About This Manual


The Small Business Center Reporting System User Guide provides the general informa-
tion and the specific instructions you'll need to use the Small Business Center Reporting
System. This guide introduces the basic features of the application and describes each
menu option in detail.

Organization

The Small Business Center Reporting System User Guide consists of ten chapters.
Chapter one is an introductory chapter while chapters two through ten correspond to
menu items from the Small Business Center Master Menu. The chapters are briefly
described below:

        • Chapter 1 discusses the Small Business Center module--its purpose,
           organization and design. This chapter also itemizes the functions of
           each of the menu items on the Small Business Center Master Menu.

        • Chapter 2 explains the Support Files Maintenance Option.

        • Chapter 3 explains the Client Assistance Maintenance Option.

        • Chapter 4 explains the Seminar Evaluation Maintenance Option.

Small Business Center User Guide

      Every year, each college's Small Business Center is required to submit annual reports to the North
      Carolina Community College System (NCCCS). The reports provide NCCCS with information about
      the types of seminars offered, demographic data about clients and the overall success of the seminars
      and workshops.

      To make the yearly reporting process easier, the Information Services staff at NCCCS developed the
      Small Business Center Reporting System module. The module allows Small Business Center users to
      collect client and seminar data. The data is then extracted and reported to NCCCS.

      An extensive knowledge of data processing is not necessary to use the Small Business Center Reporting
      System. The module is a standard IIPS application written in INFOBASIC. Similar processes are
      grouped together under descriptive menu headings and all options are entered and exited in the same
      manner. Some of the field entries have help text, which appear when a user enters a question mark at a
      field entry.

      Accessing the Small Business Center Reporting System

      To access the Small Business Center Reporting System, get to the INFORMATION prompt (the colon
      prompt). At the colon, enter the following:

              :LOGTO CC.SB

      The Small Business Center Master Menu

      The Small Business Center Master Menu is the main menu and serves as a gateway to all processes.
      The Master Menu is shown below.

      To select a menu item, enter that option number at the "Which would you like?" prompt. The menu items
      are described beginning on the next page.

1) Support File Maintenance. To create or edit various support files for the Small Business Center
Reporting System. Through this menu option, you can choose to maintain progress type codes, busi-
ness type codes, business status codes, state source information codes, local source information codes,
counseling codes, referral codes, ownership type codes and seminar codes.

2) Client Assistance Maintenance. To add new clients to the Small Business Center Reporting
System or edit existing ones.

3) Seminar Evaluation Maintenance. To evaluate seminars and programs offered by Small Busi-
ness Centers.

4) Client Survey Maintenance File. To collect demographic data about Small Business Center
clients.

5) Referral Followup. To produce a referral report for a specified time period in order to compile the
attendance records of Small Business Center clients.

6) Progress Followup. To produce a report that collects progress information on current clients for
annual state reporting for a specified data range.

7) SBC Annual Reports. To print various annual reports, including the SBC Annual Report, SBC/
SBTDC State Report and SBC/SBTDC State Report For A Contract (unavailable in this release).

8) Standard Reports. To print standard reports, including mailing labels for students enrolled in
Small Business Center classes, labels for students based on counseling data, listing of all contracts
(classes) offered during a specified time period and listing of all contracts (classes) that generate FTE.

9) Addendum Notes. To view or print Addendum Notes on releases.

10) MEMO Connection. To access PRIME's e-mail message application, MEMO Connection.
Through this option you can look at messages, enter messages, display message statistics, list users and
print messages.

      Overview

      The Support Files Maintenance Option is the first menu item on the Small Business Center Master
      Menu. Selecting this option will take you to a submenu, where you can choose to:

              • maintain progress type codes
              • maintain business type codes
              • maintain business status codes
              • maintain state source information codes
              • maintain local source information codes
              • maintain Small Business Center counseling codes
              • maintain state Small Business Center referral codes
              • maintain local Small Business Center referral codes
              • maintain ownership type codes
              • maintain Small Business Center seminar codes

Business Center clients.

Small Business Center clients.

status of Small Business Center clients.

4) State Source Information Code Maintenance. To maintain the codes that describe how Small
Business Center clients learned about the services offered by your college's Small Business Center.

