We bring together 13 bands, camping, RV parking, silent auction, marketplace, VIP area and Kid’s Zone all spread
out in the beautiful natural desert surroundings at the WestWorld Polo Grounds (16601 N. Pima Road, Scottsdale,
AZ.) The event takes place over two days, both Friday and Saturday, April 24th & 25th 2009. Gates open at 12
Noon on Friday; music starts at 1:30pm. Gates open at 10AM on Saturday, music starts at 11AM. All of the profits
benefit Golden Gate Community Center and Phoenix Day Family and Child Learning Center.

The music isn’t the only thing that attracts thousands of people to the Festival each year, the McDowell Mountain
Music Festival Marketplace featuring specialty art, handmade crafts, one of a kind jewelry and more. Spaces are
filled on a first come, first serve basis…don’t delay and register for a booth right now! Dig out that lawn chair, sit
back and enjoy the company of your neighbors while selling your fine crafts and jamming out to some nice tunes.
Best of all – 100% of the proceeds go directly back into the community!

Application Procedure
To apply, please complete and return the following, postmarked on or before the above stated deadlines:

        Complete and sign application
        Submit money order made payable to McDowell Mountain Music Festival
        Attach certificate of insurance (please note details inside)
        Be sure to make a copy of this application for your records

General Booth Information
Booth space is limited to a 10' X 10' square area, including all wires, stakes, poles etc. As vendors are
placed in a line, each vendor is given ten feet of space that opens to the crowd.

If the vendor requires additional space ADVANCE arrangements must be made and the vendor will be
charged accordingly. Vendors are responsible for constructing, furnishing, lighting, maintaining and
removing booth materials, leftovers and trash (please reuse, reduce & recycle!!).
The vendor must have:
           A clean, professional, maintained appearance
           A professional looking sign
           Quality merchandise.
           Courteous, friendly, music loving personality
The appearance of your booth is critical to the overall atmosphere of the festival experience.
We highly encourage imaginative booth designs, flags, banners, etc. and expect cleanliness
and a safe, well-maintained area for all Festival-goers.

Booth Fees
$280 – 10 x 10 Crafters & Artisans (Handmade goods only)
$360 – 10 x 10 Suppliers and Merchants (Resellers & Retailers)

Money orders made payable to McDowell Mountain Music Festival must be received no later than Friday,
March 27th, 2009. Credit cards will not be accepted.

Booth fees include:
           Use of a 10’ X 10’ space
           (1) 110 volt amp power outlet
           (4) 2-day passes. If single day tickets are needed instead, please let us know before
              March 27th, 2009.
           One vehicle pass for admittance onto the festival grounds and Marketplace parking. Each
              booth is allowed to bring in one vehicle to assist in set-up. Once complete the vendor must
              park their car in the Marketplace parking area. Vehicles must be removed from the field no
              later than 11am on April 24th, 2009.
Vendors are responsible for bringing all equipment including canopy, tables, chairs, lights, etc. Additional
equipment & electrical services are available for rent as outlined in this application.

Booth Selection
We are interested in incorporating the actual artisans/crafts people (i.e. products that are created by the
artist in the booth) and items being resold by a merchant into the lineup.

Although this is not an official juried show, McDowell Mountain Music Festival reserves the right to select
vendors at its own discretion. Submission of this application does not guarantee your participation.
Non-accepted applicants will receive a full refund prior to event.

Product List
A complete list of items you will be selling with pricing must be submitted to Heather Rogers with the
Vendor’s application. You must sell only those items listed. Any substitutions must be submitted to Heather
Rogers for approval. NO PIPES, TOBACCO SMOKING ITEMS, ETC. may be sold at the Festival.

Booth Placement
Space is available on a first come / first serve basis. Vendors with special requests for placements will be
considered in order by which they signed up. The placement of your booth is NOT up for discussion after
April 15 th, 2009. There will be absolutely no rearranging during set-up.

Enclosed is a map of the layout of the festival in relationship to the Marketplace.

Each booth will be supplied with one 110 volt outlet. Please bring extension cords and power strips
accordingly. Any additional power needs must be specifically set forth in the application. You will need to
furnish your own interior and exterior lighting.

Pets are not allowed on the Festival Grounds.

Setup & Breakdown
Space locations, setup times and parking information will be included in your acceptance packets, which will
be mailed on April 8th, 2009. You must setup and breakdown your own booth. Setup must be completed
by 11AM on Friday, April 24 th. You must provide all items needed for your booth (including canopy, lights,
tables, chairs, signage, etc. unless rented from the Event). A City Official or Event Staff Member may
provide additional instruction to you. You must use only your allotted space. You may not sublet your
space. Event Staff will inform you of the breakdown time after the event is over on Saturday, April 25th. This
usually occurs after 11PM. No vehicles will be allowed onto the event site for breakdown until clearance is
given by the City of Scottsdale. A site coordinator from the event will be on–site to assist you in locating
your booth space as well as addressing any special needs that you may have throughout the event.

There will be security present in the Marketplace Thursday night until Sunday morning.

Insurance and Indemnification
You must provide a certificate of Commercial General Liability Insurance to the McDowell Mountain Music
Festival with minimum limits of:
         $1,000,000        Products/Completed Operations Aggregate
         $1,000,000        General Aggregate
         $1,000,000        Any One Occurrence
         $1,000,000        Any One Person or Organization

The following entities must be included as an additional insured:
McDowell Mountain Music Festival, LLC, City of Scottsdale and Heather Rogers
You agree to hold harmless, defend and indemnify McDowell Mountain Music Festival, LLC, City of
Scottsdale and Heather Rogers, their agents and employees for losses, damages, judgments or expenses
on account of bodily injury, death, or property damage, of any nature whatsoever and by whomsoever made,
arising out of your activities associated with your participation in the McDowell Mountain Music Festival.

Fire & Safety
You must obey all fire codes, laws, ordinances and regulations pertaining to health, fire prevention and
public safety. You must not nail, staple or otherwise affix anything to walls, the ground or any part of the
exhibit area.

Food & Alcoholic Beverages
NO outside food or alcoholic beverages are allowed on Festival grounds. Food & alcohol vendors are
available onsite for any purchases necessary.

Permits & Taxes
You must acquire your own City of Scottsdale sales tax permit and pay City of Scottsdale sales tax. You are
responsible to obtain any other business licenses or permits, which may be required. You are also required
to pay all necessary fees, state and other taxes.

Waste & Clean up
You must have all equipment packed and moved by the designated time to allow for cleaning crews. Place
all water in sealed plastic bags. A fair replacement cost will be assessed to all missing rental items. Any
damage to rental equipment will also be assessed a fee.

Equipment Rental
List all equipment that you wish to reserve for the event on the following page. All equipment changes must
be finalized by March 28, 2008. The equipment fee includes all taxes and delivery charges. McDowell
Mountain Music Festival is not responsible for lost items.

Parking & Entry Information
Parking location will be mailed with your confirmation letter. One parking pass will also be mailed. You are
responsible for lost or stolen passes. Parking is limited and available on a first come first serve basis.
Additional vendor passes may be purchased for $40 per person but no additional parking passes will be
granted due to the limited parking area.

Cancellations & Refunds available 30 days prior to event.
If you cancel less than 30 days before the event, you money will be forfeited.

No refunds will be given due to inclement weather or any other uncontrollable Act of God, including rain, dust
storms, etc.
