Welcome Parents to the Stonegate Stonegators 2010 Swim
Team
Congratulations to the Stonegators!! We are 10 years old
this year!! We are excited that you‟ve decided to join us for
what is set to be an awesome and momentous year for our
team!
We are also excited to welcome a new coaching staff and look forward to the
excellent, professional instruction they will bring to our team. Our new Coach Lori
Jaundoo will be joined by two veterans of our team Juan Saenz, Jennie Heinz
and part-time assistant coach Jody Leadbetter. Finally, we welcome to the board
this year Sonja Jones and Mark Harmon. All these individuals bring a wealth of
knowledge and experience that will serve our team well this year.
Enclosed in this years Parent Packet you will find directions to all AWAY meets;
along with some NWAL and team rules and regulations, and a list of important
contacts which will be helpful in assisting you with contacting individuals you may
have questions or comments for.
If you should lose your packet, please be assured that maps will be available on
our new website www.stonegators.org , via email and also available poolside all
week prior to the swim meet. Also, in an effort to help you get your child in the
right place at the right time, we have planned a communications area(near the
front entrance to the pool area) for every swim practice to assist in
communicating any team issues, changes or concerns you may need to be
informed about
Our goal is to be organized, well managed and structured for everyone who
participates in this year‟s swim season. We‟re absolutely delighted to have you
as a part of our swim team and look forward to spending some long hot summer

Stone Gator Swim Team
Purpose
Our swim team‟s purpose is to promote competitive summer swimming for team
and individual accomplishments to encourage good sportsmanship and to
provide a safe environment for all that participate. Above all it should be fun for
everyone.
History
Stone Gate joined the Northwest Aquatic League (NWAL) in April 2001, with its
first summer league program in 2001.
Qualifications
Safety for all swimmers and spectators is of utmost importance. Children must
be “Water Safe” before joining. The coach will help in determination with the
parents.
Eligibility
Residents of Stone Gate, Canyon Lakes, Canyon Lakes Village, Canyon Lakes
West, Copper Groove, Copper Lakes, Copper Stone, Copper Village,
Wheatstone and the Riata Ranch sub-divisions, until they form their own NWAL
swim team, are eligible and subject to eligibility requirements as defined by
NWAL. Swimmers from other sub-divisions may swim on the Stone Gators Swim
Team provided their neighborhood does not have a NWAL team. (See selected
key eligibility rules as defined by NWAL for the 2010 season)
Only NOVICE SWIMMERS may participate in the League. A NOVICE
SWIMMER is any individual up to and including eighteen (18) years of age
who does not participate in US swimming competition from the beginning
of the NWAL season until the end of the NWAL season.
The NWAL season begins on the Thursday before the first sanctioned meet
and ends on the Monday after the Divisional Meets
This rule is not intended to preclude any types of organized practice.
*Note: Practice schedule may be modified by coaches to provide more
practice time to qualified individuals at season end who will be
participating in invitational meets.

This rule specifically precludes a US Swimmer from swimming part of the
NWAL season in the league and then returning to his/her US Team. A
registered NWAL swimmer who participates in a US Swimming meet
during the NWAL season is ineligible for any further NWAL competition in
the current and FUTURE seasons unless re-instated by the NWAL Board.
Eligibility for an age group is determined by the individual’s age as of the end
of the day on May 31 of the current year.
The violation of any of the above entry requirements may result in forfeiture of
each met in which an ineligible swimmer participated. Subsequent willful
violations will result in disciplinary action at the discretion of the NWAL
Board.
The NWAL Board will decide waivers or exceptions with respect to eligibility.
Swim Meets
Dual Meets
Stone-Gators Swim Team is grouped together with five other teams, with a total
of six teams in a division. During the course of the swim season, Stone Gate will
swim against each of the other teams one time. A two (2) team meet is called a
dual meet.
Divisionals
This is the end of the season championship meet, when all six teams swim
together at one large meet to determine the Division Champion. A swimmer
MUST participate in at least TWO (2) of the regular season dual meets to qualify
to swim the Divisional Meet.
Invitational Meets
These meets are held the weekend after Divisionals. All have qualifying times
that must be met to allow a swimmer to swim at either meet. These times are
available from the coaches and will be posted on our website. The locations of
the invitational meets will be announced later.

Who swims what
Coaches decide what swimmer will swim in each event based on their best-
recorded time in each event and where they may serve the team best.
Swimmers may enter no more than three (3) individual events. A swimmer may
move up age groups providing he/she adheres to the above limitations and
remains in the upper age group throughout the entire meet. Swimmers may not
swim more than one (1) freestyle relay, and one (1) medley relay.
Given the above limitations there is a lot of strategy involved in getting the events
balanced out to get the maximum possible points for the team.
Team Practices
The Stone-Gator‟s Board sets practice with the assistance from coaches, and the
availability of the pool. Swimmers are expected to be on time and attend every
practice unless otherwise advised.

