Shipments must be submitted for routing 48 hours prior to the Ready to Ship (RTS) date for the order. Note that the RTS date is 48 hours prior to the purchase order cancel date (taking into consideration weekends and holidays). Every effort will be made to route request on purchase orders within 48 hrs of the vendor’s RTS date. Routing authorization emails will be sent within 48 hours of RTS date. All shipments will receive a carrier assignment and authorization number from MTO prior to shipping. This procedural change excludes Fine Jewelry, Direct to Store, Bloomingdale’s Direct, and vendors with affected by an active NOPC. These vendors should continue to follow the normal routing instructions for these categories as specified in the NOPC and/or routing guide. Unauthorized Carrier/Destination
If Macy’s is paying any portion of freight charges, the routing instructions in this guide must be followed and the shipment must be received via MACYSNET. If a carrier and/or destination other than the designated carrier and/or destination is used without prior MTO authorization, the shipment will be considered as "FOB Destination", and: 1. 2. 3. All freight charges will be the responsibility of the vendor. All loss of and /or damage to merchandise will be the responsibility of the vendor. Detention and demurrage costs at any receiving location will be vendor's responsibility.
Bill of Lading Instructions
The Bill of Lading (BOL) is a crucial component in the processing of shipments through the distribution center. The following instructions are intended for the physical handling of freight and should not be used for EDI systems development. For instructions concerning information regarding EDI systems procedures, please refer to the Macy’s “Vendor Standards Manual” available at MACYSNET.com. Specifically: • • • • • • • Macy’s requires that vendors follow the BOL standards published by VICS. You can access the VICS website, www.vics.org, directly or by a link from www.MACYSNET.com. Every BOL must have a unique number. The BOL number transmitted on the EDI 856 must exactly match the BOL number tendered to the carrier for that shipment. It is essential that the shipment information submitted to the carrier exactly match the EDI 856 (ASN). Every purchase order included in a shipment must be clearly and accurately noted in the body of the BOL. The BOL must declare full value (value at cost, not retail). NEVER ship at released value. All LTL and Consolidation shipments shipping on one day from one location to one location for one division must be combined onto one BOL. When shipping to a distribution center that receives for more than one Macy’s division, each division should be identified on a separate BOL for that day. HOWEVER, aggregate weight and cube for an entire day is to be used when determining the proper routing instructions. All cartons and weight ready to ship on one day from your facility to the same distribution center must be used as criteria to determine whether the shipment should be sent via LTL carrier, or Truckload. In the case of Truckload shipments, every truckload must have it’s own unique BOL showing all P.O. numbers, and total carton count and weight. In the event the shipment requires more than one trailer, each trailer’s BOL must reflect the exact contents of that trailer.

EDI Instructions
Provide an EDI 204/211 Motor Carrier BOL document to all freight carriers for all shipments. Freight charges, an administrative fee and/or any expense incurred will be assessed for shipments where a 204/211 is not received or there is any other failure to provide proper documentation. The common data in your Advance Ship Notice (204/211, 856) and the actual shipment must match. Your shipment must be presented intact to the carrier.
Calculating the “Cubic Feet” of a Shipment
Weight and Cubic feet are determining factors MTO uses when choosing the mode of transportation for a particular shipment. . Therefore, it is essential that vendors provide accurate cubic feet information to MTO, whether routing by ground or by air transportation. When a vendor is working with a Macy’s/Bloomingdale’s buyer to supply MTO information for air authorization, the vendor must inform the buyer whenever carton dimensions may affect the shipment volume (i.e., dimensional weight). When indicating cubic feet, vendors must take into consideration the amount of TRAILER SPACE the shipment will require. Example: Calculated solely on carton sizes, the shipment is less than 3,200 cubic feet, but based upon carton handling (i.e. cartons are not stackable) the shipment will fill an entire trailer, the shipment must be reported as 3,200 cubic feet. Cubic feet entered should be based upon actual shipment cubic feet or trailer space – whichever is greater. The method for calculating the cube of a shipment is based upon actual amount of trailer space used and should be done for every carton size. Add up the cube figured for each carton size – this is the total cubic dimension for the shipment. The calculation is as follows: For all cartons of the same size, multiply Carton LENGTH by carton WIDTH by carton HEIGHT by the total NUMBER OF CARTONS of this size. Divide the total by 1728. The resulting number is the shipment CUBE. Example: Carton Size: Length: 25”, Height 21”, Width 25” Calculation: 25 X 21 X 25 X 150 = 1,968,750
Number of cartons of that size: 150 Divide 1,968,750 by 1728 = 1,139 cube
Routing Deviations
All deviations from these standard routing instructions must be individually authorized by MTO prior to shipment. BUYING OFFICES ARE NOT AUTHORIZED TO ISSUE ROUTING INSTRUCTIONS. All routing deviations will be issued an authorization number, which must be noted on the BOL or Airway bill.
Air Shipments:
a) If the VENDOR is paying 100% of the freight cost, an authorization number is not needed to ship. The vendor ships via its own carrier and is responsible for tracing the shipment as well as all charges, loss, damage, etc. related to such shipment. All carriers are required to obtain a DELIVERY APPOINTMENT from the distribution center’s receiving department prior to attempting delivery.
b) If Macy’s is paying any portion of the freight cost, the department buyer must follow the procedures outlined in the published “Air Authorization” procedures. If approval is granted, an authorization number issued with the designated carrier identified. The authorization number must be noted on the airway bill. All shipments are freight collect. Vendor is to declare full value and insure for full value. c) The air carrier must pick up authorized air shipments, and the airway bill dated THE DAY OF “THE READY TO SHIP DATE.”

