INSTRUCTIONS FOR THE COMPLETION OF THE ON-LINE EXAM REGISTRATION FORM Applicable to registration for QE 1 and AGA Dear exam candidate This document has been put together to provide you with detailed instructions on how to register for a SAICA examination on-line. The most important information you need to know upfront (before you complete the on-line exam registration process) is: What your unique (8 digit) SAICA number is – please contact SAICA if you do not know what this is on 011 621 6600 or 08610SAICA Whether your firm is paying for your exam registration fee or not (please contact the relevant person in HR, learning, recruitment or administration within your firm to get the employer (8 digit) number that must be used when selecting your employer) All repeat exam candidates; Trainee accountants with an active training contract; Candidates who completed a training contract; and Anyone who has attended a SAICA workshop or siminar who is registering for QE 1 or the AGA exam are already users on SAICA’s database and registering for this examination should be quick and simple provided you follow the instructions laid out in this document carefully. Commence with instructions from where the Home page is explained: Candidates registering for the first time need to sign-up first and then continue with the registration form. Please contact SAICA immediately should you experience any problems during this registration process. (see numbers detailed above) The SAICA website address is: www.saica.co.za Regards Wilma Slater Examinations Officer Candidates who are registering as a user for the first time should follow these procedures first: Go to the SAICA home page. Click on “Login”. This will then take you to the appropriate login screen. Click on “Sign up to SAICA’ Complete the information screen: Ensure that all your information is correct. YOU are responsible for maintaining this information so that SAICA can remain in contact with you. All blocks marked with a red asterisk ( * ) are mandatory fields and MUST be completed. Please note that the phone and fax numbers must not have any spaces. You must have a postal and physical address even if it is the same. Type your address in Title case format i.e. do not type everything in capital letters nor in lower case letters. (This information is used for all formal letters sent to you such as confirmation of exam results, so must look professional) Note this is not the full screen. Finished? Click on “Update Details” THEN go to the SAICA home page. Click on “Register for an exam” and continue as follows. Home page explained: Go to the SAICA home page. Click on “Register for an exam”. This will then take you to the appropriate login screen. Login Screens explained: Username: Type either your SAICA number ór your ID number ór your e-mail address. If you use your e-mail address please make sure that SAICA has got your correct e-mail address. Password: Type your SAICA number ór if you wrote QE 1 in March 2006 and chose a password then, use your selected password. Then click on the “Login” icon FORGOTTEN YOUR PASSWORD? If you chose a password on a a previous occasion and forgot what it is click on “Forgotten Password”. You will then see the following screen. Type your ID number in the block and click on “Reset Password” The following screen will appear then click on “Reset Password” again The following message will be displayed and the system sends you a new password instantaneously. Please take note of the email address the system will be sending your new password to. If this is incorrect, you will need to contact SAICA to update this information first. Once you have received your revised password, go back to the login screen. Username: type your (8 digit) SAICA number. Password: copy and paste the password from your e-mail sent to you by the system Click on the “Login” icon On the next screen click on “Exam Registration” Please be patient as the system is now loading the “Exam Registration” page. Update information screen explained: Note this is not the full screen. Ensure that all your information is correct. YOU are responsible for maintaining this information so that SAICA can remain in contact with you. All blocks marked with a red asterisk ( * ) are mandatory fields and MUST be completed. Click on “Update Details” Next you will get this screen - click on the icon “Click here”. The following screen appears and contains important information. Please read and familiarize yourself with the contents and then click on the sign. Note this is not the full screen. “Choose an Exam”: Select the exam you will be registering for. “How to choose a venue”: Complete the “Available Exam Venues“. Select a venue from the “Preferred Exam Venues” drop down list only if the venue you would like to write at is not available (it will default to “unspecified” if not selected). If you are repeating the examination, your academic qualifications are already in our system and cannot be changed. If you are of the opinion that the data is incorrect, please call us on (011) 621 6600. If you are writing Part 1 for the first time and completed a CTA in 2006/2007 please add the information. This information will be verified by the provider once the final results are available. “Employment details”: The name of your Current employer should be completed here: Click on the icon which will take you to a table from