Entering DAILY Time Worked and Leave
using Oracle Self Serve
for
Nutrition Services Personnel
MONDAY (or first workday of the week)
.
Access Oracle Self Serve
by double-clicking the
Oracle Applications Login Icon
on the Desktop.
Enter your User Name and Password
Click the Connect button.
Click the Create Timecard link.
The Recent Timecards page appears
The Period will show the current week.
In most cases, that will be the week you want.
However, if you need a previous week
or a week in the future,
choose that week from the
Period drop down menu
And CLICK GO.
Click the down-pointing arrow to view the drop-down menu in the Hours Type column.
Select the **Contract Hours** item from the list.

Enter the hours worked under the appropriate day of the week.
Enter time in hundreths of an hour.
For example:
3 and 1/2 hours = 3.5
1/4 hour = .25
1/2 hour = .5
3/4 hour = .75
etc.
Enter your time including breaks
but NOT including your lunch.
Click the Save button.
Click the Logout link.
Note: The Confirmation that the timecard has been saved.
TUESDAY (or second workday of the week)
Access Oracle Self Serve
by double-clicking the
Oracle Applications Login Icon
on the Desktop.
Enter your User Name and Password.
Click the Connect button.
Click the Time Entry link.
NOT the Create Timecard link.
You only use the Create Timecard link
on the FIRST DAY of a week.
Click the pencil icon under the Update column
for the timecard for the current week.
It will be in the row listed as Working.

Enter the hours worked under the appropriate day of the week in the row for **Contract Hours**.
Click the Save button.
Click the Logout link.
Note: The Confirmation that the timecard has been saved.
EVERYDAY between the first and last day of the work week
Access Oracle Self Serve
by double-clicking the
Oracle Applications Login Icon
on the Desktop.
Enter your User Name and Password.
Click the Connect button.
Click the Time Entry link.
NOT the Create Timecard link.
You only use the Create Timecard link
on the FIRST DAY of a week.
Click the pencil icon under the Update column
for the timecard for the current week.
It will be in the row listed as Working.
Remember, if you are going to be absent, you must call the nutrition services absence line, 303-343-0295, Ext.
28550 no later than 6:45 a.m. so that a substitute can be found.
You must leave a message with your name, your work site, when you normally report to work, and when you will
be absent.
Then you must call the cook manager at the site where you work with the same information. If no one answers,
leave a message.

Once you begin using Oracle Self Serve timecards
to report your leave,
you no longer need to call SEMS.
If you miss work,
you need to choose the type of leave on a NEW ROW.
Click the arrow to view the drop down menu
in the Hours Type column on the NEW ROW.
Select the appropriate leave type.
For example:
*Sick Leave*
Enter the hours missed under the appropriate day of the week in the row for your leave type.
You cannot do this from home.
It must be done on an APS district-connected computer.
You can do it ahead of time
(as far as two weeks in advance),
if you know you will be absent.
You can also do it after the absence, when you return to work.
Enter the hours worked under the appropriate day of the week in the row for **Contract Hours**.
NOTE:
It is possible that you may enter leave
on the second line
and contract hours
on the first line
for the same day of the week.
For example:
You might take 1 hour off for a doctor's appointment
and still work your other hours on the same day.

Click the Save button.
Click the Logout link.
Note: The Confirmation that the timecard has been saved.
FRIDAY or the last day of the work week
Access Oracle Self Serve
by double-clicking the
Oracle Applications Login Icon
on the Desktop.
Enter your User Name and Password.
Click the Connect button.
Click the Time Entry link.
NOT the Create Timecard link.
You only use the Create Timecard link
on the FIRST DAY of a week.
Click the pencil icon under the Update column
for the timecard for the current week.
It will be in the row listed as Working.
Enter the hours worked under the appropriate day of the week in the row for **Contract Hours**.
Please NOTE:
The time on your **Contract Hours** line
plus the time on any leave lines
must equal the time you are contracted to work or more.
If it is less, you will be instructed to correct the problem.
If it is more, please enter information about the reason for the difference in the Comments box. Any time worked above
and beyond your contract must be approved by your cook manager BEFORE you work that time.

For example, the comment might read: "I worked an extra hour on Tuesday for the field trip."
Click the Continue button.
NOT the Save button.
Think of the Save button as "save for later in the week."
When you have entered time for the last day of the week,
you must click the Continue button.
NOTE: The Legal Warning!
If you need to make any changes,
click the Back button.
If everything is correct,
click the Submit button.
Click the Logout link.
Note: The Confirmation that the timecard has been submitted.
Click the Close button to close the Internet Explorer browser window.
