Annual Textbook Calendar
District Adoption
The district, in general, follows the state adoption schedule established by
the Department of Education. After state adoptions are completed, district
area specialists and adoption committees examine the state adopted
materials and select the most appropriate for the Escambia County
Schools. The district adoption may be made during the summer or fall
following the state adoption.
Textbook Adoption Timeline
SAS = Subject Area Specialist MS= Media Services
During the school year
· SAS: School committees meet to look at stateadopted titles and choose
the titles they want. Subject area specialist will create list of course(s) and
selected title(s).
October
· MS & SAS: Meet to discuss committee progress
November
· MS & SAS: Meet with subject area specialists to get committee
membership list(s). Lay people should be identified on the list(s).
December
· SAS: By December, committees select titles to recommend for adoption.
· SAS: Request a sample of materials to be sent to Media Services for
public viewing.
· MS: Send Memo to advertise material display to Cindy Paulk, Public
Relations Department (4696135, office; 4696379, fax); adds to run in
January.
January
· MS: Run the Pensacola News Journal ad for display of materials.
· SAS: Materials due into the Professional Library for public viewing (Jan.

· MS: Materials are ready for public viewing by January 30 .
February
· MS & SAS: Meet with subject area specialist to discuss projected school
numbers (due in early March).
· SAS: Contact information technology for a printout of student enrollment
for all the courses and grade levels covered by the textbook adoption by
school and by district. Use this data to verify the district projections.
· SAS: Create projection spreadsheets and ask schools to verify student
and teacher counts.
· SAS: Subject area specialists meet to consider public comments (Feb.

· SAS: Deadline for final recommendation (Feb. 20 ).
March
· MS: Executive Summary due to Assistant C&I (includes the list of
Instructional Materials recommended by District Textbook Adoption
Committees for approval at the March School Board Meeting).
· SAS: Prepare final orders for schools (final student/teacher counts
provided to vendor(s) to prepare final orders for the schools).
· SAS: Once the final orders (PQs) have been received, they should be
checked for accuracy. If errors are discovered, contact the vendor and
request corrected PQs. When the SAS has received and verified the PQs,
they should be forwarded to Media Services. In addition to the individual
school PQs, please remember to request a district total sheet form each
vendor.
· MS & SAS: Towards the end of March, the School Board votes on
textbooks.
· MS: Begin inputting total book order numbers in FIMWEB.
April
· MS: District textbook projections due to DOE FIMWEB (April 1st).
· MS & SAS: School orders sent to Sandi Lyle to order from FSBD.
May
· MS & SAS: New adoption textbooks begin arriving at warehouse and are
processed.
· MS: Media Services adds records to Destiny and sends barcoding kits to
schools.
Other Important Textbook Dates
August: Textbooks checked out in Destiny by the end of the second week of
school. At the end of the second week of school, reports should be
run by the textbook coordinator to ensure that this is complete.
February: Media Services creates draft “free materials” orders and emails them
to the schools. Schools edit and/or approve the draft orders and send
them back to Sheila Brandt (sbrandt@escambia.k12.fl.us) in the
media services office by the deadline listed in the email.
April: Media Services sends email to all schools to begin planning for the
pickup of offadoption textbooks. Materials off of adoption will be
listed and instructions packaging will be included. It is the school’s
responsibility to notify Media Services of the intent to participate in
the book pickup and to prepare for the pickup date.
Media Services will initialize textbook inventories for all Destiny
schools in late April.
Media Services and the Warehouse will send the Annual Physical
Inventory to the schools not using the Destiny textbook management
system.
May: All Destiny schools will finish their inventories by mid May. Then,
Media Services will finalize all inventories. Once the inventories are
finalized, the schools will submit their finalized inventory report to
Media Services. For more information about this process, visit the

June: Deadline to checkin books. On June 30 , all books still checkedout
will be moved to Lost status.
Summer: Old textbooks are picked up for disposal.
