HOW TO ACCESS WORKFLOWS
Workflows is the Symphony client, and it is installed on staff workstations. It allows
searching, cataloguing, circulation, and other staff activities. To access it follow these
steps:
First, double-click the WorkFlows icon on your desktop
enter the Configuration settings:
IP address: imsworkflow
Port: 5100
Login timeout: 60000
uncheck ‘Show this window’
Login using your IMS UserID and password.
Note:
The UserID typically takes the form of IMS[school code]001 or IMS[school code]002
For example, Deer Run School’s UserID is: IMS265001. You can look up your school
code in the table at the end of this handout. If you don’t know your library’s UserID and
password, contact the Help Desk at 294-8111.

The online public catalogue is available via the internet. It allows users to search
all CBE library collections. Note that your UserID and PIN are the same as your
CBE network credentials.

GUIDELINES FOR CATALOGUING REQUESTS
Whenever you have a non-fiction or audio-visual title that has not been catalogued by
AAAERS, you are encouraged to send it in to Educational Resources and Services [ERS]
as a catalogue request (a.k.a. cat. req.). The step by step process is as follows:
First, make sure that your items fit the criteria for cat. reqs.:
1. Search the AAAERS database in Symphony or e-Library to see if your item has
been catalogued by ERS. If it has, you may add your holdings to that record (see
Cataloguing Manual. Note: never add your holdings to RLC, CHINOOK or
EVAL.
2. If there is no AAAERS record, search ALL libraries for the item. If another
school has added their own brief title (as per the Cataloguing Manual) you may
add your holdings to that school’s record, assuming the title, author, etc. match.
Second, submit your items to ERS as cat. reqs.:
1. Stamp your items with your school’s name before you send them to us.
2. Fill out an S-18 listing the resource titles, the date and the budget code. Your
school will be charged $3.00 per book.
3. Send the item via interschool mail to Deirdre O’Flaherty at Educational
Resources and Services, Highfield Building.
Typical turnaround time varies depending on the time of year, but we always strive to
return your materials as soon as possible.

CHECKING YOUR LIBRARY’S EMAIL ACCOUNT
IN OUTLOOK
This library e-mail account is used for communications from Educational Resources &
Services and the Research and Learning Commons [RLC], including suggested updates
to call numbers. As well, it is the best way to contact other schools when requesting an
interlibrary loan. Therefore, it is important that you check it regularly. If you do not
have access to your library e-mail, please ask your principal or school secretary to e-mail
the Help Desk to set up your account.

In your Outlook inbox:
1. Ensure that you are in the Folder List tab on the left sidebar.
2. Click on the + to the left of All Public Folders. The name of your school will appear.
3. Click on the + to the left of your school’s name. Library will appear under your
school’s name.
4. Click on the + to the left of Library. Your library’s INBOX will appear.
