Directors,
Let me be the first to welcome to our first DeKalb High School Winter Guard
Invitational! This has been an exciting adventure for us in planning this event and we
hope it turns out to be one of your favorite events of the season. Anything we can do to
help make that possible, please let us know.
Enclosed, you will find many pages of information that will help make the day go
smoothly. Please take some time to read through it and pass along the necessary
information to your staff, students, and parents. I know it is often easy to gloss over
packets of information like this, but your help in this matter will certainly help us help
you!

at anytime. We will do whatever we can to make the day great for you and your students.

Winter Guard Invitational 2011

Please read all of the following information before you arrive to DeKalb High School
CHECK-IN
• Guard check-in will be located at the Main Entrance (Door #1) to DeKalb High School.
Please follow the maps in this packet and signs outside the building as you arrive. Our
parent and student volunteers will be glad to assist you during the contest day.
Please send a staff representative into DeKalb with your guard to file all necessary paperwork.
• Your guard members will be admitted at no cost up to the 30 allowed by IHSCGA rules.
• You will receive 8 Crew/Helper Passes. Any extra helpers will be required to pay for
admission ($3 for students, $6 for adults). NO ONE WILL BE ADMITTED WITHOUT
A PASS OR A STAMP.
• Please have all necessary IHSCGA paperwork signed and ready to keep the check-in
process moving.
• After all check-in is complete and all participating members have received hand stamps, a
guide will lead you to your homeroom.
PROPS
• All props will be inspected upon unloading. Please refer to your IHSCGA rulebook for
the proper padding of equipment.
• NO STEEL WHEELS WILL BE PERMITTED IN THE BUILDING.
• Doorways to and from the Gym area have 6’8” clearance.
• There will be parents in the prop holding area to help with traffic. Please see them with
specific questions.
• You must reload all props and tarps following your performance. These items will be
taken out the southwest doors of the gym and out door #16. Please have your truck driver
ready at the conclusion of your performance to help make this a smooth transition.
Remember that 8 minutes after the completion of your show another group will be
coming through the same way.
• After props are reloaded the vehicle can be parked on the northwest side of the school, in
the parking lot near our black and red marching band tower.
PROPS UNLOADING/LOADING TIMES
• You will be allowed to unload your equipment approximately 1 hour before your
performance. All props will be unloaded in the loading dock near door #26. There is a
bay to back into to avoid having to lift props and tarps up and over the curb. Parents will
be there to help and direct traffic.
• Immediately after unloading, you will need to take your vehicle around to the south side
of the building until the completion of your groups performance.
• After your performance, all props/tarp will be reloaded outside door #16. Please have
your truck/trailer ready and waiting.
BUS PARKING
• All buses will be parked on the far northwest corners of the parking lot, closest to the
tennis courts.
• After dropping students off at check-in, buses should continue around the south end of
the school which will lead them back to their parking area.
DIRECTOR & STAFF VEHICLE PARKING
• There will be a limited amount of designated staff parking on the east side of the school
facing CR 427. Please be respectful of other groups and consolidate the number of cars
an individual school may park in this area.
SPECTATOR PARKING & ENTRANCE
• Spectators will park in the main lot, located between DeKalb HS and DeKalb MS. There
will designated parking spots for visitors with disabilities.
• All spectators will enter through Door #24. Once in, spectators will have easy access to
the main gym (performance area) as well as our commons (concessions).
• Tickets are $6 per person with children under the age of 5 being free.
HOMEROOMS
• Your homeroom will be available 1 hour before your transit to inspection and will
need to be vacated 1 hour after your performance. We will have the time posted and
inform you of it upon check-in, but please make sure it happens.
• You will be assigned a homeroom when you arrive. Please be respectful of the
homerooms. There will be a picture of what the room should look like when you are
finished. Please make every effort to use this picture to leave the room in better
condition then what you found it in.
• NO FOOD OR DRINK OF ANY KIND WILL BE ALLOWED IN THE
HOMEROOMS. Please respect this rule, as the teachers of these classrooms are
allowing us to use their space.
• DO NOT USE GLITTER, HAIRSPRAY, OR PERFUMES IN THE HOMEROOM.
• DeKalb High School will not be responsible for lost or stolen items. Homerooms will be
locked at all times, but it would be safer to not leave valuables in your homeroom
