Tender notice for organizing Rajasthan Calling (road shows) in various cities of
India

Details of the work (Rajasthan Calling and Road Show)

Department of Tourism, Government of Rajasthan is planning to organize two days
promotional event ‘Rajasthan Calling’ in various cities of India. The event will include
setting up a mini Rajasthani gallery with provisions for Food court, Craft shops and
cultural performances at a suitable venue which has the potential to attract visitors in
large numbers. In addition a Road show with lunch for about 100 tour operators,
corporate and local media will also need to be organized during the event. The job will be
assigned to the most suitable agency through open tender on turn key basis. This means
that the selected agency will have to make the complete plan with datelines, select the
venue, decorate the venue, arrange the transport and stay of artisans, artistes, cooks and
chef and the officials of the department, issue invites for the road show, press release,
post event coverage etc. However the department will facilitate the agency by providing
the cultural troupe, artisans and cook and chef respectively for cultural performances,
craft bazaar and food court. The department will also try to get some facilitation from the
concerned State Tourism Departments. The event will be organized in following cities;
July Ist half: Ahmedabad, Surat, Vadodara
July 2nd half: Mumbai, Pune
August Ist half : Bangalore, Chennai, Kochi, Goa
August IInd half: Kolkata, Guwahati, Patna, Ranchi, Bhubneshwar
September Ist half: Chandigarh, Ludhiana and Jammu

The cities clubbed together above will be covered at one go with a gap of maximum of
two days between two events. The agency may bid for all the circuits or it may choose
one or more circuits as per its strength. A pre bid clarification meeting has been
scheduled on 16th June, 2010 at 11 am in the chamber of the undersigned to address the
queries, if any, related to tender document.

Terms and conditions:-

1. The annual turn over of the agency should not be less than Rs 1.0 crore
2. The agency must have at least three years of experience in handling travel and
tourism related such events.
3. The bids shall be submitted in two separately sealed envelopes, one having the
creative and technical details as technical bid and the other having the financial
bid for the same. The two envelopes shall be super scribed accordingly.
4. Technical bids will be opened first. Before opening the bids, the firms will be
asked to make audio visual presentations before the designated committee of the
Department of Tourism on the day of opening of the tenders.
5. The financial bids of only those firms will be opened which pre-qualify for the job
in AV presentations. The presentation would be considered as part of technical
process.
6. Selected firm will also have to sign an agreement with Department of Tourism.
7. Demand Draft of 2 % of the estimated cost as earnest money i.e. Rs. 2,38,000/- in
favour of Commissioner, Department of Tourism, Government of Rajasthan has
to be enclosed with the proposals.
8. The name of work should be clearly mentioned on the sealed envelope.
9. Tenders received after the due date and time will not be considered.
Commissioner Tourism, Government of Rajasthan Jaipur reserves the right to
accept or reject any tender or its part without assigning any reasons thereof.
10. For any query or clarification the interested agencies may meet the undersigned or
mail queries at ad.t@rediffmail.com before submitting the tenders.
11. Where ever specific terms and conditioned have not been spelt out in tender
document, General Finance and Accounts Rules of the state government shall
apply.