5) Local Source Information Code Maintenance. To maintain the codes that describe specific
local sources of information about your college's Small Business Center.

6) SBC Counseling Code Maintenance. To maintain the codes that describe the type of assistance

from your college's Small Business Center to other state agencies.

Small Business Center client reports to your college's Small Business Center.

      progress of Small Business Center clients as reported in field number 21, Progress, on the SBC Client
      Assistance Maintenance Screen (page 3-3). Execute this option as needed (usually annually) to update
      progress codes.

      When you access this screen, you are prompted to "Enter the Progress Type Code or <CR> to Exit?".
      Enter the Progress Type Code you want to create or update or press the [RETURN] key to exit this
      process. Codes can be up to two alphanumeric characters. If you enter an existing code from the
      PROGRESS.TYPE file, all other information for that code will display. This is a required field.

      Currently, the valid codes are:

              E1      Discontinued Exploring
              E2      From Exploring to Plan Development
              E3      From Exploring to Plan Completion
              E4      From Exploring to In-operation
              NO      No Response/No Known Progress
              O1      Declining/Went out of Business
              O2      Improving Operations
              S1      Quit Planning
              S2      Progressed in Plan/Didn't Start Business
              S3      Opened a Business

If you enter a new code (not already in the PROGRESS.TYPE file), you will receive the prompt, "Enter
Progress Type Description?" Enter the text description that describes the Progress Type Code. If you
need to modify the description of an existing code, enter '1' to move to the Progress Type Descrip-
tion field. This is a required field.

After you enter a description in the Progress Type Description field and press the [RETURN] key,
the "Enter Save(S), Cancel(XX), Delete(DE), Or Field # To Change" prompt displays. If you want to
save the entries you made, enter 'S'. If you do not want to save the entries you made, enter 'XX' to
cancel. If you want to delete the progress type code you accessed, enter 'DE'. If you want to change a

      Business, on the Seminar Evaluation Maintenance Screen (page 4-3) and in field 2, Type of Busi-
      ness, on the Client Survey Maintenance Screen (page 5-3). Execute this option as needed to update
      business type codes.

      When you access this screen, you are prompted to "Enter the Business Type Code or <CR> to Exit?".

      initial business status of Small Business Center clients as reported in field number 15, Business
      Status, on the SBC Client Assistance Maintenance Screen (page 3-3). Enter a code only once for
      each client. This code is also used in field 5, Business Status, on the Seminar Evaluation Maintenance
      Screen (page 4-3) and in field 3, Business Status, on the Client Survey Maintenance Screen (page 5-
      3).

      When you access this screen, you are prompted to "Enter Business Status Code or <CR> to Exit?".
      Enter the Business Status Code you want to create or update or press the [RETURN] key to exit this
      process. Codes can be up to four alphanumeric characters. If you enter an existing code from the
      BUS.STATUS file, all other information for that code will display. This is a required field.

      Currently, the valid codes are:


              CLOS    Closing
              EXPA    Expansion
              EXPL    Exploring Options
              OPER    Operating
              STAR    Startup

      If you enter a new code (not already in the BUS.STATUS file), you will receive the prompt, "ENTER
      Business Status Description?" Enter the text description that describes the Business Status Code. If
      you need to modify the description of an existing code, enter '1' to move to the Business Status
      Description field. This is a required field.

2. Progress Codes. Enter the progress code(s) associated with the business status code you are
entering or accessing. Enter all applicable progress codes in this multi-value field. At least one entry is
required in this field.

After you have entered all applicable Progress Codes, enter '/' and press the [RETURN] key to exit
the field. The prompt, "Enter Save(S), Cancel(XX), Delete(DE), Or Field # To Change" will display. If
you want to save the entries you made, enter 'S'. If you do not want to save the entries you made, enter

       needed to update source information codes.

       When you access this screen, you are prompted to "Enter State Source Information Code or <CR> to
       Exit?". Enter the State Source Information code you want to create or update or press the [RE-
       TURN] key to exit this process. Codes can be up to four alphanumeric characters. If you enter an
       existing code from the SOURCE.INFO file, all other information for that code will display. This is a
       required field.

