TROOP 360 - Planning Process
Outings Forms File
-> The intent of this file is to have one document to plan as much of the outing as possible with minimal re-entry of information.
-> To keep things updated and to avoid confusion, the revision number should be incremented each time the file is changed.
For each outing, the following are required forms:

Permission Slip Mrs. Retych Each Scout Campout - 2 meetings
Scout Checklist Patrol Leaders Each Scout Campout - 2 meetings
Event Evaluation Patrol Leaders Each Scout Campout - 1 meeting
Outing Planning Process: Legend
Purpose: Be prepared for each outing individually and as a Patrol Member.
1.) Time: Campout - 4 meetings -> Scout
At Troop Meeting:
-> Bring completed Event Evaluation -> Patrol Leader
-> Submit receipts from last campout
-> Announce Campout Location and Agenda -> Quartermaster
e.g. Great Meadows Campground - Focus on Orienteering & Estimation Skills
-> Outings Commitment Roster is filled out -> Grubmaster
2.) Time: Campout - 3 meetings
At Troop Meeting: -> Scoutmaster
-> Grubmasters identified
Handouts: -> Mrs. Retych
-> Completed Outing Commitment Roster to Patrol Leaders
-> Cooking worksheets to Grubmasters -> Mr. Retych
To do during the week:
-> Grubmaster completes Cooking Worksheet for each meal including: food, consumables, equipment, & costing
-> Patrol Leaders create Duty Roster and Schedule
-> Mrs. Retych checks to make sure that health forms are still valid
-> Mr. Retych secures tour permit
3.) Time: Campout - 2 meetings
Handouts:
-> Permission Slips
-> Scout Checklists
At Troop Meeting:
-> Scouts work through Scout Checklist, line-by-line, for what they need for the campout,
then present Scout Checklist to Troop and Adults with what they need for the campout
-> Quartermaster works through Patrol Checklist, line-by-line, for what is needed for the campout
-> Grubmaster presents three completed recipes, required equipment, shopping list, and cost per person
-> Patrol Leaders review Attendence Roster, Duty Roster and Schedule with Scoutmaster
-> Patrol Leaders assign tasks to each Scout
To do during the week:
-> Patrol Leaders remind via meeting agendas that money and permission slips are due
-> Scouts fill out Permission Slips and secure money
-> Quartermaster inspects each item in the Patrol Checklist

4.) Time: Campout - 1 meeting
At Troop Meeting:
-> Mrs. Retych collects permission slips and money
-> Each Scout brings personal gear packed with their checklist
-> Scout Checklists are reviewed with Scouts by Patrol Leaders and adults
-> Quartermaster brings (or coordinates to have things brought) patrol gear to the meeting
-> Patrol Checklist is reviewed by adult
-> Grubmaster brings completed Cooking Worksheets for each meal to verify:
- the correct equipment will be brought on outing
- the correct quantity of consumable items is available (e.g. napkins, lighter fluid, propane, etc.).
From this review, the Grubmaster adds any additional items to the shopping list. Then the
Cooking Worksheet is reviewed by adult and Scouts

-> Grubmaster buys supplies and prepares receipts for reimbursement
