Creation of a Position and Recruitment Process

position and any details regarding this position.

Policy information on this process is located at: http://www.mcg.edu/policies/1415.html
Once the position has been created, the Employment Request Form (ER) is completed and submitted for approval by the
appropriate individuals within each School or Division prior to being forwarded to HR.
The Employment Request Form is located at:
Details on the Policies for the Recruitment/Employment Process are located here:
The recruitment process and information regarding your interview team and/or panel as well as involvement and assistance
provided by the assigned HR Generalist/Recruiter are outlined in our “Interview and Selection Guide For Hiring
Administrators & Managers” on the Human Resources website under the Classification, Compensation and Recruitment
Once the approvals have been obtained and the Human Resources Division has received the ER, we proceed with creating a
draft job description for the posting. This draft is sent to the Hiring Department from the assigned HR Generalist. Once
everyone has reviewed/edited/approved the details for the job posting such as the beginning and end date of the job posting,
the candidate pool, recruitment expectations and ability or inability to offer relocation expense reimbursement, the position is
then posted to the website: http://www.mcg.edu/Jobs/ via the PeopleSoft online application.
The assigned HR Generalist/Recruiter will notify you once the position has been posted to the website and discuss further
details of the job posting such as external advertising, screening the applications, testing and interview details.
It is highly encouraged that once the panel is official, a meeting is arranged for the group to discuss the expectations either
with the HR Generalist, the Director of Classification, Compensation and Recruitment or involvement from the Associate VP
of Human Resources. This is encouraged so that the job responsibilities are known, minimum educational requirements and
any questions regarding our institutional guidelines in accordance with the expectations of our Affirmative Action and Equal
Employment Office guidelines and procedures: http://www.mcg.edu/AAEEO/index.htm are being discussed as well.
Interview guidelines should be discussed as well.
Once the candidates start to apply for positions, the HR Generalist will screen candidates on weekly bases. The Hiring
Department (and/or search committee) will receive candidates based on the minimum qualifications via the PeopleSoft online
application listing. Details on how to view the candidate report will be outlined by the HR Generalist.
Upon receipt of applications and/or candidate report, the panel will begin their additional screening of the candidates to
ensure that their expectations are met. The assigned HR Generalist will touch bases with you to determine if the candidate
pool is meeting the expectations. Additional advertising may be necessary.
Interviews are coordinated by the panel; or the HR Generalist may assist with these arrangements. Appropriate interview
forms are provided to the panel or created by the panel.
Once the candidate is selected, the HR Generalist or appropriate HR Representative is contacted. All references are verified
and details of the candidates’ credentials (licenses, education, etc.) as well.
The salary discussions are handled during this time and sufficient budget is confirmed. If moving expenses are allowable, this
is confirmed as well.
Once the above are finalized, the selected candidate is contacted by the HR Generalist or HR Representative and an offer is
extended. Details regarding start date, physical (and/or drug screen) are finalized.
The Hiring Department is contacted by the HR Generalist or HR Representative regarding the acceptance and confirmation
of the start date and other details are discussed. Congratulations on your New Hire!
