Import File Formats
Employee File Import
Employees can be imported using a tab delimited text file (.TXT file extension) or a
comma separated files (.CSV file extension). The requirements for the import file are:
File: Any acceptable DOS type file name.
For CSV files, a comma should separate each field in the file.
Quotes are accepted. If a special character exists within the field,
then they must be enclosed in quotes. Separate rows of data with a
carriage return and line feed.
For Tab delimited files, a TAB character should separate each
field in the file. Quotes are accepted. If a special character exists
within the field, then they must be enclosed in quotes. Separate
rows of data with a carriage return and line feed.
Field Form
The following fields are required for Employee Field Import, except Contract
Number
Contract Number DXXXXXX - 7 characters. The contract
number is optional. If used, it must be a
valid contract that you are working on. If
included, the employee will be assigned to
the contract.
SSN 999999999 (dashes optional)
Last Name Up to 50 characters
First Name Up to 50 characters
Birth Date MM/DD/YYYY or MM/DD/YY format. If
the year is a two-digit year, it will be
converted to a 19xx year, i.e. 10/20/44 will
be saved as 10/20/1944
Gender M or F
Race Numeric and matches to a value in the Race
Lookup Table (See Lookup Table Page)
Trade Numeric and matches to a value in the Trade
Lookup Table (See Lookup Table Page)
Classification Numeric and matches to a value in the
Classification Lookup Table (See Lookup
Table Page)
Hourly Rate Numeric, greater than or equal to 0 and less
than or equal to 999.9999
Benefits Numeric, greater than or equal to 0 and less
than or equal to 999.9999 (OPTIONAL)
Address Line 1 Up to 100 characters
Address Line 2 Up to 100 characters
City Up to 100 characters
State* Two-character state code
Zip* 99999
Phone 9999999999 (no dashes, spaces, etc)

Work Hours File Import

COMMON IMPORT ERRORS
General
A .txt extension (tab-delimited) or .csv extension (comma-delimited must be
selected.
Input file was not formatted correctly.
Input file was not formatted correctly. Too many columns were provided
Errors were found in the import file.
Unexpected errors. Contact Support
Employees
One or more rows have duplicate SSN numbers for a contract
The number of columns is incorrect*
One or more contract numbers are missing or exceeds 100 characters
One or more SSNs are missing.
One or more Last Names are missing or exceeds 100 characters
One or more First Names are missing or exceeds 50 characters
One or more Birth Dates are missing
One or more Genders are missing or are invalid
One or more Race Codes are missing or are invalid
One or more Trades are missing.
One or more Classifications are missing
One or more Hourly Rates are missing
One or more Wage rates is 999.9999
Unable to find the county for the zip and state
*(NOTE: In the event that there is an extra or missing column, data may be shifted
to another column and that data may not match the requirements for that field and
could give off a number of false error messages. The number of columns in the
correct format is imperative)
Work Hours
One or more rows have duplicate contract, ssn, work week, trade, class, type of
hours
