We provide you below with the instructions you need to follow in order to complete and send the forms and to pay the sum required for the services. We will also inform you when to make requests and about other important matters connected with the services which IFEMA puts at your disposal. HOW TO FILL IN THE FORMS Firstly, use the computer to insert your identifying details in the boxes at the top of this page. This information will be copied automatically on all the forms in the document. Fill in the forms below. You have two options: using your computer or by hand. If you fill them in on your computer, remember to print them out so they may be signed and sent by fax. LATE BOOKING OF SERVICES IFEMA reserves the right to reject requests made after this date. If it agrees to provide the services requested in the 15 days prior to the start of assembly, during assembly or during the event, IFEMA will apply a 25% surcharge on the fee set out in the Services File. CANCELLATION OF SERVICES If a service is cancelled in the 15 days prior to the start of assembly, during assembly or during the event, the charge will be 40% of the corresponding fee. MODIFYING SERVICES If a service which has already been booked is modified in the 15 days prior to the start of assembly, during assembly or during the event, in the case of its being provided, it will be billed as a cancellation of the previous service and treated as a new booking which has been made outside the time limit. If this is not received, it will be carried out according to IFEMA criteria. The distribution of all the elements comprising the stand, the extra parts requested, together with the structural elements needed to support the stand, will attempt to adapt to the needs of the exhibitor, whenever technically feasible. BROCHURE HOLDER These accessories are available for sale, with the following specific conditions. Customers must advise SERVIFEMA of the definitive acceptance of a purchase order, which must have been obligatorily accompanied by payment of 50% of the price of the item ordered. Ordered items shall be delivered at premises located on La Avenida of Feria de Madrid within a period of 15 working days from the time when the order is accepted by IFEMA. The customer must have previously paid the remaining amount of the price of the product acquired. - A purchase request should be made by fillingin a Furniture and Accessories application form. Stipulated prices and payment methods and deadlines should be adhered to. Furthermore, the purchase application form should be completed with a description and the characteristics of each product and sent by the client to the SERVIFEMA department (fax no (34) 91 722 57 95 or by e-mail to servifema@ifema.es). - IFEMA shall notify the customer of the definitive acceptance of the purchase order. As an imperative condition, payment of 50% of the price of the item ordered must have been sent together with said order. - Requested items shall be delivered to the venue located in La Avenida of Feria de Madrid within a period of 15 working days from the acceptance of the order by IFEMA. The client must previously have paid the remaining amount which corresponds to the acquired product. - If the client should cancel the order, he or she will forfeit the amounts paid in advance. - A rate of 16% VAT will be added to listed prices. Valid 2009 Technical Features - If clients should so require, qualified personnel will initially assemble the product at Feria de Madrid. A fixed price will be charged for this service. - After-sales technical service is available following an estimate. - All products are guaranteed for one year against any manufacturing defects. Plugging in - It is obligatory to wait at least two hours after the installation of the equipment before connecting it. - It must be ensured that the supply voltage is the same as that indicated on the sign on the equipment. - There must be a plug/socket which fits the characteristics of the equipment and which complies with ruling regulations on electrical installations. If necessary, extra voltage can be requested. Loading of equipment - Products must already be at conservation temperature before placing them in the equipment. - The load limit which is indicated in the model characteristics must not be exceeded. - For refrigerators, counters and showcases an air space must be left between the products and the back and front walls of the equipment. Cleaning - Unplug the equipment before any cleaning or maintenance work is undertaken. - Jets of water must never be used to clean the equipment. - The equipment must be emptied by the exhibitor before it is collected by the organisation. Miscellaneous - If a piece of equipment breaks down, it will be replaced by another which is the same or equivalent. - If the equipment is damaged or lost or any other irregularities occur, it will be paid for by the exhibitor. STAND SERVICES AND ACCESSORIES ON PLANS Any stand services and accessories which are drawn on plans sent to IFEMA shall be deemed to be definite orders and shall be billed at the set prices. TELECOMMUNICATION SERVICE CONTRACTING CONDITIONS Contracting Scheme Telephone line and fax Telephone lines will be in operation from the first day of the fair. The service is rendered through foil cable with an RJ11 terminal, located at the stand beforehand in accordance with the instructions shown on the plan. All lines are provided with 30 euros of credit which is included in the service bill. Additional credit may be contracted. As IFEMA has its own switchboard, in order to make any outside calls, you must dial and/or programme 0. Telephones will be given to exhibitors in an ownership scheme 48 hours before the beginning of the trade fair at the Exhibitor Service Desk. Fax machines will be given to exhibitors in a rental scheme on the first day of the beginning of the trade fair in situ at their stands. Rental of the fax machine includes all consumables except A4 paper. ADDITIONAL CREDIT Additional credit shall only be for telephone