The Organisation and the Directorate
The City of Greater Bendigo (CoGB) is overseeing the transformation of Bendigo into one of
Victoria’s most desirable built, natural and cultural environments. This Planning and Development
Directorate plays a critical role in facilitating and managing development opportunities. The
directorate is committed to maintaining high standards of building, planning and environmental
health as required by the Council, at the same time as committing to the growth and development
of the CoGB as a significant centre of the northern and central regions.
The Unit
The Strategy Unit focuses is responsible for facilitating the preparation of the major strategies for
the City of Greater Bendigo and overseeing their implementation.
POSITION OBJECTIVES:
Key position objectives are:
This position is responsible for managing the office procedures for the unit
Provision of quality first point of call for customers of the Strategy Unit.
Provision of administrative support to the unit and manager.
Act as a Executive Assistant to the Director Planning & Development in the absence of the
substantive incumbent.
KEY RESPONSIBILITIES & DUTIES:
Administrative Support
Provide general administrative support to the Strategy unit and Manager Strategy.
Provide general administrative support to the Place Manager and Director, Planning and
Development when required.
Assist in maintaining information in the Corporate Information Database.
Assist in the preparation of the Annual Report.
Undertake project work, research and survey work as required.
Assist in the preparation and administration of professional services contracts.
Coordinate all purchasing and payment of creditors and invoicing of debtors required by the unit.
Act as a focal point for the receipt of telephone calls relative to the functions of the Unit, on
occasions when other phones are unattended.
Draft quality written correspondence, reports and other documents accurately.
Ensure appropriate customer service standards are achieved and maintained.
Establish and maintain appropriate office files and management systems.

Schedule meetings/workshops etc as required.
Undertake any necessary training to ensure effective/ efficient use of software and technology.
Contribute to creating a customer service culture for the organisation.
ORGANISATIONAL RELATIONSHIPS:
Reports to: Manager Strategy
Manages/Coordinates: Nil
Internal liaisons: Strategy Unit staff, Director, Planning & Development, Executive Assistant
to Director Planning & Development, Place Manager, other staff of CoGB.
External Liaisons: Community members, Councillors, consultants and other municipalities.
ACCOUNTABILITY & EXTENT OF AUTHORITY:
Accountable to the Manager for performance in each of the identified key areas.
Freedom to work unsupervised, authority to plan and organise own activities and workload to
meet goals and priorities as established.
Exercise good judgment and discretion regarding sensitive and confidential issues.
Broad authority in accordance with instructions and delegation from the Manager.
JUDGEMENT & DECISION MAKING:
The position has scope for the exercise of discretion in the application of established standards and
procedures and to propose improvements to current systems.
Solve problems using procedures and guidelines, applying knowledge and previous experience.
Good judgment in responding to requests for Manager's time and daily activities
Guidance maybe available within the time available to make a choice.
Ability to make good decisions based on knowledge and experience to ensure issues related
to the position and customer service are promptly remedied.
SPECIALIST SKILLS & KNOWLEDGE:
An understanding of the role and function of the Strategy unit and the broader local government
context.
Knowledge of statistical data, and its effective applications in producing usage reports, contributing
to strategic planning and broader organisational applications.
Ability to use the Microsoft suite of software applications, at an advanced level.
Information management skills that can be easily applied to a range of communication needs
including correspondence and the research and production of reports.
Ability to undertake extensive administrative tasks.
Ability to discern important information through community and staff consultation.
MANAGEMENT SKILLS:
A high level of skill is required in managing time and setting priorities to achieve required outcomes,
often in an environment of conflicting demands.
Ability to work unsupervised, providing reliable and consistent support to the Manager to aid the
efficient operation of the office.
Ability to achieve objectives within a specified timeframe.
