Making the most of Entourage.
Much information about Entourage is to be found on the Net. Probably
the most concise and complete site is the official one at:
http://www.entourage.mvps.org/
Address book
The easiest way to add a contact to your address book is to highlight an
email that has been sent by the contact, then select Add to address
book from the tools menu. You can also add a contact from the
Directory Services lookup (below).
When creating a new mailing list group, it is quicker if the group
member is already part in your address book. Then, as you type,
entourage will auto complete the name. Select the name using the
arrow keys then press tab to confirm and start adding a new group
member.
Backup Your Mail to Your Local Computer
If your college machine is a desktop, then mail in your IMAP account,
your contacts and calendars are stored on the server. There is a limit to
how much mail you can store, however! To stay under this limit email
can be copied to local folders.
To backup mail in your Inbox and other IMAP folders, you need to first
create a corresponding folder on your local machine. In the folder list,
right-click(control key+click) On My Computer, and select New
Subfolder.
- Enter a name for the folder, such as backup messages.
- You should now see the folder that you created under the On My
Computer section. Repeated the previous steps to create as many
local folders as needed.
- Select the IMAP folder that contains the messages that you wish to
back up.
- Select the messages that you wish to back up. To select multiple
messages, you can hold down the apple key and click on the desired
messages. To select all messages in the folder, click on the Edit
menu and click on Select All.
- To copy the messages to your local folder, drag the messages to the
appropriate folder below On My Computer. To move the messages,
click on the Message menu, select Move To, and click on the
appropriate folder.
Directory Services
- Select Directory services from the tools menu.
Enter a full or partial name in the „Search for Name‟ box.
- Click the Find button.
-Click once on a name to see details or double click to send message
to.
- Double click to open a new message window with the selected
recipient.
- Highlight a name and click the Add to Address Book button to add
frequently used contacts to your address book.
-
Directory services from a New Message
When you start typing a name in the To field, Entourage will look in your
address book and received messages and auto complete the name. Use the
arrow key to select a name and press enter to confirm, or tab to confirm and
add another name.
Check names
If the name is not in your list, you can check it against the college
address book by clicking the Check Names’ button. This works much
the same way as directory services, so a search on “nic” returns the
following:
Junk Mail
From the tools menu select Junk Mail…
Check Enable Junk Mail Filter
This will highlight messages that you receive in grey, indicating that they
have been flagged as junk mail. When you view a message that
Entourage thinks is Junk, a button will be present enabling you to train
Entourage to treat the message type and sender as not junk.
Once Entourage is sufficiently trained, you can create a rule to deal with
junk messages.
- Create an offline folder called Junk as above.
- Select Rules from the tools menu.
- Create a new rule under the IMAP tab if you have a desktop or the
POP tab if you are a laptop user.
- Set the rule up as in the screenshot below.
- When choosing folder select the Junk folder that was previously set
up.