and fax lines. Internet and Network Access Lines Internet lines shall be operational from the first day of the fair. Wireline connections In all IFEMA's Internet accesses, the service is rendered via a UTP cable ending in an RJ45 connector, which is located previously at the stand in accordance with the instructions stated on the assembly plan. Valid 2009 thing that has to be done is to insert the cable RJ45 connector into the BASE-T Ethernet access of the computer which is going to use the service. The configuration is undertaken automatically without the need for any technical knowledge, via a DHCP server. The computer must be equipped with a network card which supports 10/100 Base T/TX Ethernet and be configured to use DHCP services. An IP address is obtained automatically. The IP address is private. In the event that any exhibitors should need a public IP, they must notify this in writing via e-mail to telecomunicaciones @ ifema.es If more computers need to be installed on an access, each of the services allows the connection of up to eleven systems. Exhibitors shall be responsible for setting up the necessary electronics (switch) at the stand and the wiring needed so that all the terminals connected to the Internet access are operative. IFEMA has a MULTISTATION DATA NETWORK service which implements the full installation of a network access with a guaranteed speed of 4 mb, wiring at the stand for four computer workstations and the installation of the necessary electronics (switch) at the stand. The number of users of this network can be increased (after contracting the service) up to a total of eleven. A Multistation Data Network comprises a 4 Mb Internet access connection, 1 switch connection in the place deemed fit by the installer and 4 Internet access stations. Additional users may be added. Switches will be provided in a rental scheme and collected when the event is over. Wi-Fi connection In order to use a Wi-Fi connection, the following requirements are needed: a computer, a laptop, a PDA or a cell phone with Wi-Fi 802.11 b/g technology. The main specifications of the service are: W-LAN standard: 802.11 b/g Wi-Fi Connection Security: User visibility disabled Firewall User control systems WEP/other encryption systems: disabled DHCP: enabled Wireless access will be provided via a user code and a service access passcode. Users are responsible for safekeeping their codes for using the service. User codes for accessing the service will be sent 10 days prior to the staging of the event. In the event that any holders of the service should forget or lose their codes, they should request new ones from IFEMA . The services contracted may only be used during the staging of the event for which they were requested. Exhibitors are expressly prohibited from installing Wi-Fi access points, either for logging on to Internet or for rendering other functionalities. The aim of this measure is to prevent any interference problems either with the points that each exhibitor may install separately or with IFEMA's access points. These interferences may stop the Wi-Fi networks in operation from working. Other connections This type of connection furnishes access to a specific service which must be contracted with an operator alien to Feria de Madrid. The service is rendered through a UTP cable with an RJ45 terminal, located previously at your stand according to the instructions given on the plan (according to the assembly plan), and which continues as far as the service contracted by the exhibitor with the operator. The contracting of the abovementioned connection does not include any type of Internet service, data or otherwise, or complementary electronics. These must be provided by the operator. Other general conditions Any connections made by the exhibitor on IFEMA's data network or other connections contracted with the operator must comply with the following conditions: Exhibitors shall access and use the Telecommunications Service rendered by IFEMA and shall refrain from undertaking, by any form or means, any manner of illegal acts and/or omissions which damage and/or adversely affect IFEMA, third parties and/or the other users in any way or which represent any damage and/or breach or attempt to damage and/or breach IFEMA's system or infrastructure or its security system. Projects must be submitted one month before the fair begins. Withdrawal of assembly materials It is compulsory for all exhibitors and companies contracted and/or subcontracted to assemble and/or dismantle stands to assemble, dismantle and remove the materials used for assembly in the time periods set for said purpose. When the time period for dismantling the stand has lapsed, any materials which still remain in the hall shall be removed by IFEMA. Exhibitors shall lose any rights to make a claim for loss or damage to the same and shall pay the costs incurred in their removal. Said costs shall be billed by IFEMA at a rate of 8.88 euro per square metre of stand occupied floor space (excluding VAT, regardless of the amount of material left). The discount rate which the Financial Entity will apply to any transactions made during the fair and with this terminal is 1.75% of the amount of the sale. If the terminal is not returned within the time and in the manner laid down in this contract, Exhibitors are hereby notified that IFEMA will bill them for the amount of saidterminal, priced at 250 euros (VAT excluded), in addition to the cost of this service. Exhibitors expressly declare that they have received, read and know and understand the action regulations in terms of security contained in Clause 4 of the contracting conditions. If Exhibitors should fail to comply with the aforementioned security regulations, they undertake to accept responsibility vis-à-vis IFEMA for any possible harm they may cause the latter, as well as before cardholders or the issuers or providers for the improper use of cards, fraud, penalties to the issuing companies, or for any other action which impliesnon-compliance with the security regulations and may cause harm. Date and Signature: Print Fair payment terminal Index of contents LIBER only_floor Stand Number: Tax number: Fax.: E-mail: Company: Tel.: Contact person: Fair Payment Terminal Usage Conditions 1.