Founded in 1973, the American Association of Diabetes Educators is a multi-
disciplinary professional membership organization dedicated to promoting the
expertise of the diabetes educator, ensuring the delivery of quality diabetes self-
management training to the patient and influencing and contributing to the future
content and direction of the profession
Accounts Payable/Administrative Assistant
Responsible for preparing and processing vouchers for payment, maintaining the
accounts payable records and producing accounts payable reports for AADE and related
organizations. Provide administrative support for the Chief Financial Officer, Controller
and Finance Department staff with ongoing operations.
DUTIES AND RESPONSIBILITIES
Receive and process all incoming vouchers (invoices, check requests and
expense reports.)
Code, batch, and enter all vouchers into the accounting system
Obtain and record required W-9 information for payments to individuals
Distribute vouchers for approval and maintain control of vouchers outstanding
Prepare recurring payments, chapter payments, and ACH batches
Print checks, obtain appropriate signature(s), and distribute checks
Print and maintain A/P reports and vendor files
Analyze vendor files and prepare 1099’s
Assist with annual external audit
Assist with preparation of financial report presentation using Excel and
PowerPoint
Assist CFO with correspondence and files
Maintain the accounting calendar and task lists using Outlook
Maintain contract database
Organize official IRS and business filings, vendor W-9 requests, Chapter IRS
reporting and distribution of audit reports
Make telephone and email contact with Finance Committee, members of the
Board of Directors, vendors, and coworkers as necessary
Provide administrative support for finance department
Assist with production of budget books
Provide information and support for the employee transit benefits program
Provide reception relief on a rotating basis
EXPERIENCE and EDUCATION
Associates Degree in Business Administration
Minimum of 3-5 years experience with accounts payable
Minimum one 1 year of administrative experience
KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of payables, ledger accounts, cost centers, accruals
Knowledge of Solomon Accounting system a plus
Customer Service focused
Proficiency in Word, Excel, Power Point, Databases, iMIS preferred
Strong written and oral communication skills
Detail oriented
Ability to be a team member
Ability to prioritize and multi-task
Understanding of how to navigate and effectively use the internet
