Site Owners Only-How to Enable Ratings for a Document
Library
Prerequisites
1. You have Site Owner permissions for the site containing the document library. If you do
not, contact the site’s owner to request enabling document rating.
2. You have logged in to harmonieweb.org.
3. The document library already exists.
Steps
Enable Rating on Existing Document Library
1. Navigate to the document library where you wish to enable rating.
2. From the document library menu, click Settings, then click Document Library Settings.
3. Under General Settings, click Advanced Settings.
4. Choose Yes to Allow the management of content types, then click OK.
5. Under Content Types, click Add from existing site content types.
6. Under Available Site Content Types, click Document Rating, then click Add. Click OK.
7. You have just enabled ratable documents in this document library.
Make Document Rating the default content type.
8. Following Step 7, the visible page is now the document library settings page. If you have
navigated away from this page, repeat Steps 1 to 2.
9. Under Content Types, click Change new button order and default content type.
10. Under Position from Top, change the value for Document Rating to 1, then click OK.
11. Document Rating is now the default content type. However, in order to make sure that
all documents uploaded to this library are ratable, it is necessary to change all existing
documents to the Document Rating content type. Then you must remove the other
available content types from this library.
Enable Rating on Existing Documents
12. If you have only a few documents, you can change the content type on each document
one-by-one.
Change content type on individual documents.
a. Navigate to the document library where rating has been enabled.
b. Point to the document, then click the document menu arrow next to the
document name.
c. Click Edit Properties.
d. In the Content Type field, choose Document Rating, then click OK.
13. If there are many documents in the library that need to be changed, it is necessary to
create a datasheet view that allows you to see the Content Type field, enabling you to
change the content type en masse.
Change content type on multiple documents.
a. Navigate to the document library where rating has been enabled.
b. In the document library menu, point to Settings, then Create View.
c. Click Datasheet View.
d. Type a name for the view.
e. Do not make this view a default view, so leave that option unselected.
f. Choose either Personal or Public view as you wish.
g. In the Columns section, check the Display checkbox next to Content Type.
h. In the Sort section, choose Content Type as the first column to sort by. Leave
the rest of the options in the section untouched.
i. Optionally, you can choose to only view documents whose content type is not
Document Rating by doing the following:
i. Choose Show items only when the following is true
ii. Choose Content Type, then choose is not equal to, then type Document
Rating.
j. Click OK.
k. You will see your new datasheet view displaying the content type field for each
document in the library.
l. Point to the Content Type field for the first document that needs to be changed,
then click in the field and choose Document Rating. Do the same for each
document in the library.
Delete non-Rating Content Types
14. Navigate to the document library where rating has been enabled.
15. From the document library menu, click Settings, then click Document Library Settings.
16. Under Content Types, click Document (this is a content type that does not allow rating).
17. Under Settings, click Delete this content type. Click OK to indicate you are sure you
want to delete this content type.
18. You will be returned to the document library settings page.
19. Repeat Steps 16 to 17 for every content type that does not allow rating.
20. Make sure to keep the Document Rating content type.
21. Once these steps are complete, every document that is uploaded to this document
library will be able to be rated.
Show Document Rating Features in the All Documents View
22. In order for users to create and see ratings and comments on documents in the library,
it is necessary to display two additional fields in the default view. Typically, the default
view is the All Documents view.
23. Navigate to the document library where rating has been enabled.
24. From the document library menu, click Settings, then click Document Library Settings.
25. Scroll to the bottom of the page and click on the view that is selected to be the default
view, typically All Documents. The instructions that follow are written as if the All
Documents view is the default view.
26. Click All Documents.
27. In the Columns section, check the Display checkbox next to View Comments, then
28. also in the Columns section, check the Display checkbox next to Vote Results
29. Scroll either to the very bottom or very top of the page and click OK.
30. Users are now able to vote and enter comments on the documents in this library.
