Enrolment 11/12 FAQs
Updated 7th September 2011
Q: When do students get their UAL email account?
A: The account is created at the offer stage.
Q: When can we import students into Self Service so they can complete Online Enrolment?
A: New students (only those on A401) can be imported from 18th August.
Continuing students (only those on E302 or E303) can be imported from 30th August
Q: Is there a limit to how many students can be imported into Self Service at any one time?
A: No, but if you select a large number of students and one of them has a significant error in their
record such as a blank name field, this will mean the entire batch doesn’t get imported, so it may be
better to import in smaller batches.
Q: Can the ‘Send Email’ button on the Import Users screen of QL-x be selected by default?
A: Unfortunately not. It is important that you use this button so that students receive the email
inviting them to use Self Service. If you think you have imported any students without ticking this
button, contact studentselfservice@arts.ac.uk for further advice.
Q: Can debtors enrol online?
A: Yes. There is nothing to stop a student with outstanding liabilities from enrolling online. However
their online enrolment is only provisional, and as in previous years they should not be fully enrolled
until debts have been cleared.
Q: What should students with a UAL foundation diploma put as their Highest Qualification in Online
Enrolment ?
A: They should choose the Diploma at level 3 option. Students requiring examples to help with their
highest qualification should look at the list on
http://www.arts.ac.uk/student/enrolment/highestqualificationhelp/
Q: Does EMA (Educational Maintenance Allowance) still exist for 11/12?
A: Yes, but only for those students who were in receipt of the maximum amount of £30 last year.
The EMA agreement form needs to be completed and signed for these students.
Q: Do we need to look at visas for continuing students?
A: Yes, particularly those to whom a CAS number has recently been issued.
Q: Can we accept EU Id cards as proof of identity?
A: Yes, but only for Home/EU students. Non EU nationals must provide a passport as proof of ID.
Q: Do we need to take a copy of the student’s passport/Birth Certificate?
A: Yes.
Q: Are we still issuing endslips and where will we get them?
A: Yes, endslips are still to be issued. Although students are enrolling via Self Service, Academic
Registry will be providing pre-printed enrolment forms for all courses as a contingency. These can be
used for issuing endslips.