unattended.
SOUND CHECKS
• Sound checks will be allowed before the competition begins from 1pm-2pm. Sounds
checks will also be available during the mini-breaks at 3:44 and 4:52. You will also be
able to do a sound check immediately before your guard’s performance. The sound
engineer has the final word on when sound checks will be permitted.
• Be sure to notify the sound engineer of any unusually long pauses in your music. This
will help to prevent premature termination of your performance.
• We respect your opinions on volume levels for your show, but the timing judge will have
the final decision. He/she will ask the sound engineers to make adjustments to the
volume for the comfort of the audience.
INSPECTION
• Inspection will be held in room B109. We will have staff on hand to assist with any
taping needed for your equipment.
• See IHSCGA rules for taping/padding requirements.
WARM-UP
• Warm-up will be held in our auxiliary gym. The area will be split into two warm-up
areas by a curtain. There will be a sound system with a CD player and cable to hook up
an MP3 player.
• You will be allowed to play music during the 2nd half of your warm-up time. Timing will
be done according to your class and kept on stopwatches. Timing begins as the first
member crosses the Timing Line inside the door to the gym and ends as the last member
leaves the gym area.
PERFORMANCE AREA
• The Main Gym floor will be used as your performance area. You will enter from the
back left corner (as seen from the Judge’s view) and exit out the back right corner.
• The basketball center court will be the timing line.
• All timing and penalty lines will be clearly marked. If there are any questions on
these boundaries please ask the timing official.
VIDEO POLICY
• We will be recording DVD’s of your performance. They will be $15 and must be paid
for at the Guard Check-In. Cash or checks made out to DeKalb High School will be
accepted. We will give receipts for any DVD’s purchased at our show.
• Anyone from your school may video your guard, but we ask that they DO NOT video
any other performances.
POST PERFORMANCE
• You will have the opportunity to use the small side of our cafeteria for tarp refolding.
There will be helpers to guide you there after your performance. Your tarp must be
folded before rolling any flags to insure that we have room for the next group.
• Please remember that another group will be coming shortly behind you, so please do not
use this area for group wrap-up conversations.
• All props and your tarp will need to be moved immediately to the Prop/Tarp Reloading
area located at Door #16 (see map).
• We will have a video viewing area located in our band room if your group is interested in
utilizing this convenience.
AWARDS
• Awards will be held in the performance gym. There will be one awards ceremony for all
classes at the conclusion of Open Class. All Guard Captains are asked to report to the
guard holding area outside the performance gym and line up in performance order during
Homestead’s performance. Score sheets and recaps will be available in the Directors
Hospitality room at the conclusion of Awards.
HOSPITALITY
• The hospitality room for directors and staff will be located in Room C137 (as shown on
your map). This area is for Directors and Staff that wear the IHSCGA passes.
• You will also be able to pick up your MP3’s and DVD’s in the hospitality room
following your performance.
• The Bus Driver Hospitality will be located in the 1st floor teacher’s lounge (as shown on
map). Drivers will be able to enter with their Drivers Pass they received upon arrival.
CRITIQUE
• Critique will be held according the IHSCGA posted schedule in the Library.
• Any unclaimed MP3’s, DVD’s, and all score sheets will be available in the Library at the
conclusion of the award ceremony.
CONCESSIONS
• We will have a full concession stand available in our cafeteria. Our menu will include
pizza, pulled pork sandwiches, as well as many other snack and drink items.
• REMEMBER: No food or drink will be allowed in the homerooms or hallways. All
food and drink must remain in the Gym or the Cafeteria.
PROGRAMS
• Programs will be available at the Spectator Entrance for $1.
RESTRICTED AREAS
• Spectators WILL NOT be permitted to go to the homeroom areas. This will cause
congestion problems as well as security problems. Please discuss this with those who are
traveling with you to support your group.
• All guard, prop, tarp, and crew support members are required to sit in the stands at the
back of the performance floor to view the competition.
• Any performer or support personnel that wish to sit on the spectator side of the Gym must
pay the $6 entry fee and have the correct hand stamp.
DAY OF THE EVENT
• Indiana weather and traffic can cause many problems. If your guard runs into any
difficulty or is running late, PLEASE call 260-409-3005 (Annie Wing, Contest Director).
Please leave a message and a return number if the call goes to voice mail.