- DESCRIPTION OF THE SERVICE This service consists in the delivery of a wireless sales terminal for the acceptance of credit card payments which shall be delivered at the commencement of the fair and shall be valid up until the last day. This service is rendered at the price stipulated on the form and shall be applied for each terminal ordered, excluding VAT. 2.- DELIVERY AND COLLECTION OF THE TERMINAL Give a copy of the payment receipt to the customer at the very moment the purchase is made and another to IFEMA in the time and in the manner stipulated in Point 6 and for the purposes that are stated in said clause, filing the original copy signed by the cardholder during the legallyestablished time period, during which time it shall be at the disposal of CAJA ESPAÑA. Under the aegis of this contract, do not undertake any transactions with cards whose holders are the Exhibitors themselves. Process transactions through the point-of-sale terminal, following the operating instructions received in this regard, in order to request the verification and conformance of the Authorising Centre of Caja España. If the transaction is not authorised, the card must not be accepted. 5.- PAYMENT OF TRANSACTIONS The point-of-sale terminal shall be handed over at Exhibitor Service before the start of the fair where exhibitors shall be given the corresponding instruction manual during set opening times. On the same day the fair ends, Exhibitors must return the point-of-sale terminal together with copies of their sales receipts to Exhibitor Service before 9.30 p.m. 3.- EXHIBITOR OBLIGATIONS The amount of the transactions carried out in accordance with the aforementioned procedures shall be paid by Caja España into an account which has been opened for merely instrumental purposes and which shall be unavailable to IFEMA. So that said payments can be made, Exhibitors shall submit to IFEMA, on the same day the fair ends, the points-of-sale terminals that have been assigned to them as well as copies of the payment receipts which they will place in a sealed envelope and which will be collected in a Exhibitor Service letter box to be sent by IFEMA to Caja España. On the working day following the termination of the fair, Caja España will send to each Exhibitor a list of all the sales made through the point-of-sale terminal and of the amounts to be deducted for fees, for the discounts indicated for each system and for expenses offset, as well as for taxes and charges which are applicable and valid at each moment, with the total for each item and the final result. The sum resulting from deducting from the amount of the sales that of the other aforementioned items shall be paid to the Exhibitor within a time period of twenty days subsequent to the termination of the fair. In exceptional cases, the paid amounts may be blocked by Caja España, so that they remain unavailable in IFEMA's account, when it has been observed that a percentage which is equal to or higher than 50% of the total of the amount invoiced by the Exhibitor comes from transactions undertaken with cards which have been reported for theft or forgery, or are in any other way affected by fraudulent actions. Said blockage shall remain in force for the corresponding amounts until the incidents which have occurred have been solved and, at any event, for a maximum time period of 6 months. 6.- DECLINATION OF SALES INVOICES Exhibitors shall comply with the following obligations: Apply to cardholders the prices and conditions which have been implemented at the fair in question with regular customers, namely, with no surcharge. Notify their employees of any regulations which govern the operating of the Card Systems contracted, taking the proper precautions to ensure they are applied. Place the logos and signs of the Card Systems contracted in a place which is visible from outside the stand and ensure that both said logos and signs and the rest of the material received are always in perfect condition. Strictly comply with the operating and security procedures that are laid down in the following clause. 4.- OPERATING SYSTEM AND SECURITY Furthermore, when Exhibitors are given cards which are accepted by the credit card transaction acceptance system, they shall comply with the following regulations: Visually check that there is no indication that the data on the card has been altered. When in doubt, the card must not be accepted. Visually check the expiry date engraved in relief or printed on the obverse side of the card. If the card has expired, it must not be accepted. Check the cardholders' identity via their ID Cards or any other documents which accredit this. Ask the cardholder to sign the payment receipt and check that the signature coincides with that on the reverse side of the card. Do not divide up the total amount of a purchase into split payments which are charged to the same card. Do not charge more than one transaction to the same card in a time interval of less than fifteen minutes, unless the preceding transaction has been cancelled. Exhibitors undertake to pay to IFEMA the amounts stemming from any transactions which CAJA ESPAÑA notifies that it has been unable to charge to the cardholder owing to defects of form or lack of compliance with the requirements laid down in this agreement. So that IFEMA can make it easier for CAJA ESPAÑA to make the proper checks, the former may ask the Exhibitor to submit the payment receipts of the transactions within a maximum time of seven working days. If the required receipt or document is not submitted within this time period, IFEMA shall be authorised to demand that the Exhibitor pays the corresponding amount. Consequently, on contracting this service, Exhibitors undertake to return them on the same day the fair ends together with a sealed envelope containing