How to Create an Article All the images on the front page and articles listing have a framing border and a drop shadow to help emphasize them. The public have the capability to see a listing of ALL the current articles for the unit by clicking the Articles link. A screenshot is shown below. They can also see unit articles that have been archived by clicking on the Articles Archive link. Each individual article has been reformatted to look like the following screenshot. Image 1. 2. 3. functionality has been drastically improved. Any size image can be uploaded. Only original images under a prescribed size limit will be kept e.g. 2MB Each image uploaded will be converted to six other images to be used by the system. Type Thumbnail Small Large Stacked Slideshow Original Width X Height X32 X95 600X 350X 200X <= 2MB Multiple images that are uploaded can now be displayed in a slideshow and this is the default. A list of the available images will be displayed below the slideshow images in a small table as links to the images. These links will bring up images in the large format and the high definition format. The 5 most recent articles for the unit will be displayed as links, just below the table of image links. Creating an Article The layout of the screens that you see when creating an article is dependent upon whether the unit has enabled a workflow approval process for all unit articles. To bring up the article form, click the Articles link which will take you to the Article Maintenance form, where you need to click the Create Article button. This will take you to the following form, where you should add the title, subject, which is like a byline or sub-heading, select the publication date and choose the category. Then you should check the Display on Home Page and Home Page Abstract boxes if you want to display the article on the unit’s front page and if some of the article wont fit on the front page. Image management for an article has the following capabilities… Ability to have a caption for each image Create a VIRIN number for each image Load any size image Ability to designate which image will be used on the unit’s front page Choose Stacked if you want a large picture i.e. one that fits the width of the column, displayed on the front page As each image is loaded onto the page, it is downloaded to the server and resized as described in the table above. This ensures that the page load time is kept to a minimum for public users. You will need to wait while the the image resizing occurs. You can tell when the image has been resized because you will be taken from the Images tab back to the Details tab above. Once the images have been loaded and processed by the resizing software you should go to the Image Maintenance sub tab. Here you can setup which images should be part of the image slideshow and in what order and the duration. Setting up the order can be done by dragging the images from the Available Images bucket to the Slideshow Images bucket. If you hover over a thumbnail image a larger image will show. Clicking the image will enable you to modify each image’s caption and VIRIN number. Tip: Add a caption to make the image more interesting to the viewer. If one or more of the images shown either in the Available Images or Slideshow Images boxes are larger than a thumbnail size, which is the very small image displayed above in Available Images, then the Image Magick software did NOT complete the resizing of the images. To force Image Magick to resize the pictures, Upload another image and then delete it, if it is not needed. In the end ALL images displayed on the above page should be thumbnail size. To delete an image just drag it to the trash bin. Click the Article tab to be taken to the editor to create your article. You can use much of the word processing functionality available in Microsoft Word. If you created the original article in Word you can also copy and paste it using the Word Paste icon on the editor. If you do that you should take the option of removing the Microsoft styles used for formatting. Click the Workflow tab to be taken to the following screen where you can add a comment. Article Videos Making a video available to the public is a 2 part process: 1. Create a Document and attach the video 2. Create an Article and associate the URL of the video file within the Document to the image in the Article which will be displayed on the front page. Go to the Documents area of the website and create a Document. Load the video as an attachment. Copy the URL to launch the video e.g. http://www.iimefpublic.usmc.mil/Public/InfolineMarines.nsf/0/6C720FBDA4 65BBA8852573D9006456A3/$File/cft_384K_Stream.wmv DO NOT include the server part of the URL i.e http://www.iimefpublic.usmc.mil The URL to launch the video should start with /Public Create an article. Click the Images Tab and make sure that you are on the Images Upload sub tab. Here you need to choose the image that is going to be displayed on the front page from the drop-down list box and then you need to enter the URL of the video into the field with the label: Enter URL to launch when non-slideshow image clicked e.g. /Public/InfolineMarines.nsf/0/6C720FBDA465BBA8852573D9006456A3/$File/cf t_384K_Stream.wmv This functionality will ONLY work if you uncheck the Slideshow Enabled box on the Image Maintenance sub tab! Article Workflow If article workflow has been enabled on the Unit’s form (default), then articles must be approved before they will be displayed on the Public website. Articles can go through the following statuses: Status Draft Pending Approved Rejected Description Only the Author can see and modify the document. Only the unit’s Approvers and Author can see or edit the document. Approvers can approve or reject the article with comments. Available to the public but not assigned to a particular pane on the front page. This needs to be done from the Article Maintenance page. Only the Author can see and modify the document. To get to see the articles in their various states in the workflow cycle, click the Workbasket link. This will display the following screen with the following tabs: Tab Draft Pending Current Description Available if a draft article is still being worked on by the author or an article has been rejected. Available if an article is waiting to be approved. Always available and contains all approved articles. The following screenshot shows a Draft article. Approve an article by going to the Pending tab in the Workbasket and click the article’s to go to article. Once there go to the article’s Workflow tab and Approve or reject the article with an appropriate comment. If the article is Rejected, it will be available to the creator in the Draft tab. Make whatever changes are requested in the comments and then submit the modified article for approval with a comment. Please note that after the article has been approved it will be still in the Unassigned column on the Articles page. If the article is to be displayed on the Unit’s Home Page it will need to be moved to the appropriate Home Page column i.e. Left, Right or Bottom, as described below. It is possible to preview the article by clicking the Preview button. TIP: You must SAVE the article prior to clicking the Preview button so that you can see your current changes. Article Maintenance The Article Maintenance page allows you to delete, archive and hide and show articles to the public. All article maintenance on this page is done by dragging and dropping the article to the appropriate bucket on the page. Example when showing articles to the public, drag the article from the Unassigned bucket to the Left, Right or Bottom buckets. Rearranging articles within a bucket is also done by dragging and dropping the article but this time within the bucket. It is important that you click the Update button to ensure that your changes are applied.
