INVITATION
The Organizing Committee of the Fifth International Conference on Vetiver (ICV-5) on
the theme ‚Vetiver and Climate Change‛ has the pleasure of inviting you to participate
in this important international conference which will be held at the Central Institute of
Medicinal and Aromatic Plants (CIMAP), Lucknow, India, between 29-31 October 2011.
In India, the roots of this grass have been traditionally used for essential-oil production,
and its hedges for on farm soil and water conservation, contour and forage. Over a
period of time Vetiver System (VS) has acquired international territories and is now
grown in over 100 countries owing to its cost effective environment friendly
multifarious application and sustainable solutions for soil and water conservation, slope
and embankment stabilization, natural disaster mitigation, pollution mitigation,
agroforestry management and host of ecosystem services.
The vetiver grass model promises a natural solution to mitigate the effects of climate
change. Leading practitioners, experts, and policy makers associated with Vetiver
System applications from all over the world will participate in the conference. This will
provide an excellent opportunity for scientists, growers, entrepreneurs, industrialists
and environmentalists to interact and share experience on prospects, potential, and
opportunities of VS applications.
India is the native home of vetiver, and Lucknow is located in an important geographic
region where vetiver has its natural occurrence. It is our privilege to hold this
International Conference on Vetiver in India, and also offer an opportunity for the
participants to see vetiver in action in its native home. We extend a hearty welcome to
you to explore and learn the state of art progress in this unique plant and its
application.

Conference Theme: Vetiver and Climate Change
The ecological, economic and social applications of Vetiver System (VS) have opened a
world of opportunities for basic and applied research. It provides a relatively simple
and viable solution that is socially acceptable and ecologically appropriate for
community and other projects that may involve the private sector, NGO and
government agencies to promote sustainable development in area as diverse as
agriculture, mining and petroleum, construction and landscaping, crafts and industry,
tourism, environment and ecology. VS could mitigate the adverse effects of climate
change, such as flood and landslide disasters, soil degradation, lowering water quality
and quantity, agriculture and pollution control.
The fast growing deep penetrating roots and high biomass production potential of
vetiver grass has opened newer opportunities for its utilization in mitigating global
warming through photosynthetic capture of atmospheric carbon and its sequestration
in subsoil horizons. Also, the technical advances being made in cellulosic conversion of
plant biomass into biofuel could offer integrated approach for optimum utilization of
vetiver plantations thereby reducing the load from anthropogenic emissions.
The Fifth International Conference on Vetiver being organized by this national
laboratory would provide an exciting opportunity to participants to interact with
leading world vetiver users, and the R & D workers looking for newer applications for
this plant.

Sustained agriculture through improving and maintaining soil moisture,
soil fertility and groundwater
Rehabilitation and protection of degraded lands, including flood control.
Protection and mitigation of siltation problems relating to in shore coastal
waters and marine life and protection of shore line
Rehabilitation and mitigation of slopes and river Banks impacted by
landslides and floods

2. Infrastructure and Pollution control
Rehabilitation of contaminated water and land
Protection of manmade infrastructure including roads, railroads, building

It is proposed to have Plenary / Review talks, oral and poster presentations, as well a
a few technical demonstrations / exhibitions, along the said theme areas.
Vetiver Handicraft-Making Training Class:
A small training class on handicraft-making from vetiver leaves during the
conference period of October 29-30, 2011 is being planned. The trainers are
experts from Thailand. Those who wish to attend please specify in the
registration form so that the sufficient amount of raw material can be prepared
well in advance.

Oral and Poster Preparation Guidelines
All intended participants are invited to deliver oral or poster presentation derived from
his/her experience with vetiver. The acceptance of the paper will be decided by the
scientific / publication committee and is based on its relation with the conference
program and must fulfill the indicated requirements.
Abstract submission deadline: June 30, 2011
(by mail, fax or e-mail: e-mail is best, the sooner the better)
Full paper submission deadline: August 31, 2011

Specifications for abstract and full paper
The summary should be between 400-500 words (1 page). The complete work should
not be longer than 6000 words (including figures and pictures, not more than 12 pages).
Before submitting, all abstracts and full papers must be edited according to the
following norms:
Format: The papers must be written in the Word program for Windows, in letter Times
New Roman (TNR), according to the following specifications:
Title: TNR, capital letters, 14 points and bold black, centered
Author(s): TNR, 12 points normal. Initial of the first name, first last name,
institution(s) to which they belong , postal address and e-mail, centered
Keywords: TNR, 10 points, maximum five, NOT to include the word ‘vetiver’)
Text: TNR, 12 points normal, single space, justified
Graphs and pictures: In black and white. Edited and placed in the main text at
proper places
Format of page: Letter size, margin: 2.5 cm right, top and bottom; and 3 cm for
the left; single space
Contents: The text of the paper must include introduction, materials and methods,
results and discussion, conclusions and references. Tables and figures must be inserted
within the text at proper places. References must be included and listed in alphabetical
order by last name of the first author according to the following norms: author, (if more
than one author, use commas to separate them), year of publication, title, journal, No.
(volume), page, letter size 10, and 14 points of line space. For example:

