NRDA Sampling Form - Sample ID Naming Conventions

The following is the preferred method of identifying field samples. This method will provide consistency among field sampling

teams. However, instructions from the field team leader may supersede these instructions.



The sample ID used for submission to the laboratory will be built from these three pieces, with dashes in-between:

LocationCode-DateCode-Matrix SamplerTeam Sample Number



The Sample ID will begin with the LocationCode, typically from a division/segment system or a grid system.

The middle of the Sample ID will be made up of a 5 character date code, including a one character year (2010 = A, 2011 = B,

etc.) and 4 digits for the month and year (including zeros to keep it consistently 4 digits), e.g. A0502 represents 5/2/2010.



The final component of the sample ID Consists of three parts:

- one character abbreviation for the Matrix (the letter of the Matrix shown on the forms in parenthesis)

- two digit number assigned to the sampling team

- two digit sequence number (which will be listed on the forms under sample number). This sequence will restart each

day with 01, and continue until all of the days samples have been collected.



Examples:

BN/02-A0502-T0102: Div/Seg = BN/02; Date = 5/2/2010, Matrix=Tissue; Sample Team # = 01; & Sample # = 02

78-A1130-L0812: Grid = 78; Date = 11/30/2010, Matrix=Soil; Sample Team # = 08; & Sample # = 12

LA/42-B0130-R0457: Div/Seg = LA/42; Date = 1/30/2011, Matrix=Wrack; Sample Team # = 04; & Sample # = 57



Composites

When tracking composite samples, both the composite sample as well as the samples that make up the composite should be

included in the field sampling form. This is so the actual locations of all of the samples making up the composite sample can be

stored, as well as the actual SampleID of the sample sent to the lab.



If the compositing scheme is known at the time of sample collection, a sequence number suffix should be used for each portion

of the composite and no suffix is used for the composited sample. If the compositing scheme is determined after the fact, a

different nomenclature will be required. See the examples below for details.



Composite Examples

This is an example where the compositing scheme is known in advance. In this example, the fourth sample of the day will be a

composite soil sample from three locations. In this case, there there will be three rows in the spreadsheet with Sample IDs that

use sequence numbers of 04A, 04B, 04C respectively, each with latitude and longitudes. These samples will not be listed on

the chain of custody. There will also be one row with sample number 04 that does not have a latitude or longitude (until

calculated at a later date). This sample will be listed on the chain of custody.

Thus, BN/02-A0502-L0104A, BN/02-A0502-L0104B, BN/02-A0502-L0104C might be the subsamples. BN/02-A0502-L0104 will

be the composite of the three.



Another example is when the compositing scheme is determined after the fact. In this case, the sample numbers for the

portions in the composite will remain as originally assigned. The composite sample number will begin with a C, and start a new

sequence (e.g. the first after-the-fact composite is C01). The Sample notes field MUST indicate which sample numbers were

included in the composite. (such as "comp of 08, 10, 11 &12"). (e.g. the first after-the-fact composite is C01).

Thus, BN/02-A0502-L0108, BN/02-A0502-L0110, BN/02-A0502-L0111, BN/02-A0502-L0112 might be the subsamples and

BN/02-A0502-L01C01 will be the composite of the four.



Field Duplicates

Field duplicates are separate samples, so they should be assigned a new sample number distinct from the original sample. On

the spreadsheet, use the Sample QA/QC Type column to indicate that the sample is a duplicate. The associated parent sample

number can be identified in the Sample Notes column.

Instructions for adding to Picklists:

Select a cell with a current picklist item. From the Insert menu, select Cells… or use the right mouse button to click on the current cell and select Insert… from the menu that appears.

From the dialog box that appears, select Shift Cells Down and press the OK button.

Care should be used when adding to picklists, not to repeat existing entries. Submit any change in the picklists to peggy@exadata.net for inclusion in the master template.