       Currently, the valid codes are:

               BR      Brochure
               CC      Chamber of Commerce
               FI      Financial Institution
               FR      Friend/Word of Mouth

       The Local Source Information Code Maintenance Screen allows you to maintain the codes that de-
       scribe specific local sources of information about your college's Small Business Center. This file is built
       locally at your college and used in field 14, Source of Info, on the SBC Client Assistance Maintenance
       Screen (page 3-3) and in field 11, How did you learn about seminar, on the Seminar Evaluations
       Maintenance Screen (page 4-3).

       An initial set of state codes has been provided (see the codes listed underneath the State Source
       Information Code field on page 2-10). Each local code that you provide must have an associated state
       code in field 2. Execute this option as needed to update codes.

       When you access this screen, you are prompted to "Enter Local Source Information Code or <CR> to
       Exit?". Enter the local source information code you want to create or update or press the [RETURN]
       key to exit this process. Codes can be up to four alphanumeric characters. If you enter an existing
       code, all other information for that code will display.

       If you enter a new code, you will receive the prompt, "Enter Local Source Information Description?"
       Enter the text description that describes the Local Source Information Code. If you need to modify the
       description of an existing code, enter '1' to move to the Local Source Information Description field.
       This is a required field.

prompt, "Enter State Source Information Code?" Enter the state source information Code that is
associated with the specified local information source code.

After you enter the state source information code that is associated with the specified local source
information code and press the [RETURN] key, the "Enter Save(S), Cancel(XX), Delete(DE), Or Field
# To Change" prompt displays. If you want to save the entries you made, enter 'S'. If you do not want

       The SBC Counseling Code Maintenance Screen allows you to maintain the codes that describe the type

The SBC Client Assistance Maintenance Screen allows you to add a new Small Business Center client
to your system. You can also use this option to edit and make changes to existing clients. This screen
uses the CLIENT.ASSISTANCE file.

When you access this screen, you are prompted to "Enter Client SSN, Name (Last or Last, First
Middle), or <CR> to exit?". At this point, if you want to enter a new client or access an existing one,
you can either enter the client's social security number, name (last name for a name lookup or last name,
first name and middle for a direct match). If you do not want to use this option, press the [RETURN]
key to exit.




                                                                                                                     Client Assistance Maintenance
The fields are described below:

1. Client ID. If you are entering a new record, enter the client's identification number. This is a nine-
    digit number, most often the client's social security or tax id number. If you are accessing an existing
    record, all other fields will display when you enter a valid client ID from the
    CLIENT.ASSISTANCE file. This is a required field.

1. Last Name. The last name of the client. Maximum field length is 15 characters. This is a required
    field.

2. First Name. The first name of the client. Maximum field length is 15 characters. This is a required
    field.

3. Middle Name. The middle name of the client. Maximum field length is 15 characters. This is an
   optional field. To skip, press the [RETURN] key.

      4. Referral from SBC/SBTDC. If the client is a referral from other another Small Business Center or
          Small Business Technical Development Center, enter 'Y'. Otherwise, enter 'N'. A required field.

      5. Business Phone. Enter the client's business phone. This is a ten digit field so include the area code.
          Key in without the hyphens or parenthesis. An optional field.

      6. Position/Title. Enter the client's title or position. Maximum field length is 30 characters. An
          optional field.

      7. Name of Company. Enter the name of the company. Maximum field length is 30 characters. An
          optional field.

      8. County. Enter the two-digit county code where the business is located. If you do not know the
          county codes, enter '?' to choose from a listing of valid codes. An optional field.

      9. Address. Enter the address of the company. Maximum field length is 30 characters. An optional
          field.

      10. City. Enter the city where the company is located. Maximum field length is 20 characters. An
          optional field.

      11. State. Enter the state where the company is located or enter '?' to choose from a listing of valid
          state codes. Maximum field length is two characters. An optional field.

      12. Zip. Enter the zip code. A five-digit, optional field.

      13. Business Type. Enter the client's type of business (retail, manufacturing, etc.) or enter '?' to
          choose from a list of valid codes from the BUS.TYPES file. A required field.

      14. Source of Info. Enter the source that informed the client about the Small Business Center's ser-
          vices or enter '?' to choose from a list of valid source codes from the SOURCE.INFO file. A
          required field.

