1.1 Purpose and Origin of the Need for This System
Dr. LaRow, Health Professions Advisor, needs a system to track the progress of Health
Professions students seeking admission into Medical School and other Health
Professions. Up until now, this required extensive amounts of paperwork and time. All
grades, transcripts, related files or letters, activity sheets, etc., had to be physically stored
and handled. The purpose of MediTrak is to configure a pre-existing courseware system
known as Blackboard to handle these tasks electronically.
A Health Professions website will also be provided to help external users obtain
information about the field and academic program at Siena.
1.2 Scope of the System Specified
MediTrak will work with two different types of access. Dr. LaRow and/or his secretary,
are the administrator(s), and will have complete access to the Health Professions course
on the system. He/She can use the different features in the control panel of Blackboard to
create, modify, and view each student’s progress during their academic career at Siena.
Each user will be able to access only his/her account on the system.
The Health Professions website will contain all information pertinent to the current and
future Siena students. The website is being designed in hope of generating a greater
interest for the Siena College Health Professions program in and outside of the school.
1.3 References to Related and Supporting Systems
The support for Siena Blackboard Courseware System will be handled by I&TS.
Blackboard will be accessible via the Internet.
1.4 Overview of the System
MediTrak will work with two different user types on Siena College’s Blackboard. There
will be two different accounts one for students who will have limited access and an
administrator account that will be able to access any information in the Health
Professions course. The system will be used to keep track of each student/users progress
during their academic careers at Siena. The administrator will be able to access any
user’s account to modify or view each account. User’s may only modify or view their

accounts on the Blackboard system. This system will organize and keep track of all the
records for the students focusing their careers in the Health Professions.
The Health Professions web site will be used as an information resource for the Health
Professions students and external users interested in pursuing careers in the Health
Professions. Students, and external users will be able to access information through the
site that will help them plan their future endeavors in Health Profession careers. The site
will be maintained and kept up to date by Dr. LaRow and his secretary.

2.0 General Description
2.1 Product Perspective / Product Functions
MediTrak will be created using the customizable options inside the Blackboard
Information System. MediTrak will assist both the Health Professions students and Dr.
LaRow by helping them along the path to Medical School and/or other Health
Professions. Students will be able to post grades and personal information, upload
scanned test scores and letters of recommendation, as well as obtain information on what
they should be doing or what they should be looking forward to. Dr. LaRow will use
MediTrak as an electronic means to keep track on the Health Professions students he
advises. He will be able to view and edit every student’s personal information, upload
scanned files, and post announcements. Dr. LaRow will have administrator access,
meaning he will have access to all data and will be able to edit all editable features.
2.2 User Characteristics
Our users will be Siena College Health Professions students and Dr. LaRow. Siena
College Information and Technology Services plans on installing Blackboard as a new
Internet-based information system in the beginning of the Spring 2004 semester.
Therefore, training on how to use Blackboard will be available at Siena College starting
in that semester. We have taken care to design MediTrak with ease-of-use in mind, but if
our users require additional training, it will be readily available through I&TS, or the
team at Visual Design Technologies.
2.3 General Constraints
The major constraint we are facing in the development of MediTrak is the fact that we are
creating MediTrak as a section of Blackboard, a product that is the creation of another
development team. No programming is involved in the development of MediTrak, which
limits us to the options and features that have been coded into Blackboard by its creators.
Another constraint is time. Our project follows a timeline in which specific phases must
be completed. Lastly, a third constraint is the size of our group. If our group were larger,
we would have the ability to complete more tasks in a shorter period of time.

2.4 Assumptions and Dependencies
We are assuming that we will continue to receive the pertinent information for the Health
Professions course we need to develop MediTrak and complete this project. We are also
assuming our group will remain together for the duration of the project.

3.0 Specific Requirements
3.1 Functional Requirements By Use Cases

3.2 Performance Requirements
Performance requirements for using Blackboard are a computer with Internet access.
This computer needs to be equipped for handling simple web based processing.
Our web page requires the same Internet access which will give the web pages reasonable
load time. This will give the user the best experience when viewing the page.
3.3 Design Constraints
For our project we came come across design constraints that our group where our group
came up with alternative answers. Theses constraints slow down our process of creating
the requirements and specifications as fast as we can. One of the constraints we have
come across is the ITS department which here at Siena College has not installed the
Blackboard Information System on the computers here at school. This prohibits us from
exploring the system with real Siena accounts. It also doesn’t allow us to use the full-
featured version to find out more about the program. Once they install the system on the
Siena computers we will be able to have more information concerning the Blackboard
Another design constraint, which we have to find alternative answers for, is the
Blackboard Information System itself. This system was created as a College Course
Management System. We are trying to convert this system to suit Dr. LaRow’s needs.
All data for users will be backed up in the Blackboard Information System. This will
allow each user to save information on the system. The data backup will be reliable and
accessible at anytime. Another attribute would be our security login information that is
needed to connect to the Blackboard Information System. This login information will be
created by the user to insure only the user is accessing his or her information. The
Blackboard Information System will provide this security system.

Health Professions Website (Navigation)
This website is being designed to offer users outside Siena, a chance to gather a great
deal of information about the Health Professions academic program at Siena. This is the
home page of the site. From here, users can move the mouse over each of the six sections
to have the circle change to give them a brief synopsis of that part of the site (will be
implemented when Dr. LaRow provides the information). If they decide that is the part of
the site they wish to view, they simply click on it to be taken there.
Otherwise, they can click on the Health Professions title to be taken to the Health
Professions main page, for general information and news/updates. This title and all
sections change to yellow to indicate the mouse is over them.
The links to the left are for Siena College’s home page and computer science department.
There is also a link for the Albany Medical College Program.
Note: More links can, and probably will be added as Dr. LaRow sees fit. Also, any
changes he needs to be made can be done as well.
Health Professions Home Page
The main page for the Health Professions page will contain present news and updates for
the Health Professions Department. It will also contain information for the students in
Health Profession careers and graduate school programs. External users will be able to
navigate easily through the entire site using the Navigation bar that will be a part of each
page through the site.
The different sections of the site will include: The Navigation/Introduction page, Home
Page, Health Professions Office, Professions, Science Facilities, Statistics, Articulation
Agreements, and Blackboard Registration.
Each part of the site will be developed more as our client gives the content of each
section of the site to us. The basic prototype will contain the standard navigation bar on
the top of each page and the footer on the bottom of the page; the content will be placed
on the page between each.

Blackboard: A web based information system used to create, edit, and store MediTrak.
Student: A type of user for MediTrak.
Instructor: The administrator for MediTrak. The instructor is also a user of MediTrak.