the sales receipts to the Exhibitor Service desk. If any terminals are not returned, Exhibitors are herby notified that IFEMA shall invoice them for the amount of said terminal at the price established on the terminal order form, and whose amount shall be in addition to the cost of this service. The account used to record the transactions has been opened by Caja España and is instrumental in nature. Consequently, transactions can only be accessed by the aforementioned Entity and they cannot be visualised or operated by IFEMA. Exhibitors authorise IFEMA to provide Caja España with the data given in the corresponding order form so they can be identified only for the purposes listed in this agreement. Exhibitors may know, amend and annul their data, according to the provisions of Organic Law 15/99 of 13 December on the Protection of Data of a Personal Nature at the address shown on said form. However, IFEMA reserves the right not to provide services if available stock or resources are already contracted. - Deadline for receiving service application forms: one month prior to the celebration of the fair. - IFEMA reserves the right to render services requested outside the established time period. If requested services should be provided within 15 days prior the commencement of the fair assembly, during the assembly or during the fair celebration, prices shall be increased by 25%. - If a service should be cancelled within 15 days prior the commencement of the fair assembly, during the assembly or during the fair celebration, 40% of the corresponding fee must be paid. - If the modification of an already contracted service is requested within 15 days prior the commencement of the fair assembly, during the assembly or during the fair celebration, and said modification should be made, it shall be billed as the cancellation of the previous service and the contracting of a new service after the deadline. Code 13 Accessories VISITOR ACCREDITATION READER Unit Price 326,00 C = Units SERVICE DESCRIPTION: Exhibitors will be provided with the required number of visitor badge readers and proprietary software for processing the information they acquire. They must collect their reading unit(s) before the fair begins at the Exhibitor Care desk, where they will be provided with the corresponding application installation and user manual and an explanation of how the system works. It is indispensable for the reading units to be connected to exhibitor PCs. Only one reader may be installed per PC. This service does not include PCs or the installation of hardware/software elements. Exhibitor PCs must comply with the following specifications: desktop or portable personal computer with Windows 95, 98, NT, ME, 2000or XP Operating Systems; standard characteristics, Pentium processor or similar, minimum 128 MB RAM, free HD space, free serial port (standard RS-232 serial port) or USB for connecting the reading unit and a CD-ROM reader. An application support/maintenance service will be available throughout the fair at the Exhibitor care desk. This service includes the rental of reading units ordered exclusively during the fair celebration period. Upon conclusion of the fair, the exhibitor must return the reading units and their corresponding accessories to the exhibitor care desk. - If any damage, loss or irregularity should occur to elements, the cost shall always be charged to the exhibitor. · The accreditation reader is the property of IFEMA. On contracting this service, the exhibitor undertakes to return it when the fair is over. Exhibitors are hereby informed that if they do not return said reader, IFEMA will bill them for the price (350 euros), in addition to the cost of this service. · Ifema may not be held responsible for the veracity of the information provided by visitors when registering at the fair. · Pursuant to personal detail legislation, exhibitors are advised that they are legally responsible for the file which is finally generated. Additional insurance Exhibitors may contract an increase in the capital insured by the compulsory insurance which is billed automatically. Compulsory insurance Exhibitors and their merchandise shall be insured up to the indicated capital limit against risks covered by MULTIFAIR INSURANCE (fire, lightning, explosion, coverage extension and exhibition attendance costs) and GENERAL CIVIL LIABILITY. IFEMA will then take out a policy on the exhibitor's behalf, and at his expense, for the minimum amount, which is: · Multifair Insurance: 18,000 euro · Civil Liability: 30,000 euro · MULTIFAIR INSURANCE Description of risks covered Covers material damages directly caused by: FIRE. Combustion and burning by flames, which could be propagated from an object or objects that were not meant to be burnt at the place or time of occurrence. EXPLOSION. Expansion and contraction (implosion) of gas or vapours at high temperature and under high pressure, due to a high-speed physical or chemical reaction. LIGHTNING. Damage caused by impact of an electrical discharge of atmospheric origin. Coverage extension: Material damages directly caused by: - Vandalism and malicious acts. - Impact of air and/or land vehicles. - Water damage. - Smoke. - Overflow of the automatic fire extinguishing system. - Breakage cracking of fragmentation of fixed glass and windows, as well as moveable glass elements installed in the stands, up to 15% of the sum covered by the insurance. - Exhibition attendance costs. Covers duly justified expenses of the Insuree and/or his employees for travel, publicity, hotel accommodations, rent, or personnel for manning and maintaining the stand, incurred as a result of participating in the fair. Compensation for said expenses shall be paid when participation is interrupted completely and definitively due to an event covered by: fire, explosion, lightning or coverage extension. Limit per accident 12,000 euro. · CIVIL LIABILITY. As an exhibitor within Feria de Madrid due to material and/or personal damages to IFEMA, other exhibitors, or the general public.