which you will need to select you employer name by typing your employer / company name in the blank field, then clicking on “Find Employer”. Look for your employer name in the list that appears and click on the number to the right of your screen i.e. in this case – Other = 09003815. “Training Contract details”: If your training contract has already been registered with SAICA, the details will be here and cannot be changed. If your training contract has not yet been lodged with SAICA for registration, click on the icon which will take you to a table from which you will need to select your training firm, by typing the firm name in the blank field, then clicking on “Find Training Firm”. Look for your firm name in the list that appears and click on the number to the right of your screen i.e. in this case – KPMG = 00012671. Finished? Click on “Save Details” and confirm the pop-up message (displayed below) by clicking “OK”. If the info is incorrect click cancel and go back to update then go through the same process and click “OK” You will now be taken to a payment screen, however, if you are a pool candidate (i.e. your firm will be making payment on your behalf) you WILL NOT go to the payment screen. If you are pool candidate and happen to land on the payment screen you might have selected the incorrect firm number, click on logout. You now need to confirm the unique SAICA company number with your HR, learning, recruitment or administration and re-do the process **NOTE** Only companies that have applied to SAICA to make payment on behalf of their exam candidates will be considered “POOL administrators”, giving them the right to make payment on behalf of their exam / pool candidates. Payment screens explained: Click in the small square to the right of the amount and then click on “Proceed to Payment” Payment method: Select how you will be paying i.e. by credit card, EFT or over the counter (at the bank) deposit. Credit card: Click in the circle, then click on next and complete the screen below following the instructions to the end and then click on “Logout”. Credit card payments are deducted automatically from your credit card within a few days (you need not take further actions). EFT or over the counter deposits: Click in the appropriate circle, then click on next AND NOTE THE REFERENCE NUMBER which commences with your (8 digit) SAICA number. Click on finish and then click on logout. It is vitally important to use this number on your EFT or bank deposit. It enables us to determine who made the deposit and allocate it correctly. NB: If you selected Electronic Funds Transfer or Cheque as an option, you now need to action the payment by making the necessary EFT or Bank deposit, ensuring you quote the reference number provided. The following message will appear once the payment details have been completed: Click on finish. The following, final, message will appear. Your exam registration is not complete until you have reached this screen. Please read and then click on “Logout” to complete this session. Please do not hesitate to contact SAICA should you have any problems with completing this on-line registration process. Important exam registration information NOTE: PLEASE READ THE FOLLOWING IMPORTANT INFORMATION. (SAICA cannot be held accountable for incorrect information captured on the registration form if the following instructions are not read and followed) 1 Ensure that you select the correct exam venue (your selection will be confirmed to you in a pop up message once you have clicked on the ‘Save details’ icon after completing the registration page). You will be required to confirm (at the foot of this message) that you have read and understood this message. 2 Ensure that you continue to update and ensure that your contact information is correct. YOU are responsible for updating this information on-line at all times, especially if it changes prior to the exam being written or your results being released. (SAICA must be able to reach you in the event of an emergency, such as a late change of venue due to unforeseen circumstances) 3 Make payment using the method indicated by yourself and quote the correct reference number provided to you on the ‘payment screen’. Only credit card payments are processed automatically by the bank, if you select this option from our payment selections. Over the counter deposits - please fax a copy of the deposit slip to (011) 621 6806. 4 Payment of the exam fee must be received by SAICA no later than the closing date for registrations (This closing date is published on the website under exam information). If you require a tax invoice, this must be requested well in advance in order for your payment to reach SAICA by the closing date for registrations. 5 If your firm is registered as a pool office and will be paying your exam fee, ensure that you have selected the correct unique company SAICA number. Candidates whose firms are paying on their behalf will NOT see the payment screen. These candidates can confirm the unique company SAICA number with their respective pool administrator. 6 Confirmation that your registration form has been successfully completed will be sent to you by SMS and e-mail. Please contact (011) 621 6600 or 08610SAICA (0861072422) should you not have received this confirmation within 24 hours. 7 Remember to click the logout button once the registration process has been completed.