      15. Business Status. Enter the initial business status of the client or enter '?' to choose from a list of
          valid source codes from the BUS.STATUS file. A required field.

      16. Number of Employees. Enter the client's number of current or expected employees. A required
          field.

      17. Type of Ownership. Enter the type of ownership of the client's business or enter '?' to choose
          from a listing of valid ownership codes from the OWNERSHIP.TYPE file. A required field.

      18. Gender. Enter 'M' for male or 'F' for female. A required field.

      19. Handicapped/Disabled. Enter 'Y' if the client is handicapped or disabled. Otherwise, enter 'N'.
          A required field.

When you access this page, you are prompted to enter client referrals. You can choose to enter client
referrals or you can enter '/' to exit from the referrals data-entry mode and go to the Counseling data-
entry mode. If you want to exit from this page without keying information, enter '/' at the counseling
data-entry prompt to advance to the command line prompt, then exit.

The fields are described below.

22. Referrals. If you referred a client to another state agency, enter the code for that agency. If you
    do not know the code, enter '?' to view a listing of valid referral codes. You must make an entry or
    enter '/' to move to the Counseling field.

          adds a decimal point and two digits to the right. It would display as 40.00.

The Seminar Evaluation Maintenance Screen is basically an electronic evaluation form that allows you to
evaluate seminars and programs offered by Small Business Centers. The data collected on this screen
includes demographic data about seminar participants as well as performance evaluations of seminar
presenters. The data you enter on this screen is placed in the SEMINAR.EVAL file.

When you access this screen, you are prompted to enter the contract number. At this point, you can
enter a new contract number or if you do not want to use this option, enter 'XX' and press the [RE-
TURN] key to exit.

The fields are described below:

1. Contract. Enter the Continuing Education contract number of the seminar or class that you want to
    access. This is a seven-digit number. The contract number must be a valid contract from the
    CE.CONTRACT file. A required field.

2. Seminar type. Enter the type of seminar (behavioral, communications, etc.) or enter '?' to choose
    from a listing of valid seminar type codes. Maximum field length is four characters. A required field.

3. Evaluation number. Enter the evaluation number of the class or enter 'N' to accept the next
    available evaluation number as assigned by the system. The maximum field length is three digits. A
    required field.

4. Type of business. Enter the client's type of business (retail, manufacturing, etc.) or enter '?' to
    choose from a list of valid codes from the BUS.TYPES file. An optional field.

      The third page of the Seminar Evaluation Maintenance Screen allows you to give your comments about
      the seminar. This screen is comprised of text fields that allow you to key in free form comments, rather

      As the prompt for each field displays, there will be a number beside that prompt (i.e., What did you

The Client Survey Maintenance Screen allows you to collect demographic data about Small Business
Center clients. The data collected on this screen is stored in the CENTER.EVALUATION file and is used
on various reports. All fields on this screen are optional.

When you access this screen, you are prompted to "Enter Record ID, 'N' for next ID or <CR> to Exit
Program?". At this point, if you want to access an existing record, key in the record id. If you want to
enter a new record and want the system to automatically assign the next available number, enter 'N'. If
you do not want to use this option, press the [RETURN] key to exit.

The fields are described below.

1. Client ID. If you are entering a new record, enter the client's identification number, (most often the
    client's social security or tax id number). Client id should not exceed 10 characters. A required
    field.

1. Survey Year. Enter the four-digit year for which the survey is being completed .

2. Type of Business. Enter the client's type of business (retail, manufacturing, etc.) or enter '?' to
    choose from a list of valid codes from the BUS.TYPES file. A required field.

3. Business Status. Enter the initial business status of the client or enter '?' to choose from a list of
    valid source codes from the BUS.STATUS file. A required field.

4. Ethnic Origin. Enter the client's ethnic origin or enter '?' to choose from a listing of valid codes
    from the ETHNIC file. A required field.

      5. Handicapped. Enter 'Y' if the client is handicapped or disabled. Otherwise, press <CR> to accept
         the default value of 'N'.

          Enter '?' to display valid options.