PREPAID SHIPMENTS/CONTAINERS
All carriers delivering a shipment to any Macy’s distribution center are required to provide an accurate and timely EDI214 (Transportation Carrier Shipment Status) in order to obtain a delivery appointment. If, for any reason, vendor elects to pay freight charges, the carrier selected for that shipment must be able to provide this document. Prior to sending an EDI 214, all carriers must have tested with and been approved by Macy’s EDI department. Please call 513-782-3017 for information on testing and getting approval to send this document. Vendors shipping Prepaid to the Consolidator should follow instructions on page 7. • If the VENDOR is paying 100% of the freight cost, an authorization number is not needed to ship using Roadway or UPS. • Vendors shipping via their own carrier will be responsible for tracing the shipment as well as for all charges, loss, damage, etc. related to the shipment. All carriers are required to obtain a DELIVERY APPOINTMENT from MTO prior to attempting delivery. • If Macy’s is paying any portion of the freight cost, the department buyer must follow the procedures outlined in the published “Air Authorization” procedures. If approval is granted, an authorization number will be issued and carrier designated. The authorization number must be noted on the airway bill. All shipments are freight collect. Vendor is to declare full value and insure for full value. • On prepaid shipments (Vendor pays full freight cost), the shipment must be delivered to our facility on or before the cancel date. • Vendors shipping prepaid, using house carriers or using containers must allow a minimum of 4 hours for a live unload or a minimum of 48 hours to unload a drop trailer/container. Vendors/carriers who fail to meet our distribution center delivery appointments requirements may be subject to rescheduling and the foregoing minimums would also apply to the new appointment date and time. Vendors/carriers must remove empty dropped trailers/containers within 48 hours of being unloaded. Additionally, vendors shipping containers from a port/customs must ensure that the vendor’s agent/broker contacts Macy’s a minimum of 48 hours in advance of the container being ready for delivery and the delivery date must be within the ship/cancel window for the applicable PO(s). Vendors must allow two additional free days to unload trailers/containers. • Any detention or demurrage charges resulting from failure to follow the above will be the sole responsibility of the vendor. Any failure to comply with these or any other requirements may result in the vendor paying freight charges that otherwise may have been paid by Macy’s, vendor being charged administrative fees and/or offsets for expenses incurred. •
Prepaid Freight - Vendor Freight Invoices
All shipments for which a Macy’s division pays part or all of the freight expense must be on freight collect basis only. DO NOT PREPAY AND ADD FREIGHT CHARGES TO THE MERCHANDISE INVOICE. Merchandise invoices that contain freight charges will be paid net of freight. Any freight invoices that have not received prior approval will be returned, unpaid, to the vendor. On shipments where prior permanent approval has been granted to ship prepaid and bill, a separate freight-only invoice must be sent to MTO for approval and payment with the department, purchase order, and merchandise invoice number stated, together with the billing factors (i.e., cartons/weight, number of seats/pieces, miles, etc.) upon which the rates are based. Shipments where temporary approval has been granted to ship prepaid and bill, n authorization number will be issued for one specific shipment. This authorization number must be noted on the vendor's freight invoice. A separate freight-only invoice must be sent to MTO for payment, with the department, purchase order, and merchandise invoice number stated, together with the billing factors (i.e., cartons/weight, number of seats/pieces, miles, etc.) upon which the rates are based.
Vendor Truck or Specialized Distribution Programs
Use of vendor truck or specialized distribution programs is subject to MTO’s prior review and approval. Vendors must have an approval from MTO, in writing, and all shipments should be submitted via MACYSNET. Any programs that are not pre-approved will be considered routing violations and treated accordingly. If you have any such programs, please contact MTO to confirm authorization and terms. Any rate increases or changes in previously approved vendor programs must be submitted to MTO prior to shipping for review and approval. Note: All carriers listed in this guide and any carrier specifically assigned by MTO (i.e., air freight or truckload carrier) will be able to provide this transmission. All prepaid shipments to any Macy’s facility are DRIVER UNLOAD. The facility will not assist with unloading. Prepaid shipments must be delivered to our facility on or before the cancel date.