CHILD NOT PARTICIPATING IN AN UPCOMING MEET NO
LATER THAN THE TUESDAY BEFORE SAID

THE COMMUNICATIONS TABLE, VIA EMAIL, BY PHONE
OR THROUGH ANY OTHER MEANS OF

Parent Participation
The organization and execution of the swim team program is a tremendous
effort. Countless hours during the off-season, during the meets and between
meets are required to make the season a success. It is ESSENTIAL and
therefore MANDATORY that ALL PARENTS CONTRIBUTE their time and help
in some way.
Parent Service Commitment
Each family is required to serve a minimum of 5 credits. A deposit of $150.00 will
be assessed for each family. PLEASE pay for this with a separate check. The
deposit will be returned after service credits have been signed off by the
Volunteer Coordinator at the end of the season either during divisional or at the
team party. Any unclaimed checks will be shredded after the team party.
Volunteers
Many hands make light work. We aim to have the swim meets started and
finished promptly. The more helpers the quicker we all get finished, and the
more fun the kids have!!!! Previous experience is not necessary. Please note
that home-based volunteer positions are available on an as needed basis, in the
event that your talents can not be conducted during meets; please see Amy
Brewer(Voluteer Coordinator) for further instruction.
Ready Bench
Passing out heat cards (if used); and ensuring correct swimmer is in the right
heat and lane; getting kids to the blocks on time and in an organized fashion to
allow the meet to run smoothly.
Starting Area Monitors
Starting area monitors accept the swimmer from the Ready Bench
volunteers. They hold the swimmer (in heat order) until ready to direct them to
their lanes. Starting area monitors also assist by keeping parents and non-
swimmers out of the starting areas.

Card Runners (away meets only)
Pick up cards (or sheets) from scribes and deliver to Clerk of the Course /
Scorekeeper.
Timers
We need two (2) timers per lane for HOME and AWAY meets. We typically split
into two shifts to provide a break from the sun. We need to provide timers at
AWAY meets, and Away team will provide timers for our HOME meet. Stop
watches and training on how to use them will be provided.
Age Group Parents
Sit with swimmer of the assigned age group. Get the swimmers ready and to the
ready benches according to heat time. Must remain with the swimmers until the
end of their age group heats and all children are back with their parents. Choice
of age group to „parent‟.
Ribbon Writers
Label ribbons after each heat during the meet with the system created /
printed. File the ribbons in the swimmer folders for easy pick up. Ribbon writers
must remain at the meet until the task is complete.
Scribes (away meets only)
Mark times from Timers onto cards or heat sheets, and pass to Runner.
Equipment set up/ take down
Required for HOME meets; assists Board members as required to set out /
remove lane ropes, benches PA system etc. Typically 30-45 minutes before and
after the meet.
Restroom monitors
Restroom monitors will keep the restroom free of children playing,
clean, and well stocked during the home meets. Restrooms should
be checked a minimum of 3 times per hour, or more if necessary.

Clean-Up
Light trash pick-up; checking to ensure that the pool and surrounding area is
cleaner than it was found.
Breakfast Tacos
At home meets, we provide freshly made breakfast tacos. Tacos are made at
home the morning of the home meet and brought to concession stand
individually wrapped during set up.
Concession Stand
Assisting the Concession Board Members in setting up, taking down, and selling
concessions at the HOME meets. Shift one volunteers must be present at set up
and second shift volunteers must stay for take down.
Officials
Officials are required to be certified by NWAL. Certification is a pretty simple and
straightforward process. It is very rewarding and fun being an official. Fringe
benefits include the best view of the pool, privileged parking (typically), all the
kids being nice to you all the time, and the privilege of being able to purchase
and wear a cool white “NWAL Officials” Shirt.
Referee
The “BOSS”; He or she has total responsibility for the meet and rules on all
questions of procedure and rules. It is the Referee‟s job to make sure the meet
is run fairly for ALL swimmers. Always be nice to the Referee!
Stroke and Turn
Report to the Referee; and make sure the NWAL stroke and turn rules are
applied fairly to ALL swimmers. They will always take the time to explain if the
swimmer infringed the NWAL rules so that the swimmer may learn and improve.
Always be nice to the Stroke and Turn Officials!

