Archiving
Probably the most important task is to make sure the program you have worked so hard
on, and its most important components are archived for posterity and future use. Over
the years, what actually gets archived has changed. This procedure will explain what is
kept and why. The archiving will end up in One High Quality Gold Master Audio CD,
stored offsite from NDR, usually with the Post Production Editor, 2 identical Program
Segment Audio Files data disc CDs with various components, filed one with the Post
Production Editor, and one with the program at NDR. The raw original program disc,
along with the completed edit sheet, are shipped back to NDR when the program is
completed.
Data Discs
1. Rename the ‘audio files’ of your Pro Tools program session to 1234 Doe Pgm
Segs
2. Remove any unnecessary files, and assemble only the following:

(Note: I have not been doing it, and have never needed it, but you might want to keep
a copy of your unmixed essay music on the CD.)
The reason these are the only things in the Program Segments discs, is that from this
info, you can recreate any versions you need to. There is not room on the CD to put
everything. Keep AFRN, mp2s and mp3s on your computer until after they have
aired worldwide.
3. Using Toast, burn two data copies of this CD at 8X and label with the Program
Segment Audio Files label.
Audio Archive discs and computer housekeeping
1. Using Jam, make a Gold audio CD at 8X of the program. Include the Billboard,
program segments and music breaks (longest versions), :45 Outro, and the show’s
forward promo.
2. Label the inner hub of the CD (not the recorded portion!) with a fine sharpie.

3. Mark the outer envelope top left corner with the same data, as well as the
interview date, so you can find it easily in your files.
Purging
1. After the programs have aired Worldwide, you can throw the program session
and audio files off the computer. (Note: For safety’s sake, leave the mp2s and
mp3s, plus AFRN files on your computer until after they have aired, then you can
throw them away.)
2. Be sure to check all of your distribution sessions for extra files you no longer
need. They can clog up your drive pretty fast.
*** At one point we stopped using labels because the paper labels are iffy for long term
storage. If this is an issue, you can write with a fine sharpie on the inner part of the CD,
and then write the rest of the info on the CD storage envelope.