      8. Seminars/Workshops. Enter how the client rates the seminars and workshops provided by the
          Small Business Center. Enter '?' to display valid options.

      13. Increase Gross Sales. Enter the percentage of increase in gross sales at the client's business since
          using Small Business Center services. Enter '1' for 1-9%, '10' for 10-19%, '20' for 20-50%, or 'M'
          for More.

      14. Increase Profit. Enter the percentage of increase in profit at the client's business since using Small
          Business Center services. Enter '1' for 1-9%, '10' for 10-19%, '20' for 20-50%, or 'M' for More.

      15. Assistance Results. Enter the results that occurred at the client's business after receiving assis-
          tance from the Small Business Center. Valid responses are 'SU' for start-up, 'ST' for stablized, 'EX'
          for expanded, 'PO' for postponed or 'OT' for other.


      After you advance past the Assistance Results field, the "Enter Save(S), Cancel(XX), Delete(DE),
      Or Field # To Change" prompt displays. At this point, you can enter 'S' to save your entries, enter 'XX'
      to cancel and clear the screen (doesn't save your entries), enter 'DE' to delete the record or enter the

for the date is MM/DD/YY where 'MM' is the two-digit month, 'DD' is the two-digit day and 'YY' is

Next, enter the ending date for the report. The format for the date is MM/DD/YY where 'MM' is the
two-digit month, 'DD' is the two-digit day and 'YY' is the two-digit year. The system then selects all

      When you access this screen, the "Enter PARTS to print.." prompt displays. At this point, you can

      There are three evaluation reports--Part A, Part B and Part C. Each report can be subdivided as local
      or state and detail or summary. The three reports are listed below:

           • Part A: SBC Seminar Evaluation Report - This section of the report lists information collected
             through option three, Seminar Evaluation Maintenance. It lists type of business, business status,
             employment status, ethnic origin, handicapped or disabled, gender, business location, source of
             information, type of seminar and seminar evaluation rankings.

             Note: Part A is the only section that accepts contract numbers. You can use either contract
             numbers or beginning and ending dates but not both.

           • Part B: SBC Client Assistance Summary - This section of the report lists information collected
             through option two, Client Assistance Maintenance. It lists counseling and referral information,
             including type of business, business status, ethnic origin, handicapped or disabled, gender, type of
             ownership, source of info, type of counseling, total number of non-telephone consultations,
             number of individuals counseled, total hours spent counseling clients, total number of telephone
             consultations and total number of clients referred.

     • Part C: SBC Client Profile Summary - This section of the report lists information collected
       through option. It lists client profile and service information, including number of clients surveyed,
       number of respondents, type of business, business status, ethnic origin, handicapped or disabled,
       gender, quality of consulting services, quality of seminar/workshop, quality of resource services,
       percentage of clients who indicate probable use of SBC in the future and number of businesses
       experiencing increase in jobs/sales/profits.

     • Note: Part C is the only section that uses the Survey year field. The Survey year field is used
       instead of the Begin date and End date fields.

The fields are described below.

1. Parts (A B C). Enter the part or section of the report that you want to print. Enter 'A' for the SBC
    Seminar Evaluation Report, enter 'B' for the SBC Client Assistance Summary or enter 'C' for
    the SBC Client Profile Summary.

2. Contract numbers. If you want to generate the SBC Seminar Evaluation Report using specific
    contract numbers, enter the seven-digit contract number(s). This is a multivalued field that allows
    you to enter multiple contracts. After you have entered all the desired contract numbers, enter '/' to
    exit this field.

    Note: You can only enter contract numbers if you entered 'A' in field one, Parts (A B C). Also, if
    you entered 'A' in field one, you can either enter contract numbers or beginning and ending dates
    (fields three and four) but not both.

3. Begin Date. Enter the beginning date range for the records that you want to select for inclusion on
    the report. Enter in the form MM/DD/YYYY where MM is the two-digit month, DD is the two-
    digit day and YYYY is the four-digit year.

4. End Date. Enter the ending date range for the records that you want to select for inclusion on the
    report. Enter in the form MM/DD/YYYY where MM is the two-digit month, DD is the two-digit
    day and YYYY is the four-digit year.

    Note: The end date must be greater than or equal to begin date.

