I forgot to mention, and I would be remiss in my assistance to you if I didn’t, is that in the current
economy, there is a chance that we could lose this space/rates, etc. if a decision is not made
soon. I don’t mean to scare you into doing something, I just want you to be aware that other
groups are “swooping” in and taking space that are being held on a tentative basis.

That being said, I have asked both hotels to hold space/rates, etc. but if another group wants
space over your dates, as long as the hotels are holding your space, they will give you at least 48
hours notice to either sign a contract or back out of the dates. However, they do not have to
continue to hold the space – they could let it go so that they or other hotel sales people can sell
it. I know it’s out of your hands at this point, I just wanted you to be aware of the “climate” of
hotels right now. It is very much a seller’s market and the hotels are finding they are in high
demand so space is at a premium. If the hotels do decide to let go of the space, and we have to
re-look at the areas you are interested in, rates, meeting room rental, etc. could go up a lot. On
the other hand, nothing could happen, you could make a decision and everything will stay the
same, I just want you to be aware of what could happen.
