ANSA TRAINING AND CERTIFICATION

To begin the web-based certification process, each individual must create a user account. The
home page of the certification site provides guidance on completing this task. Once an account
is created, users can practice ANSA administration and become certified online.
ATR requires that each Recovery Consultation agency have at least one SuperUser. To obtain
ANSA SuperUser certification, an individual must attend a DMHA-hosted SuperUser training.
The next SuperUser training is tentatively scheduled for September 2009.
ANSA SuperUsers can help prepare or train staff for online certification.
ANSA SuperUsers are required to attend a booster session every year. These trainings have not
been scheduled for calendar year 2009 but all available training information will be posted to
the Provider SharePoint.
Please remember that the ANSA tool is used after the intake interview, based on your
observations and interaction with the client, and would be considered admin activity.

For compliance with ATR policy, all Recovery Consultation agencies will be required to have
an ANSA paper tool present in the client file for all intakes completed on or after August 1,
2009. ATR state office staff realizes that the number of units claimed for intake administration
may increase due to this additional requirement. When the ANSA tool is used, please specify in
the encounter note that an ANSA was administered for clarification purposes.
Only ANSA certified agency staff can complete the ANSA tool.
Each assessment must be entered into DMHA’s DARMHA web-based system. Only staff with
access to the DARMHA system can input client information.
DARMHA (previously IBHAUS)

Training: DARMHA trainings, conducted by DMHA technology staff, are currently being
scheduled and will be announced on the Provider SharePoint site once finalized. Agencies can
begin using the DARMHA site without attending a formal training and refer to the DARMHA
User Manual and What’s Different in DARMHA for assistance. These two documents can be
located on the Provider SharePoint under INATR Forms -> ANSA Resources.
All Providers must submit a Provider Registration Agreement Form to DMHA (fax number
included on the form.) Any agency that previously submitted an IBHAUS provider agreement
does not need to submit this form. Please specify at the top of the form that you are an ATR
Provider. This will expedite the verification process.
All individual staff members who will need access to DARMHA must read the Security and
Confidentiality Policy and submit an Individual User and Confidentiality Agreement Form to
obtain log on credentials for the DARHMA system. Please specify at the top of the form that
you are an ATR Provider. Please allow 7-10 business days for verification and account creation.
DARMHA’s administrator will send the log on information directly to the email account
specified on the form.
The latest version of the ANSA tool (which was updated recently to include extra war-related
trauma measures) and manual can be located on the DARMHA site in the Documents tab.

How to Enter an ANSA Assessment in DARMHA
1. Login- enter your user id and password on the DARMHA login page
- Your password is case sensitive.
2. Search- Always begin by searching for the individual you want to enter, they may already be
in DARMHA. For the best search results begin by searching with the individual first name
and the first letter of their last name. If too many results are received you can enter the entire
last name and add DOB.
A. The individual you are entering in an assessment for is already in DARMHA.
- Hit the select button to the left of the person’s name.
B. There is no record of the individual in DARMHA.
- Hit the add button and fill in the required information to enter the individual into
DARMHA. You must fill in their first and last name, DOB, gender, ethnicity and race.
For the internal ID number put the person’s WITS Client ID number. DO NOT enter
anything under the field CSDS. SSN and Zip Code are optional fields; if you know
them it is better to enter them.
- Hit the insert button to complete the entry.
3. Add Assessment- Click on the Add Assessment button. DO NOT hit Create Episode.
4. Select Mode- Select rapid entry mode.
5. Assessment Date- Enter in the assessment date and hit the Tab key on your keyboard to
activate the Assessor field. If you try to use your mouse to go from the assessment date field to
the assessor field, the field will not be activated and you will not be able to choose an assessor.
6. Choose Assessor- Choose your name from the drop down list of assessors.
7. Choose ANSA Tool- Choose the ANSA tool that you used for the individual. If you select a
tool that is not appropriate for the person’s age you will get an error message.
8. Medicaid Number- If the consumer’s Medicaid number is known enter it in by checking the
Yes box and entering in the number. If you enter an invalid Medicaid number you will
receive an error message, not allowing you to complete the entry. If the consumer does not
have a Medicaid number or it is unknown select No.
9. Start ANSA Assessment- Click the Start Assessment button.
10. ANSA Assessment- Complete the ANSA assessment. Start from the beginning and enter in
the results by checking the corresponding box. If you trigger a module make sure to complete
it at the end.
11. Completing the Assessment- When you have completed the assessment click the Close
Assessment box and click Save and Process Assessment. If you have missed anything
DARMHA will indicate that and you will need to go back and fill in the missing information.
12. Save Your Work- Make sure to continually save your work. If you leave the DARMHA
unattended for 10 minutes it will timeout and all of your unsaved work will be lost.
13. DO NOT PRESS THE BACK BUTTON WHILE IN DARMHA!
