Coaching Tips: Ministry Fair and
Missions Fair Tools
Summary:
Tools to create and promote the Ministry Fair and
Missions Fair, which connects willing volunteers
with church ministries and outreaches in a job fair
setting. These tools use the themes, “Get in the
Game!” and “Beyond the Border,” but your church
may adapt these materials to any theme you choose.
Read all documents carefully to customize all
theme-oriented jargon or generic church
references.
NOTE: To help your planning efforts we have included a sub-burn of this section from the
resource CD on a separate Special Events CD for the campaign director to distribute your
event’s champion. It also contains the files the Kick Off and Celebration Sunday.
Saddleback’s Ministry Fair and Missions Fair Examples:
The Campaign Resource CD contains examples of the actual Ministry Fair and Missions
Fair tools that were produced during Saddleback Church’s own 40 Days of Purpose
campaign. These tools are included to let you see how our church implemented the ideas.
We have had many requests to see the contents of the booklets that Pastor Rick held up
during his sermons in Weeks 5 and 6, so a sample of each one is enclosed for your
information.
Word files, .pdf files, and professional graphics files:
There are several types of files provided for the Communications Team to assist you in
producing the various documents and communications devices for the campaign. These
files fall into three major categories:
1. Word Documents: All of the Word files on the Campaign Resource CD may be
accessed, modified, and reproduced for your church. Note about Fonts: In order
to preserve the layouts and create universal documents that could be read by most
types of computers, all of the Word documents on the Campaign Resource CD
use only Arial or Times Roman fonts. So, please have fun and change the fonts to
reflect the look you desire.
2. Professional Graphics Files: Communicate your campaign specifics to your
congregation with the professional graphics files included on your resource CD.

These files can be modified, printed and reproduced to your specifications. These
files can only be opened by the software program indicated on the Campaign
Resource CD menu, or the Tools List found in the Overview folder.
3. .pdf Files: The .pdf files on this CD are used to show you what the final file will
look like. It is not intended to be reproduced. You will not be able to modify the
.pdfs instead refer to the professional graphics files. If we have only provided a
.pdf and not actual professional graphics files, that is because due to copyright
laws, we cannot supply you with any other formats of these designs, such as
.jpg or Quark files. The .pdfs are only offered as a guide for you to follow in
creating your own pieces.
Coaching Tips:
We have provided tools to promote and plan the Ministry Fair and Missions Fair. You
may choose the tools that apply to your church and work in your scenario and change or
eliminate tools that are not suitable or necessary.
Ministry Fair and Missions Fair Promotional Tools: This CD contains tools to
promote your Ministry Fair, including pulpit announcements, bulletin announcements,
email and posters.
Booth Guidelines: This half-page handout may be given to ministries that you invite to
participate in each fair, to give them ideas as to how to prepare.
Ministry and Missions Fair Brochures: This tri-fold brochure has two options for the
outside of the brochure, to handle the following scenarios:
If you choose to print the two-part NCR Ministry Fair Commitment Cards, you
would choose the version of the brochure that has space for a map of your fair.
The NCR forms would be used in the manner prescribed in the Training Manual
(see pages 40-41 of the Training Manual).
If you decide not to use the two-part NCR commitment cards, you would choose
the version of the brochure that incorporates the commitment card onto the back
panel. In this scenario, people would tear off the form and hand it in. Extra copies
of the brochure would be at each booth if people wish to sign up for more than
one ministry. Each response form would then be photocopied in order to give a
copy to the church office and keep the original with the ministry.
NOTE: There is only a Ministry Fair version of the inside of the brochure. Adapt
the contents for use in the Missions Fair brochure.
Ministry and Missions Fair Commitment Cards: There are two options for each fair
for the response cards that participants give to the ministries to indicate their interest:
For the Ministry Fair use the “Commitment Card – SHAPE Version” The SHAPE
Version collects data about the person’s time, talent, and experience so that the

ministry leader can slot the volunteer in to the type of opportunity they are best
suited for. There is a .pdf and a Word version of the commitment card
For the Missions Fair, choose either the “Interest Card” as a Word version or the
“Interest Card (Example .pdf).”
Ministry Fair and Missions Fair Handouts: Each ministry in the fair needs to prepare a
handout to give to interested volunteers to explain the ministry and invite people to an
orientation meeting. This CD contains a template for these handouts on the main fair
menu, as well as samples and examples of handouts for reference purposes.
Ministry Fair and Missions Fair Follow-Up Letters: The most crucial element to
having a successful fair is the follow-up. Sample follow-up letters for each fair are
included on the main fair menu.
