Document preparation is key to success in POC scanning!
If you are scanning documents for multiple patients at the same time
you must keep the documents grouped by patient – keep each
patient’s documents together.
Each document must have the correct document type cover sheet;
the document type cover sheet must have a patient bar code on it.
Within the documents for one patient you must keep any multi-page
documents together.
Each page of a document must have a patient bar code.
All patient barcodes must face up.
Staples, post-it notes, etc should be removed from the documents
before they are scanned.
If you do not follow these guidelines your scanned documents can’t be
processed correctly.
There should be a ready supply of docment type cover sheets available. If not,
they can be accessed on the TGH Portal… http://employee.tgh.org/Pages/Forms.aspx
After the documents have been scanned the originals must be placed in the red
TGH HIM Dept. bag to be delivered to the TGH HIM department.

User places patient barcode labels on items to be scanned
The documents are placed face up on the feeder of the scanner of the multi-function device; a
single page document can be placed face down on the glass.

User selects the Scanner button
User swipes badge or manually logs in, by selecting the Log in button

User selects a function, BW (Black and White) or Color button
User selects a scan mode button
The user can either choose feeder (the tray on top of the device where multiple sheets
of paper can be loaded at the same time) or glass (lift the lid of the device and place the
document directly on the glass)
The documents are scanned
If done, press Escape
Once the documents are scanned they are placed in the OnBase Scan Queue.
HIM staff validates the documents after which they are available in Epic.