5. (L)ocal or (S)tate codes. Enter 'L' or press [RETURN] if you want local codes to print on the

      The above screen allows you to input a date range in order to select records to include on the SBC/
      SBTDC Combined Report. The date range you enter forms an INFORM statement that produces the
      report. The report tallies the type of businesses, type of counseling provided, the business progress and
      number of referrals.

      When you access this screen, the "Enter BEG.DATE.." prompt displays. At this point, you can enter an
      'XX' to exit from the process or enter the beginning date.

      The fields are described below.

      1. Begin date. Enter the beginning date range for the records that you want to select for inclusion on
          the report. Enter in the form MM/DD/YYYY where MM is the two-digit month, DD is the two-
          digit day and YYYY is the four-digit year.

      2. End date. Enter the ending date range for the records that you want to select for inclusion on the
          report. Enter in the form MM/DD/YYYY where MM is the two-digit month, DD is the two-digit
          day and YYYY is the four-digit year.

          Note: The end date must be greater than or equal to begin date.

      To execute this process (print report), enter 'S' at the command line. If you don't want to execute the
      process, enter 'XX' to cancel. If you want to change a field entry, enter the field number of the field you
      want to change. A sample report is shown on the next page.

The Create SBC Annual Report File Screen allows you to create the SB.ANNUAL.REPORT file from
the data in your Small Business Center (SBC) System. This process can be executed as many times as
desired.

When you access this screen, the cursor is positioned in the Enter the Beginning Date For Record
Selection field. At this point you can choose to enter the beginning date or exit the process.

The screen prompts you to enter selection criteria (see field descriptions below.) The entries you make
are validated against the CE.CONTRACT, CLIENT.ASSISTANCE, and CENTER.EVALUATION files. If your
selection criteria matches records in these files, the records are moved into an output file,
SB.ANNUAL.REPORT. This file contains the data for your annual report.

The fields are described below.

2. Enter the Beginning Date for Record Selection. Enter the beginning date for the records you
    want to select for the annual report. The format is MM/DD/YY where MM is the two-digit month,
    DD is the two-digit day, and YY is the two-digit year. A required field.

3. Enter the Ending Date For Record Selection. Enter the ending date for the records you want to
    select for the annual report. The format is MM/DD/YY where MM is the two-digit month, DD is
    the two-digit day, and YY is the two-digit year. A required field.

       4. Enter the SBC Annual Report Year. Enter the four-digit reporting year for the annual report. The
           value entered here is compared to the survey year field in the CENTER.EVALUATION file. A required
           field.

       5. Enter the Number of Clients Surveyed. Enter the number of clients surveyed. A five-digit
           numeric, required field. The default value is zero.

       After you have entered the selection criteria, enter 'S' at the TOADS command line to save your entries
       and execute the process. If you do not want to save your entries, enter 'XX' to cancel or 'Q' to quit.

The Maintain Workshop/Seminar Client Profile Screen allows you to enter client, seminar and referral
data or maintain and edit the SB.ANNUAL.REPORT file created in option 4. The way in which you use this
screen depends on whether your college's small business center uses the IIPS software to compile and
report annual data or uses PC-based software to collect annual data.

If your college uses the IIPS Small Business Center Reporting System software, then use this screen to
edit the annual data file, SB.ANNUAL.REPORT, which was created via option 4. In other words, if you
need to make changes to the annual report file before you transmit it to NCCCS, use this screen to
access the file and make corrections.

If your college does not use the IIPS Small Business Center Reporting System software to collect
annual reporting data, then use this screen as a data entry screen. Enter the results from the surveys you           SBC Annual Reports
conducted throughout the reporting year.

When you access this screen, the cursor is positioned on the Report Year field. At this point, you can
choose to enter the four-digit year for which you want to report or exit the process by pressing the
[ESC] key and '1' (if your terminal type is PROCOMM.WYSE50).

If you are accessing the annual report file, SB.ANNUAL.REPORT, to make changes, the data in the file
displays after you enter the reporting year. Note the cursor is located on the TOADS command line.
You can access a particular field by entering the field number position. If you want to access a particu-
lar screen page, then enter 'P' and the page number. For example, if you want to go to page three, enter
'P3'.