Direct to Store Shipments:
Merchandise shipping directly to a store must be pre-approved by Macy’s. Authorization to ship direct to store may only be obtained by the Merchant from the applicable division Controller. Please be sure to follow direct to store ASN requirements. Local Puerto Rico vendors, please see page 12.
Pallets
• Overweight Shipments - All merchandise shipped to a Macy’s Distribution center on a Truckload or Contract carrier must be floor loaded and NOT on pallets, unless specifically authorized by MTO, 404-250-7200. • If you have received authorization to ship on pallets, you must consider the AMOUNT OF TRAILER SPACE the shipment will require when calculating cubic feet. (As an example, you must take into consideration the additional space required if pallets are not double stackable.) The correct cube (including additional space required for pallets) must be entered into MACYSNET Shipping. • If the shipment has NOT BEEN APPROVED to ship palletized and is loaded on pallets when the carrier arrives to pick up, any wait time, redelivery, or other accessorial charges billed by the carrier while the shipment is removed from pallets and converted to floor load will be charged back to the vendor. LTL Shipments – Vendors shipping on LTL carriers may palletize shipments. No authorization is needed. Vendors must also consider the WEIGHT OF THE PALLETS when entering shipments into MACYSNET. When shipping on pallets, you must show the pallet weight as a separate line item on your BOL in the “Carrier Information field”. The total weight of the shipment, including pallets, must be entered into MACYSNET Shipping. It is imperative that the shipment information submitted via the MACYSNET web site exactly matches the EDI 856 (ASN). After you submit your shipment request, if you receive routing via a Truckload Carrier (other than Roadway or NRT)– please floor load your shipment and update the weight on your BOL and submit a Shipment Update form.

Exception – Customer Fulfillment Center (Sacramento, Cheshire Direct, West Johnson, Portland and Goodyear - for these facilities only – shipments should be palletized. Any detention at the above facilities due to the shipment not being palletized is a violation of these requirements. If you have received specific approval to ship on pallets, calculate the cube based upon the trailer space including any additional space required because of pallets.
Specialized Commodity Routing

MACYSNET Shipping
• • • • It is no longer necessary to enter carton/GOH, weight, and cube by PO number. Cartons/GOH, Weight, and Cube are required for the total shipment. Every PO in the shipment must be entered. Specialized Routing Requests (SRR) is used to communicate specific information. An SRR should be selected only if it applies to the specific shipment. You may select only one SRR per shipment • Shipment Specifications are available to communicate additional information. Select a shipment specification only if the specification listed applies to that particular shipment. You may select multiple specifications as they apply.
MACYSNET Shipping - Multiple Trailer Requirements
In the event your shipment requires more than one trailer, each shipment must be submitted into MACYSNET Shipping by trailer, with the shipment information reflecting the exact contents of each trailer. Each trailer must have it’s own unique BOL number. (Each trailer is based upon 3,200 cubic feet per trailer, or a maximum of 22 pallets.)

