Overview
Orange Mail
Orange Mail is the e-mail service for OSU students and is hosted by Google. Orange Mail allows users to
maintain their @okstate.edu e-mail account for life. It also allows for greater flexibility, online file
storage through Web-accessible collaborative tools and increased e-mail storage capacity.

E-mail: Students will have access to an inbox that is accessible in many different ways (see
        Client Access below).
 Students will receive a maximum of 25 GB of mailbox space with Orange Mail.

Google Documents: Students will have access to an online storage space called a Google Docs
that is Web-accessible. You can upload files (such as Microsoft Word documents) to the Google
Docs and share them with others in Orange Mail.
 Students will receive 1 GB of space for non-Google app documents and an unlimited
amount of space for Google app documents.

How to use Google Documents: Students can share documents you save in your Google Docs.

 Find the document you want to share.

 Right click on the document and choose ‘Share.’
How to Look up a Non-Student E-mail Address: To look up a non-student e-mail address,
you will need to go to the OSU Online Directory at directory.okstate.edu and look them up by
    first or last name.

Account Expiration: Students will be able to keep their Orange Mail for life—there is no
    expiration.

Sharing Calendars: For information on how to share Orange Mail calendars, visit
    http://www.google.com/support/calendar/bin/answer.py?answer=37082

Forwarding Your E-mail: Manually forwarding your Orange Mail account can be done by
setting up rules. Visit http://mail.google.com/support/bin/answer.py?hl=en&answer=10957 for
information on how to do this.

Resetting Orange Mail Passwords: To reset a Orange Mail password, students will need to
reset their O-Key password. Visit http://okey.okstate.edu and follow the ‘Reset Password’ link to
reset their O-Key password, which also resets the Orange Mail password.

How Orange Mail Works With O-Key
To get an Orange Mail account, you will need to set it up in O-Key. To do this, follow the
directions in Appendix A: Setup Orange Mail in O-Key Account Services.
Orange Mail Addresses: A student’s e-mail address will remain @okstate.edu. People will be
able to send to the @okstate.edu e-mail address; however, when you reply back, it will appear
        as @ostatemail.okstate.edu.

Data Migration: If data needs to be migrated from a current OSU Exchange account to Orange
Mail, students are able to set up an Outlook client to export their information and import it into
Orange Mail. The IT Helpdesk will be able to assist with configuration on a personal laptop. IT-
supported computer labs will also be available to perform this conversion. Please see Appendix
B1: Migrating Mailbox Items from OSU Exchange to Orange Mail for PCs and Appendix B2:
Migrating Mailbox Items from OSU Exchange to Orange Mail for Macs.

Setup Orange Mail in O-Key Account Services
Introduction
Orange Mail is a student email service based on the Google Gmail system. The mailbox has a
maximum email quota of seven gigabytes of inbox storage as well as one gigabyte of file storage
(and unlimited storage for Google app documents). Please note that after you select Orange
Mail, email messages sent to your O-Key Login Address will be delivered to your Orange Mail
account.

Orange Mail Setup In O-Key
Visit http://okey.okstate.edu and enter your OSU
Email address in the Email address field and your O-
Key password in the Password text box. Once the
information has been entered, click the Login button.

After you have successfully logged in, your Profile page
should appear. On the left side of the page, click the
                                         Email Destination link.

When the Current E-Mail Destination Information page
appears, select the Orange Mail E-Mail System
(Google) radio button. Once the option has been
                                         selected, click the Save button.

Once the Orange Mail option has been saved, a
summary of the Orange Mail service will be displayed.
After you have read the notice, click the Continue
                                         button.

You should be redirected back to your O-Key Profile
page. You can now log out of O-Key or close your
Internet browser. After the changes have taken effect,
you can check your email online at
                                         http://orangemail.okstate.edu or at
                                         http://www.okstate.edu/email.

Please note that when you reply to or send messages
from your Orange Mail account, the email address will
                                         be shown as username@ostatemail.okstate.edu
(where username is the first part of your Orange Mail
address). You will want to state your email address as
                                         your O-Key Login Address (example:
                                         first.last@okstate.edu or username@okstate.edu).
Messages sent to the O-Key Login Address will be
directed to the correct account should you decide to
switch to a different account in the future.

Migrating Mailbox Items From OSU Exchange to Orange Mail—PC
Introduction
These directions will migrate the email, calendar, and contacts from your OSU Exchange
mailbox to your Orange Mail account. You will need Microsoft Office Outlook 2007 or higher
and the Google Apps Migration for Microsoft Outlook 2.0.X. Microsoft Office Outlook will also
need to be setup with your OSU Exchange account.

Migrating Mailbox Items
                                       Visit
                                       https://tools.google.com/dlpage/outlookmigration
and click the Download Migration Tool link at the top
right section of the page to obtain the Google Apps
Migration for Microsoft Outlook. Save the application
to your Desktop or other location on your computer
                                       that can be reached easily.

                                       saved in the previous step.

The installer will take a few moments to initially copy
files and settings to your computer. After the files and
settings have been copied, the Google Apps Migration
for Microsoft Outlook will display the Welcome
                                       screen.

                                       Click Next to continue.

                 Appendix B2

Migrating Mailbox Items From OSU Exchange to Orange Mail—Mac
Introduction
These directions will migrate the email, calendar, and contacts from your OSU Exchange
mailbox to your Orange Mail account. You will need Apple Mac Mail 4 or higher and the
Google Email Uploader 1.1.2. Apple Mac Mail will also need to be setup with your OSU
Exchange account before you can start these directions.

Migrating Mailbox Items
                                              Visit http://code.google.com/p/google-email-
                                              uploader-mac/downloads/list and click the
GoogleEmailUploader link at the top left
section of the page. Save the application to
your Desktop or other location on your
computer that can be reached easily.

Before Opening the Google Email Uploader
application that you saved in the previous step,
ensure that Apple Mac Mail is setup with your
OSU Exchange Account. Your mailbox items
cannot be transferred unless your OSU
Exchange account is setup. Once verified, you
                                              can execute the application.
When the Google Email Uploader application
loads, click the Apple Mail listing to expand the
list of mailboxes in the box at the top of the
                                              window.

After the list has been expanded, place a check
box next to each mailbox that you wish to
export to your Orange Mail account (example:
                                              EWS-
                                              pistol.pete@okstate.edu@mail.okstate.edu).

You can then expand these mailboxes to only
have certain folders exported if you wish.
Under the expanded list of mail box items
should be four checkboxes. Ensure that the
Preserve mail properties where possible and
the Assign Additional Label boxes are checked.
The Other two boxes are optional depending
on how you wish your mail to appear in
                                              Orange Mail.
At the bottom of the window, enter your
Orange Mail email address (example:
username@ostatemail.okstate.edu where
username is the first part of your Orange Mail
address) and your Vendor Password (from your
O-Key profile).

Click the Upload button in the bottom right
corner of the screen to begin the transfer.
Depending on the size of your mailbox, it may
take several moments for the process to
complete. Once finished, ensure that your
mailbox items have uploaded successfully by
logging into http://orangemail.okstate.edu
with your O-Key credentials.