       If you are creating the annual report file, the cursor moves to the first blank field after you enter the
       reporting year. Enter the appropriate data into the appropriate fields. After you have entered data into
       the last field on the screen, the cursor automatically moves to the next screen page. Of course, if you
       want to skip around, you can enter the page number you want to access on the TOADS command line.

       Note: Most of the fields in this process are TOADS data window fields. These fields are similar to
       multi-valued fields in non-TOADS IIPS processes. Data window fields allow you to enter a list of data
       rather than one piece of data.

       A summary of each of the nine screen pages is shown below.

field. At this point, you can choose to enter the reporting year or exit the process.

The field is described below.

2. Enter the SBC Annual Report Year. Enter the four-digit reporting year for the annual report.
The value entered here should be the same as the value in the Enter the SBC Annual Report Year
field on the Create SBC Annual Report Screen. A required field.

      Overview

      The Standard Reports Option is the eighth menu item on the Small Business Center Master
      Menu. Selecting this option will take you to a submenu, where you can choose to:

              • print labels for students in a class
              • print labels for clients
              • print the SBC Classes Report
              • print the FTE-Generating Classes Report

Select the menu item that you want to access. Enter the appropriate number at the "Which would

file whose counsel date (date of counseling) falls within the range you specify.

3) Print SBC Classes Report. To print a SBC Classes Report, which lists all contracts
(classes) that are offered during a specified time period. The report is grouped by director.

4) Print FTE-Generating Classes Report. To print a FTE-Generating Classes Report, which
lists all contracts (classes) that generate FTE. The report is grouped by director.

      Print Labels For Students In A Class

      If you entered '1' at the prompt on the SBC Annual Reports Menu, then the following screen displays:



              ENTER CONTRACT NUMBER =




      The above screen allows you to print unduplicated mailing labels for students who are enrolled in the
      classes denoted by the contract numbers that you enter. This process uses data from the CEROSTER
      file.

      When you access this screen, the "ENTER CONTRACT NUMBER=" prompt displays. At this point,
      you can choose to enter contract(s) of the class(es) for which you want to print labels or you can press
      the [RETURN] key to exit from this screen.

      The contract number prompt redisplays as you enter contracts. This allows you to enter multiple
      contracts. After you enter all the contracts that you want to access, simply press the [RETURN] key at
      the contract number prompt to execute the process.

      If records are found, the Label Print Selection Menu displays:

      from the Label Print Selection Menu without selecting a form, enter 'END'.

counsel date (date of counseling) falls within the range you specify.

When you access this screen, the "ENTER BEGINNING COUNSEL DATE FOR LABELS" prompt
displays. At this point, you can choose to enter a beginning counsel date or press the [RETURN] key
to exit the process.

When you enter a beginning counsel date, enter in the format MM/DD/YYYY where MM is the two-
digit month, DD is the two-digit day and YYYY is the four-digit year. Next, the system prompts you to
enter the ending counsel date for labels. Enter the ending date. The system then selects all the clients
whose counseling date falls within the date range you specified. Labels are printed for each of the
selected clients.

      Print SBC Classes Report

      If you entered '3' at the prompt on the SBC Annual Reports Menu, then the following screen displays:

      offered during a specified time period. The report is grouped by director.

      this point, you can choose to enter a beginning date or press the [RETURN] key to exit the process.

      When you enter a beginning date, enter in the format MM/DD/YY where MM is the two-digit month,
      DD is the two-digit day and YY is the two-digit year. Next, the system prompts you to enter the ending
      date for the report. Enter the ending date. The system selects all the contracts from the
      CE.CONTRACT file that fall within the date range you entered.

      Print FTE-Generating Classes Report

      (classes) that generate FTE. The report is grouped by director.

      this point, you can choose to enter a beginning date or press the [RETURN] key to exit the process.

      When you enter a beginning date, enter in the format MM/DD/YY where MM is the two-digit month,
      DD is the two-digit day and YY is the two-digit year. Next, the system prompts you to enter the ending
      date for the report. Enter the ending date. The system selects all the contracts from the
      CE.CONTRACT file that fall within the date range you entered and have a prefix equal to 'B' and a