Starter
Works with the Referee; is responsible for starting the events fairly. The
individual (s) plays a very important part in the smooth running/timeliness of the
meet and is responsible for calling false starts with the help of the Referee.
Always be nice to the Starter!
Clerk of the Course
Works with the Head coach to draw up weekly team roster, heat sheets, and
delivers to the NWAL meet coordinator (or other) on or before the deadline
preceding each meet. Makes up the master swim team list and keeps it updated.

Guidelines for use of the Stone Gate Pool facilities
1. Referee and coaches will exercise complete authority
2. The gate should be unlocked during practice hours
3. Swim team equipment, and personal effects must be removed after
practice, and meets.
4. Pool, restroom and any other facilities used must be left clean and tidy.
5. The wading pool and fountain areas, or recreational pool, etc. MUST NOT
be used during practice or during swim meets.
6. Non-swimming members and/or guests must be supervised by an adult
during practice if inside the fenced pool area.
7. NO SMOKING in the pool area during practice or meets
8. NO alcoholic beverages in the pool area during practice or meets
9. No Pets of any kind other than for the purpose of physical disabilities are
allowed in the pool area.
Guidelines for Swimming Safety and Etiquette
1. NO RUNNING. Inside the pool area. The pool deck and surrounding area
are always wet and slippery.
2. NO CHEWING GUM. Do Not have anything inside your mouth while
swimming
3. NO DIVING (EXCEPT UNDER DIRECT SUPERVISION OF THE
COACH). Diving should ONLY be done when practicing starts with a
Coach.
** NO JUMPING IN THE POOL UNLESS GIVEN PERMMISSION
FROM THE COACH. Enter pool by sitting on edge and turning to
enter or via steps or otherwise directed by the Coach.
4. Swimmers must not enter the pool until their designated practice time.
5. Swim team equipment is for Swim Team use ONLY and to be used only
during times designated as swim team practice. No exceptions.

6. Individual use of swim team equipment is prohibited under any and all
circumstances.
By-laws
Preface
These By-laws in conjunction with the NWAL rules and regulations will govern
this organization.
The name of this non-profit organization is the Stone-Gators Swim Team
(hereafter known as the “Team”). The affairs of the team shall be governed by
the Stone-Gators Swim Team Board.
The Board is a major committee duly elected by the membership of the team.
The Board has many responsibilities as outlined herein; therefore, certain
authorities must accompany these responsibilities in order to efficiently meet the
proposed objectives.
Responsibilities
The Board is charged with the responsibility of organizing and operating a swim
team for the young women and men who wish to compete in the Northwest
Aquatic League (NWAL) through the Stone-Gators Swim Team.
Objectives
The overall objective of the Team is to field and support a competitive team as
well as provide the opportunity for growth, training, enjoyment, good
sportsmanship and participation of all team members.
Organization
1. The Board will be comprised of members elected by the voting members
of the team. Husband and wife teams are acceptable on the Board, either
as one member with one vote (if elected as a team); or as two Board
members with separate positions and separate votes (if elected
separately). The terms of the Board members are for two years, from
September of the election year through August of the second year after
election.
2. Terms will be staggered so that new members will be elected annually to
replace the outgoing members who have served their two-year term.
Serving two-year terms and the staggering of the terms provides continuity
within the Board from year to year.
3. In the event of death, resignation or removal of a Board member,
their successor shall be elected by the remaining Board members
and will serve on the Board until the annual meeting. All appointed

members of the Board must run for election in July at the annual meeting
for a new two-year term.
4. Quorum - Meetings must have Five (5) members of the Board present.
Majority votes will decide business questions.
5. The Head coach will be included in the Board Meetings for input into
Board Decisions.
6. Board members may run for any number of consecutive two-year terms.
7. Under NO circumstances will any Board member (s) receive payment in
any form from the swim team for any sales or services rendered.
8. Any Board member or coaching staff involved in an activity that is
determined by a majority vote from the Board members to be detrimental
to the swim team will be removed from the Board or coaching staff. A
replacement would be selected by the remaining Board members in
accordance with (3) above.
9. No Board member or coaching staff may make any policy decisions
regarding NWAL regulations or these by-laws without a majority vote from
the Board members.
10. No swim team equipment will be removed from the designated swim team
area and no personal use of swim team equipment will be allowed for
Board members, coaching staff or swim team members unless approved
by the Board.
11. The President and Secretary will audit financial records yearly. Results of
the yearly audit will be reported to the general membership.