NOTE For detailed information concerning entering shipments on MACYSNET Shipping, please visit the Macy’s Internet website at www.MACYSNET.com, click on “Routing Guide” and then on “Transportation Updates for Vendors”. When your information has been entered into MACYSNET successfully, a SHIPMENT NUMBER will be assigned to the entry. This number should be kept as reference to that particular entry. MACYSNET Shipping will allow entry of shipments into the system no more than 14 days prior to the vendor’s Ready to ship date. MACYSNET Shipping will allow entry of a shipment request with a ready to ship date equal to or greater than the PO start ship date (but not beyond the PO cancel date). You cannot enter a ready to ship date earlier than the PO start ship date.
MACYSNET Shipping – Information Accuracy
The information submitted via MACYSNET Shipping is used in conjunction with the vendor’s EDI 856 (ASN) to generate a delivery appointment at the distribution center. This allows pre-receiving functions to fully maximize the utilization of the vendor’s EDI 856 and automate the unloading and processing of the freight. For this reason, it is imperative that the shipment information submitted via the MACYSNET web site exactly matches the EDI 856 (ASN). Any differences between the information tendered to MTO for routing purposes and that communicated to the receiving facility by electronic transmission may cause a delay in delivery of your goods, delay in processing those goods once they are delivered to the distribution center.
Vendor Ship-from Address
When submitting shipments through MACYSNET Shipping, the pick up address you use for the shipment must be correct. Every possible pick up address must be entered as a unique location. If the truck has to move from one location to another, each location must be identified in the system as a unique address. The pick up information for each stop must be entered to accurately reflect what is to be loaded at each stop.
Add New Address – Modify Address Information – Modify Contact Information
If you need to add an address or change information on an existing address, please use the form provided on the Macy’s Internet website. Sign onto www.MACYSNET.com. Click on “Routing Guide” and then on “Shipping Address Update Form”. Please allow 1-2 business days for your request to be completed. The form will require the following information: • Vendor Number (this is your 12 digit vendor number used during registration) • Company Name • Complete pick up address (street address, city, state, zip code) • Contact Name and phone number • Email address – please note, only ONE email address per location can be used. • Open and closed hours – these are the hours a carrier may come into your facility to pick up. • Special Calendar Considerations – i.e. “closed at 12:00 on Friday”
MACYSNET Shipment Updates
If the BOL number is not available until the goods are picked up, you may enter either “0” or all 1’s. If you enter “0” the system will fill the field with all 1’s. You MUST update the MACYSNET Shipping entry (the SHIPMENT NUMBER) with the correct BOL number. Trailerload Instructions • • • • • All updates must be submitted 24 hours prior to the shipment’s delivery. If changing bill of lading number, please submit via MACYSNET Shipping by selecting “Shipment Change”. Carton, weight and cube updates must be submitted using the Appendix B form found in the Macy’s Routing Guide. Please email the completed Appendix B form to shipmentupdates@macys.com If the shipment information either increases or decreases by 50 cartons, 1500 lbs, or 500 cubes and/or purchase order(s) numbers are added, you must submit a new shipment request via MACYSNET for authorization.

If MACYSNET shipping will not allow you to change or delete certain components mentioned above. The entire shipment must be deleted and reentered with the correct shipping information.

Shipments Authorized to Ship via LTL Carrier
If you have been given authorization (via MACYSNET Shipping) to ship via an LTL carrier: • YOU must contact the LTL carrier’s local terminal to arrange pick up of the goods. • It is NOT necessary to update the shipment BOL number in MACYSNET Shipping • Any shipment submitted through MACYSNET Shipping that has been given authorization to ship via an LTL carrier must be picked up within 48 hours of receiving the email notification. • The authorization number (referred to as “appointment” on the website) issued for the shipment must be noted on the shipment BOL. • Do not add cartons, weight, cube, or purchase order numbers to the shipment. The information on the shipment BOL must match what was submitted via MACYSNET Shipping.
Driver Load, Assist, or Count -- If you require the driver to load, assist or count at your facility, you will be in violation of this
guide.
Puerto Rico - Local Vendors
Local Puerto Rico vendors are responsible for all freight charges for shipments direct to the Puerto Rico store. All shipments are to be made freight prepaid.
