Twin Clubs Awards

2007-2008

Terms and Conditions



1. What are Twin Clubs

Twin clubs are two clubs from different districts and countries that have established

strong ties and have agreed to team up to complete a special program, may it be an

international service project, friendship exchange or cultural exchange. Clubs are invited

to register as a part of this activity and are encouraged to undertake a joint program or

project in developing the international understanding.



2. Goals



 To emphasize the international avenue of Rotaract service and friendship

 To establish a long-term relationship with another club that will lead to ongoing and

effective projects

 To enhance the understanding of another culture and each other’s differences

 To further international understanding and foster goodwill



3. Program Attendance Criteria



 Clubs must be from two different RE districts and countries

 Program must involve personal participation of Rotaractors - at least 1/3 of the

member base must be responsible with initially building and further maintenance of

the program

 Clubs must complete and sign the Twin Clubs Agreement Certificate provided by RE

 Clubs must report their Twin club relationship by completing the RE Rotaract Twin

Clubs Awards Application Form1 provided by RE

“RE Rotaract Twin Clubs Awards Application Form” is completed by Club President and submitted to

the RE for Awards evaluation regarding the status of the Twin Club relationship and what is established in

the related term.

4. Determining Club Compatibility

Finding a suitable partner should be a club effort. The concerns and opinions of every

club member must be taken into account if the match is to be successful. In the search for

a partner, clubs first should be able to identify their interests, strengths and weaknesses.

A brief summary of the club should be written up for potential postings and future

correspondence. When selecting a partner, clubs may want to consider clubs that:

 Hold similar interests

 Have faced similar problems

 Possess expertise in an area that their club would like to improve

 Are located in a geographical region of interest to club members

 Have the same name in the RI official directory ( for example: the Rotaract Club of

Milan, Italy, and the Rotaract Club of Milan, Texas, USA)

 Have a common language or resources for translation/interpretation



5. Resources for Finding a Partner

After determining what type of club would be an appropriate match, the next step is to

look for a club that meets the established criteria. Below are a few ideas for finding a

partner:

 Contact your ERIC country representative, district representative and district

international services director

 Attend international Rotaract meetings such as INTEROTA, EUCO, International

RYLA

 Benefit from the World Rotaract Directory

 Seek assistance from RI

 Subscribe Rotaract communication groups on the internet such as

rotaractnet@yahoogroups.com, europe@rotaract.de

 Join the discussion forums on the worldwide rotaract webpage

 Use search engines on the internet by submitting key clauses including or related to

Rotaract



6. Establishing a Relationship

Careful planning and clear communication is essential to establishing a strong

relationship. Like any other worthwhile project, Twin Club takes time and effort.

Ensuring that each club has a clear understanding of its role and responsibilities in the

partnership is key. To formalize the Twin Club relationship, clubs should sign a letter of

agreement, which outlines the goals and length of the partnership. Some ideas for

developing a strong relationship include, but are not limited to, the following:



 Undertake an international service project

 Participate in a friendship or cultural exchange

 Plan and hold an international projects fair

 Exchange project ideas or club program ideas

 Hold a video conference club meeting

 Exchange handicrafts and local products

 Organize an international event

 Hosting an exchange Rotaract



You may use your imagination and creativity to come up with innovative ideas for

building your twin club relationship.



7. DEADLINE: The official application form has to be filled out and sent to

8. The Project must have started or been completed in the calendar year 2007.



9. TCA Jury

The TCA jury consists of four committee members/country representatives from different

countries. This jury selects the best 5 twinings, which are then presented for voting to all

country representatives before EUCO 2008 in London.



The best three twinings will be announced on the E.R.I.C. website

www.rotaracteurope.org by March 2008. The Award Ceremony will take place during

the EUCO Gala Night in London. The winners will be requested to hold a presentation

during the EUCO.