Election
1. The election of members to serve on the Board will be under the direction
and supervision of a nominating committee, appointed by the Board.
2. The nominating committee will consist of two Board members and two at-
large members.
3. Within two days of forming the nominating committee, a notice will be
posted at the Stone Gate recreation center letting the membership know
that the nominating committee has been formed and that suggestions for
nominations will be accepted for two weeks from the date the nominating
committee was formed. The notice shall include the names and phone
numbers of each nominating committee member and the date the
committee was formed, as well as the date, time and place of the annual
meeting and Board elections.
4. At the Board meeting prior to the annual meeting, the nominating
committee will provide the Board with a list of nominees to fill the
vacancies of outgoing members that will normally occur on a yearly basis.
5. The consent of the individual placed in nomination will be obtained by the
nominating committee before their submission to the Board.
6. The Board will approve the list of nominees.
7. Nominations for the Board positions will also be taken from the floor at the
annual meeting held in July/August in conjunction with the end of year
activities.
8. The election will be held at the annual meeting prior to the awards
ceremony. The secretary of the Board will serve as the teller of the
election. The secretary will introduce the candidates, read any proposed
amendments and tally the ballots.
10. Parents and guardians of Team members are the voting members. Votes
are defined as one vote per swimmer in good standing. The results of
each election will be reported immediately.

Board Positions
1. Immediately following the annual elections, all incumbent members, and
newly elected members of the Board will hold a meeting to elect a
President and other Board positions.
2. The position of President should not be held by a newly elected Board
member but if all Board members agree the position may be held by a
newly elected Board member who has had swim team experience with the
Team.
3. An organizational meeting will be held in September to plan for the
upcoming year to ensure that each Board member fully understands their
responsibilities.
4. Listed below are the positions, duties and committee responsibilities;
however, these may be altered to satisfy the talents of individual
qualifications and competency of the Board.
President - Presides at all meetings; is Team representative at NWAL
meetings, receives general correspondence pertaining to the team;
obtains announcers, starter, referee, and head timer for home meets; and
has authority to set-up necessary committees.
1st Vice President - Takes over Presidential duties when required: Is
alternate Team representative at NWAL meetings; is in charge of
Sponsorship.
2nd Vice President - Is in charge of swimsuit and t-shirts, design, sales
and distribution. Also arranges the photographer, sales and distribution of
the team photo.
3rd Vice President - Is in charge of ribbons, trophies and medals design,
purchase and distribution.
4th Vice President - Is in charge of Home meet concessions including
obtaining all refreshments, setting up a booth (s); obtaining sufficient
workers and making time (shift) schedules; and is responsible for totaling
moneys with the Treasurer.

Secretary/Communications Coordinator - Keeps minutes of all Board
meetings; is responsible for all correspondence and printed materials; is in
charge of all publicity. Contact for parent communications.
Volunteer Coordinator - In charge of getting volunteers for all meets (home
and away as required). E.g. age group parents, timers, scribes, card runners
(if required), scorekeepers, clean up and set-up, and help for concessions
and any other tasks deemed needed and necessary. Is also responsible for
tracking and evaluating the volunteer activities of each member and/or
household for reporting to the Board.
Treasurer - Controls and manages all moneys; is bookkeeper for all team
transactions; presents financial reports when necessary.
Clerk of the Course - Works with the head coach to draw up weekly team
roster, heat sheets, and delivers to the NWAL meet coordinator (or other) on
or before the deadline preceding each meet. Makes up master swim team list
and keeps it updated.
Selection of coaching staff
1. The Board will be responsible for the selection of the head coach. The
selection will be presented to the Board by a selected committee
appointed by the President for the Board‟s approval.
2. The Board with the advice of the head coach will be responsible for the
selection of any assistant Coach.
Membership and fees
1. Qualified individuals will be admitted to swim team memberships after
submitting a written application and payment of their annual registration
fee.
2. Parents and guardians of swim team members are the voting members of
the team

3. The Board will determine the annual registration fee based on the Annual
Budget and the Treasurer‟s recommendations.
4. The registration fee is not refundable to any member after the first meet of

5. Honorary memberships are voted on by the Board and are for one year.
Honorary members pay no dues, have one vote per member and may
serve on the Board.
Amendments
1. These by-laws may be amended at the annual meeting by a 2/3-majority
vote of the voting Team members present.
2. Proposed amendments must be submitted two weeks prior to the annual
meeting. Any voting member may propose amendments to the By-laws.

Directions
From US 290 (the Northwest Freeway)
Traveling northwest on US 290 outbound from Houston, take the Spring-
Cypress/Cypress-Rosehill/Fry Road exit.
Turn left on Fry Road (2nd traffic light).
Proceed south on Fry Road for approximately 2.5 miles.
Go straight through the light at North Bridgeland Lake Parkway, the main
entrance to the community of Bridgeland.
Turn right at the next street, Bridgeland Landing (across from entrance to Cy
Ranch High School).
Turn right into the first parking lot.
You can park along Bridgeland Landing as well, but not past the tennis courts.