Specifications for Posters
Dimension: Should not exceed 0.90 m wide x 1.20 m high
Content: Title, authors, institutions with its respective address, abstract, objectives,
methodology, results, most relevant conclusions and the main references. For
acknowledging some sponsoring institution(s), it should be mentioned at the bottom.
Design of the poster: It is recommended that the text of the poster has a font size that
allows the reading from 2 m. It is suggested to use bold letters, with size between 8 and
12 mm and 15 to 20 mm for titles and sub-titles. The text must be concise, clear and
precise, results supported with suitable illustrations, photographs, graphs and tables.
Reference citations in the text must be minimal. The poster components need to be
designed to convey the Questions and Answers, Objectives and Conclusions in a lucid
manner.
Note: Authors will have to be present at the specified time to clarify questions during
the exhibition of the poster.

Exhibition / Demonstrations
Conditions and specifications
Registrations for the exhibition are now open and will be accepted until
September 1, 2011.
Each stand will have a space of 3 m wide by 2 m deep with a small table and
possibilities of connection for computers or video equipment.
Costs:
Institutions or organizations who display projects with profit aims related
to vetiver will have to pay a rate of US$300 (for foreigner institutions) and
Rs. 10,000/- for Indian institutions
Exhibitors with commercial aims on the sale of materials and services
related to vetiver and the contents of the conference will have to pay a rate
of US$500 (for foreigners) and Rs. 15000/- for Indian entrepreneurs
The installation will have to be made between October 29 – 30 October, and
disassembling will have to be made in the morning of 31 October.

Other General Information
Visa Requirement: Several types of Visa are issued to enter india for variety of
purposes, including tourism, student, conference and research. for details click here
http://india.gov.in/overseas/passport/types_visa.php. Visa on arrival is also available
for certain countries. Visa for international conferences, or on certain subjects, as
decided by the Government of india is also granted from time to time. Such Visa can be
issued only after the clearance for the said conference is recieved from the Government
of India. ICV-5 secretariat would initiate efforts for the latter.
Sponsorship of participants: Interested participants may seek sponsorship from their
respective institutions, public agencies or other private or government institutions in
their countries or region of origin, since only limited resources are available on the part
of the Organizers of ICV-5 for the financing.
Official letter of invitation: The participants who require an official letter to apply for
financial support, to ask for visa and respective permissions to attend ICV-5 will be
provided an official letter of invitation from the Organizing Committee on the basis of
the data provided in the registration form. In the same letter will be mentioned the
acceptance of the paper or communication that has been submitted for consideration.
This request must be indicated within the registration form or communicated by e-mail
to the Organizing Committee of the conference.
Languages of ICV- 5: English
Audio-visual equipment available: Electronic projection equipment will be available
for presentations at the plenary and concurrent sessions. In the case of exhibitions, the
necessary equipment is the responsibility of exhibitors.
Internal Transport: There will be facilities of transport from and to the Air Port /
Railway Station on the days of arrivals and the days of departures according to the
schedules that concentrate most of the flights of the participants.
The Lucknow and its nearby sites of tourist attraction:
Lucknow the capital city of the Uttar Pradesh - one of largest state of the Union of India,
is well connected by Air, Rail and Road. It is located at a distance of 500 kms from
India’s national capital – the New Delhi. Lucknow airport operates direct flights to all
major cities of India, and its train terminal operates several daily trains connecting
whole of India.

Weather in the month of October is quite pleasant (18-25 degree Celsius), but you may
need light woolens in the evening.
Lucknow has several archeological and historical sites within the city, and several
places of religious and tourist attraction in the distance range of 150-300 kms . Sarnath
(in Varanasi), Shravasti and Kushinagar – the sacred Buddha sites are in close vicinity
of Lucknow. The famous ‘Taj Mahal’ is 340 Kms by road on way to Delhi.
Accommodation reservation and cost
Lucknow has a number of hotels available under different budget categories. Delegates
are requested to book their accommodation directly with the hotels. A list of hotels
nearer to conference site is given below. Free pick and drop facility between the listed
hotels to Conference venue would be provided by the organizers.
Accommodation for a limited number of participants, mainly for Indian participants
could be arranged in the Guest House / Hostel at nominal standard cost (contact
conference secretariat).
Delegates are requested to book their accommodation directly with the hotels / or
through the agents of their choice. The contact address of one of the tour operators who
had done some hotel reservations in the recent past for the conferences held at this
institute is as a footnote below the list of the Hotels. This tour operator may be
contacted to obtain possible concessional prices for hotel booking referring to ‚Vetiver
Conference‛. This is only for general guidance and the delegates may have their own
choice.
