and help

desks.

2. Click the “clock” option.

3. Type in the student ID number.

4. Press “Enter” triple times.

Clock out





1. Double click the Time Clock icon on the desktop from the front deck and

help desks.

2. Click the “watch” option.

3. Type in the student ID number.

4. Press “Enter” triple times.









Adaptability



Due to the 24-hour computer lab, lab monitors should be available for any shifts

based on the class schedule. The lab monitor has to accept change and be able to shift

responsibilities when necessary without questioning.









Team Work



The Lab Monitor takes direction from the supervisor, accepts constructive criticism

and supports full-time staff in policy and procedure. Monitor assists other staff

members without being asked and does not openly question supervisor’s authority but

asks appropriately. The Lab Monitor demonstrates a positive attitude when

performing job duties. Monitor is willing to accept additional responsibilities and

has a pleasant attitude about work. Lab Monitor must be friendly and warm.

Lab monitors are recommended to fill the timesheet twice a month. Every 15th and the

When lab monitors need to be off or ask someone else to replace their shifts, they are

Lab Report Form

manager and tech support. Under the “Action” option, “Computer problem”, “Printer

Tuition Waiver



PACS General Access Computing Center provides tuition waiver for out-of-state

students. At the end of every semester, lab manager will ask if anyone needs tuition

PACS General Access Computing Center has its own Tech Support office. Lab

monitors can ask tech supports for help if they cannot solve the computing problem

by themselves. Lab manager will give Windows XP tour every beginning of the

semester. Lab monitors should be familiar with Word 2007, Prow Point, Excel, and

Front Page. Due to the UNT specific web system, lab monitors should also be able to

handle the problems of UNT Blackboard and My UNT. Student assistants Evelyn and

Haruna are in charge of managerial problems. If any problems occur during the shift

without managers, lab monitors should call them immediately.









FAQS



1. What can I do if the professor asks me to turn off the A/C?

It happens frequently in the lab during the class time. Lab monitors have to

call lab manager, Jackie, to deal with this kind of problem.

2. If the check-in system show “Don’t check this person into the lab before

talking to the lab manager” when I swipe the ID card, what should I do?

Lab monitors should ask this patron to talk to Jackie first. If Jackie’s out of the

office, lab monitors can ask him/her to wait for a while, or ask him/her to

come later.

3. If the patrons want to print something in full background, can I check him into

the classroom, CH388?

Yes, lab monitors can check patrons into CH388 to use the color printers.

Patrons can print full background stuff in CH388 because there’s no funding

limit in that classroom. However, patrons have to check in before they go

upstairs.

4. During my shift, I found many people just walk into the tech support’s or

manager’s office directly without checking in. Do I need to stop them and ask

for picture ID?

No. Many UNT faculty and staff will stop by our lab for help. They may make

an appointment before coming. Just make sure they are going to the offices,

not using the computers without checking in.

5. If my coworkers come late, or don’t come to work without announcement, do

I have to work for them after my shift?

Yes. Lab monitors are responsible for working for their coworkers because of

the policy that at least two lab monitors should be in the lab. However, you

are also responsible for emailing the manager to inform it.

6. Can patrons use the back lab for group study during night shift?

If no one in the back room, you can check them in. However, you will not

know when other patrons will come and request for the quiet room, you’d

better assign them into the front.









Tech Support



The PACS Computer Lab offers technical support for PACS and SMHM faculty

and staff. Customers need to submit online support request forms for technical

support.

Supported computers must have been purchased through UNT’s Microcomputer

maintenance shop. The UNT APPLE store, or the UNT-DELLPREMIER website

and must have a UNT property number.

by the PACS Computer Lab. They have to call at least 24 hours for support

Access Computing Center. It is focused on lab operation and daily managerial

services. Other UNT General Access Computer labs cannot use this manual as

training guide because their operating systems are different from PACS General

Access Computing Center.

Lab monitors should read this manual thoroughly and carefully. At the end of every

semester, lab manager will ask for suggestions on editing this manual. The

information on it has to be accurate and in time.
