Agreement for Exhibitors - Terms and Conditions
LAA SYWELL RALLY
31st August – 2nd September 2012
Access to the site to set up will be available from midday on Thursday 30th August.
The Rally is advertised as open until 4pm on Sunday so please do not start stand strip down
any earlier.
Ensure you have a copy of your Public Liability Insurance cover (min of 2M) with you – you
may be required to provide proof at the event.
Access to the exhibition area will be via the signed exhibitor car park gate. You must have an
exhibitor Car Pass visible to enter the parking area. There is ample parking on the other side
of the road for the public – no charge.
If you have requested power it will be available from around 4pm on Thursday 30th August.
There may be power available for those who haven’t booked, but we cannot make any
guaranties. There is a fee for power.
You will be expected to maintain a safe environment for all visitors to your stand at all times.
LAA and Sywell Aerodrome Ltd management reserve the right to remove any installation or
equipment that they consider may pose a danger to the public, or other exhibitors. Please
ensure you complete your own risk assessment.
There will be parking available for one vehicle per pitch not far from the exhibition area to
allow you to re stock your stand etc. Vehicles will not be allowed to move on-site during public
opening hours. Further parking is available in the public car park.
There is roving security on site but you will be responsible for security of all your stock,
equipment and money etc. No liability can be accepted by the LAA or Sywell Aerodrome Ltd
for any security or losses.
The space booked will be marked out on the grass with a pitch number but please remember
that it is the exhibitor’s responsibility to provide any chairs, tables, screens, equipment, etc
that you may require.
You will be responsible for clearing your own rubbish from the exhibition area on an ongoing
basis and on vacation of the plot. There will be a small skip available, but please take large
items away with you.
This event is organised by Sywell Aerodrome Ltd and the LAA exhibition centre is provided by
kind invitation of Sywell Aerodrome Ltd. Please respect the airfield environment and property
to ensure that we can all return again.
Please keep any music, TV’s, CD players, PA systems etc to a reasonable volume to avoid
disturbing other exhibitors. The LAA and airfield management will be the final arbiter on this
point.
The LAA personnel on the site will Richard Duneveing-Gordon and Penny Sharpe. Please
report to them upon your arrival at the LAA HQ Tent and you will be shown to your spot. If
you do need any assistance we will endeavour to help wherever we can.
